Presented thesis is focused to the document management system in the firm E-solutions, Ld. Selection of this firm is purposeful, because I have been working in the firm for several years. My thesis is targeted to the complex analysis of document management system (DMS) in the firm and the results of the analysis will be used for the implementation of new DMS. The target is accomplished by following steps, which can be expressed as partial concrete goals: First, the present situation of DMS in the firm is described, next, the detail description of the documents, the system should work with, is presented. Description of these documents is structured to the DMS needs. Subsequently firm processes which should DMS support are identified and analysed. These processes are converted to the optimal conditions to maximize their effectiveness in the DMS support. Integral part of the analysis is the consistent collection of the requirements to the new system. The thesis is divided into theoretical and practical part. The theoretical part describes DMS generally, explains basic principles of DMS (characteristics, documentation and functionality) and creates base line for the practical part. The more comprehensive practical part of the thesis is directed to the document management in the firm E-solutions, Ld. Presentation of the basic information about the firm is followed by detail solution of partial goals. Assessment of the achieved results creates the final part of the work. The thesis will serve in the firm or at a contactor of DMS as the base for the selection, parameterisation and implementation of the concrete DMS solution.

This work deals with design and implementation of the system for document management and versioning. The first part contains description of related work. In the second part, information security concepts and security model, upon which application is build, is discussed. Third part contains description of designed system and its typical use in a form of sequence diagram. Fourth part introduces cryptographic protocol used in this work. Next follows the description of implementation and security analysis of developed system. The output of this work is cryptographic protocol for document management and versioning, and client-server application implementing this protocol.

Personal document management is the activity of managing a collection of digital documents performed by the owner of the documents, and consists of creation/acquisition, organisation, finding and maintenance. Document management is a pervasive aspect of digital work, but has received relatively little attention from researchers. The hierarchical file system used by most people to manage their documents has not conceptually changed in decades. Although revolutionary prototypes have been developed, these have not been grounded in a thorough understanding of document management behaviour and therefore have not resulted in significant changes to document management interfaces. Improvements in understanding document management can result in productivity gains for knowledge workers, and since document management is such a common activity, small improvements can deliver large gains. The aim of this research was to understand how people manage their personal document collections and to develop guidelines for the development of tools to support personal document management. A field study was conducted that included interviews, a survey and file system snapshot. The interviews were conducted with ten participants to investigate their document management strategies, structures and struggles. In addition to qualitative analysis of semi-structured interviews, a novel investigation technique was developed in the form of a file system snapshot which collects information about document structures and derives a number of metrics which describe the document structure. A survey was also conducted, consisting of a questionnaire and a file system snapshot, which enabled the findings of the field study to be validated, and to collect information from a greater number of participants. The results of this research culminated in (1) development of a conceptual framework highlighting the key personal document management attitudes, behaviours and concerns; (2) model of basic operations that any document management system needs to provide; (3) identification of piling, filing and structuring as three key document management strategies; (4) guidelines for the development of user interfaces to support document management, including specific guidelines for each document management strategy. These contributions both improve knowledge of personal document management on which future research can build, and provide practical advice to document management system designers which should result in the development of more usable system.

Samband mellan kritiska framgångsfaktorer och krav på dokumenthantering / The relation between critical success factors and requirements on document management

Detta arbete har som syfte att undersöka samband mellan kritiska framgångsfaktorer och krav rörande dokumenthantering. Detta görs för att framgångsfaktorer är något som ökar chanserna för ett lyckat resultat om de är uppfyllda och går det redan i kravfasen att uppfylla dessa kan det spara både tid och pengar. Inledningsvis kommer en litteraturstudie att samla in vilka kritiska framgångsfaktorer det kan finnas gällande dokumenthantering, därefter kommer en fallstudie att genomföras på en verksamhet inom byggbranschen med syfte att reda ut vilka krav de ställer på sin dokumenthantering och slutligen kommer en jämförelse mellan dessa två att göras av författaren till denna rapport med målet att finna och presentera samband. Resultaten visar att det finns ett tydligt samband mellan vissa krav och vissa framgångsfaktorer. Några av kraven uppfyller även flera framgångsfaktorer och vice versa. T ex: Kravet är en ”Väldefinierad teknikdisciplin” och framgångsfaktorerna som uppfylls är ”Definierad lagringsrutin”, ”Användarinvolvering”, ”Tillit till systemet” och ”Träning och utbildning av användare”. / This report is investigating the relation between critical success factors and requirements on document management. The purpose to know that is if a critical success factors are met by a requirement, the chances to succeed increase and in the long runt hat can save both time and money. Initially a literature research will be conducted to sort out the critical success factors, thereafter a case study will collect the requirements from a business in the constructing sector and finally a comparison between these results will be conducted of the author. The results show that there is a relation between certain factors and certain requirements. Some requirements even fulfil more than one factor and vice versa. For example: the requirement ”Well defined engineering discipline” fulfils ”Defined storage routine”, ”User involvement”, ”Trust to the system” and ”Training and education of users”.
