Defining usability heuristics for adoption and efficiency of an electronic workflow document management system

Usability heuristics have been established for different uses and applications as general guidelines for user interfaces. These can affect the implementation of industry solutions and play a significant role regarding cost reduction and process efficiency. The area of electronic workflow document management (EWDM) solutions, also known as workflow, lacks a formal definition of usability heuristics. With the advent of new technologies such as mobile devices, defining a set of usability heuristics contributes to the adoption and efficiency of an EWDM system. Workflow usability has been evaluated for various industries. Most significantly research has been done for electronic healthcare records (EHR). In other areas such as the financial sector and educational institutions there is also some literature available but not as abundant as for EHR. This was identified as a possible research limitation. The general purpose of this research was to establish and validate an overarching set of usability heuristics for EWDM in general. This was approached by conducting a literature review and a survey on 32 workflow consultants from Hyland Software, Inc. Quantitative and qualitative data was collected focusing on the study’s main research question: “what usability heuristics should be defined to ensure the adoption and efficiency of a workflow implementation?" Findings based on regression testing and expert opinions have suggested a proposed set of usability heuristics. The final list consists of: adaptability to diverse platforms, user control, system feedback, intuitive interfaces, visibility on mobile devices, error management, help, and documentation.

An activity-based model for managing unstructured content

An increase in the volume of documents, images and other unstructured content in organisations has resulted in several new approaches to the management of unstructured content. These approaches are however focused on specific problem areas and do not address the problem of how to manage all unstructured content in a unified manner. This research investigates the requirements for managing unstructured content from a records management, knowledge management and information security perspective. To address the management requirements, a model for managing unstructured content by using organisational activities as a basis for categorising the content into a taxonomy is proposed. The management requirements for unstructured content are then determined and applied on the taxonomical node level. The research showed that a strong relationship exists between organisational activities and the content management requirements of unstructured conent. It was also shown that using an activity-based model for classifying unstructured content, can be used as the basis for managing unstructured content from a records management, knowledge management and information security persective. The electronisation of enterprise documents has carried simplified manipulation, but it has also caused disorderliness in many cases. Systems called Document managament system (DMS) bring support for better management of electronic enterprise documents. This diploma thesis deals with the implementation of DMS into the environment of a specific company where it is designed to support effective function concerning enterprise document management.

This diploma thesis deals with perspectives of application of service AC Capture from company AutoCont in the Slovak republic. AC Capture consists of offering digitizing services via cloud. Slovak republic is chosen as an inspected market mainly due to vendors licence policy which says, that IBM Datacap taskmaster Capture (platform for AC Capture) can be sold by company AutoCont only in the Czech or Slovak republic. Aiming at one market, which is in accordance with the licence policy, enables to go into appropriate depth and practically demonstrate the conclusions of the thesis via actual open business cases. The aim of the thesis is to evaluate the perspectives of application of AC Capture in the Slovak republic. The emphasis is placed on the macroeconomic analysis, analysis of indicators of standards of life, product analysis including the analysis of competition and quantitative questionnaire inquiry.

Las organizaciones que brindan servicios informáticos para el desarrollo de proyectos de investigación académica no están utilizando Enterprise Content Management (ECM), a pesar de la complejidad de la administración de documentos asociados a esta actividad. ECM permite para almacenar, entregar y gestionar contenido de forma más ágil y así poder brindar mejor servicio. En este trabajo se propone un modelo de gestión documental donde se presentan las fases que permiten implementar esta tecnología y con ello ganar capacidades nuevas en la organización. Para validar el modelo se implementó una herramienta en 2 empresas virtuales analizando los tiempos de respuesta a las solicitudes de servicio que se producían antes y después de la implementación. Además, se hizo una encuesta utilizando la escala de Likert para medirá la satisfacción de los stakeholders. / Organizations that provide computer services for the development of academic research projects are not using Enterprise Content Management (ECM), despite the complexity of document management associated with this activity. ECM allows to store, deliver and manage content more agile and thus be able to provide better service. In this paper, a document management model is proposed where the phases that allow implementing this technology are presented and thereby gain new capabilities in the organization. To validate the model, a tool was implemented in 2 virtual companies analyzing the response times to service requests that occurred before and after implementation. The objectives of this project are to create a concept of system for multimedia documents management and long-term archiving and its realization. The opening chapters are devoted to theoretical analysis of the expected characteristics of this systém and their implementation in open source document management system Alfresco, which was used for implementation. Other chapters are devoted to modifications made to this system, which are enhancements to work with multimedia content and its metadata. Also possibilities of connecting the system to other systems are mentioned. Finally, this document also describes testing the changes and adjustments according to various criteria.

The master thesis is solving a problem of physical security of documents in Document Management System (DMS) in the company Icontio CR s.r.o. This fact will improve the security of the whole system and also the security of data placed in it. The main purpose of this thesis is a proposal of a security module, methods of coding and other functionalities which are going to be neccesarily implemented. Side purpose is a creation of the Access management, structures of data libraries in the DMS system, structures of users in the Active Directory and a suggestion of multilevel workflow. Introduction of these changes should bring the physical security of data, new view on data and simplifying the work with them in all fields of interest.

SharePoint är ett stort content- och managament-system som många företag använder sig av. I detta kan mallar specificeras för olika dokumenttyper (kallade content types), som underlättar skapandet av nya dokument för slutanvändaren. Systemet för mallarna blir dock snabbt omständligt och ohanterligt när antalet mallar företaget använder sig av växer. I detta examensarbete undersöks en lösning till problemet med mallarna, som finns tillgänglig på Microsofts Codeplex-site, där projekt under open-source licens kan laddas upp för allmänheten. Under arbetet undersöktes denna lösning djupare och vidareutvecklades för att i slutet av arbetet kunna levereras i form av en prototyp som HOW Solutions kunde använda sig av i framtida projekt. Slutresultatet blev en prototyp som bygger vidare på den tidigare lösningen och som tillåter användaren att specificera en mall-hubb, i form av en site-samling med bibliotek som kan förse andra bibliotek med mallar. Under projektet blev också en annan vidareutveckling av programmet funnen, som visar stor potential och som bör tittas närmare på. / SharePoint is a large content and management system that is used by a vast number of businesses. Templates can be specified for different types of documents (called content types), which simplifies the creating of new documents for the end user. However, the system by which this is done today quickly becomes cumbersome and unmanageable when the number of templates that a business uses increases. In this thesis a solution to the problem is examined which is available on the Microsoft Codeplex site, a site for hosting open source projects. During the project the solution was examined in greater detail, and further developed into a prototype that HOW Solutions could use in future projects. The final result was a prototype that builds on the earlier solution which allows the user to specify a template hub, which is a site collection with libraries that supplies other libraries with templates. During the project another solution, which builds on the same solution, was found. It shows great promise and requires further investigation.

A Functional Framework for Content Management

This thesis proposes a functional framework for content management. This framework provides concepts and vocabulary for analysis and description of content management systems. The framework is derived from an analysis of eight content management systems. It describes forty-five conceptual functions organized into five functional groups. The functionality derived from the analysis of the content management systems is described using the vocabulary provided by the functional framework. Coverage of the concepts in the existing systems is verified. The utility of the framework is validated through the creation of a prototype that implements sufficient functionality to support a set of specific use cases.
