Identifying Key Success Factors for the Implementation of Enterprise Content Management Systems

Enterprise content management (ECM) is an emerging research area that is beginning to find attention in academia. While the private sector has a growing industry and community for ECM, academia is starting to address this with direct links to the better-established areas of information systems and enterprise resource planning systems. ECM has been viewed as a higher-level concept of methods and strategies pertaining to content management in the context of the enterprise. Like many other organizational wide systems, ECM systems are complex, difficult to implement and risk failing to meet expected success measures. Definitions for what exactly constitutes an ECM system are still evolving. The major issues with ECM systems are that they are increasingly being implemented by organizations in an attempt to address the unmanageable amount of unstructured content over its lifecycle, compliance pressures, collaboration needs, content integrity and continuity, and controlling costs. However, the implementation problems are many and diverse, such as determining content and business processes to be included, determining technologies to fit the organizational needs, how to integrate with existing systems, and managing organizational culture and change for acceptance. There is currently little academic research in the area of ECM, and research determining the key factors that contribute to successful implementations of these systems is absent. This research addressed the existing gap in ECM research and investigated the key success factors for the implementations of ECM systems with the objectives of identifying a set of success factors. Guided by research in related areas and through developing a theoretical framework and the resulting research model, the study used a qualitative case study method to identify ECM implementation factors and their relationship to organizational culture and people, business processes, technology and organizational content. The results of this research were twofold, first by contributing needed research in the ECM area and second to aid organizations in the implementation of ECM systems by identifying key factors.

A conduta e a abordagem tradicionais na gestão dos escritórios de advocacia não mais garantem o sucesso e sobrevivência, sendo fundamental a adoção de uma forte orientação ao cliente e o conhecimento da concorrência para o sucesso nos dias atuais. O volume de informações jurídicas produzidas é muito grande, tornando a recuperação da informação desejada mais difícil. As constantes atualizações da legislação dificultam o trabalho dos advogados, pois tornou-se uma árdua tarefa para o profissional do direito encontrar a melhor informação dentre as várias disponíveis. Diante disso, este estudo de caso propôs a criação de um planejamento de gestão da informação para os escritórios de advocacia. A partir das informações coletadas nos questionários com os sócios, no levantamento de documentos e na observação direta foi realizada uma análise dos dados, a fim de determinar as forças e fraquezas do negócio. Essas serviram de base para determinar os objetivos estratégicos, tendo como destaque, aumentar o número de clientes, atender as demandas num tempo relativamente menor, melhorar a qualidade técnica na prestação dos serviços advocatícios e criar um banco de dados disponíveis para a atuação dos advogados dentro da organização. A grande dificuldade dos escritórios de advocacia é a recuperação das informações necessárias em tempo hábil, tendo em vista que em sua maioria não possuem um sistema estruturado de gestão de informação, foco desse estudo. Para isso usaremos o Gerenciamento Eletrônico de Documentos e Enterprise Content Management como ferramentas para o armazenamento das informações. Todo esse contexto acaba por exigir que os escritórios de advocacia se preocupem em ter um planejamento, bem como um posicionamento de mercado para que possam manter-se competitivos na gestão de seu negócio. / Information is an intrinsic component of every process in an organization. Global changes, new technologies, and increased customer expectations create a growing need for structured planning that is consistent with reality. Traditional conduct and approach in the management of law firms no longer guarantees success and survival, and it is fundamental to adopt a strong customer orientation and knowledge of the competition for success in the present day. The volume of legal information produced is very large, making the retrieval of the desired information more difficult. The constant updating of the legislation makes it difficult for lawyers to work, as it has become an arduous task for the legal professional to find the best information among the available ones. Given this, this case study proposes to create an information management planning for law firms. From the information collected in the questionnaires with the partners, in the collection of documents and direct observation will be performed an analysis of the data, in order to determine the strengths and weaknesses of the business. These will serve as a basis for determining the strategic objectives, with a focus on increasing the number of clients, meeting the demands in a relatively short time, improving the technical quality in the provision of legal services and creating a database available for the Organization. The great difficulty of law firms is the retrieval of necessary information in a timely manner, since most of them do not have a structured information management system, the focus of this study. For this we will use electronic document management and Enterprise Content Management as tools for storing information. This whole context ultimately requires law firms to be concerned with planning as well as market positioning so that they can remain competitive in running their business.

This diploma thesis deals with the effects of Act 300/2008 about electronic acts and authorized document conversion to legal entities entered in the Commercial Register. The goal of thesis is to affect the extent of changes that legal entities had to undergo after the launch of the Information System of Data Boxes, and to show on the examples of commercial solutions how these changes can be effectively addressed. The work contains two case studies on which the typical practical problems of large companies are shown. First chapter contains an overview of the eGovernment introduced in the Czech Republic, and detailed description of the Information System of Data Boxes and data messages. This chapter also discusses the electronic signing of documents and associated problems. The second chapter lists the changes which legal entities had to settle, and also solution is mentioned, especially for large companies, helping to streamline the processes associated with receiving, sending and archiving of data messages. The third chapter shows the difficulties that come along with operating the product for effective management of data boxes and proposals of their possible solutions.

This thesis analyzes the field of Document Management Systems (DMS) in Small and medium enterprises (SME). To be more specific, it analyzes ways and opportunities of a transition of the actual company situation to a cloud solution realized by the means of outsourcing. Due to the fact that this transition consists of many steps, some of them are critical for a successful realization, those steps have to be precisely analyzed and afterwards a corresponding solution has to be proposed. This analysis describes in a detail all the connections, which may interfere with each other and which may also interfere with the whole transition. The goals of this thesis are mainly to provide a specialized analysis of the transition to the cloud DMS, analysis of available cloud solutions, their categorization and assessment, description of connections emerging from the use of the cloud DMS in Small and medium enterprises, description of impacts of realized solutions and finally a summary of the analysis into a compact unit designated to be used as a manual for cloud DMS implementation in the Small and medium enterprise.

Diploma thesis is dedicated to the analysis of threats and risks related with document management in a real enterprise -- big telco company. For document management company utilizes a complex solution called application DMS which is implemented on IBM FileNet P8 platform. In my work I will concentrate on risks linked with operation of DMS application. Along with the description of DMS application and document management I will mention problems perceived from the external supplier's point of view. These problems will be the basis for identification of the risks for the company emerging from the operation of DMS application. Subsequently I will evaluate risks and propose solutions to handle or avoid these risks. I will put proposed solutions into the sequence, in which they should be implemented while considering nature of the risk and financial demands of the proposed solution. Contributions of my work are list of identified risks and list of solutions which both can be used for assigning priorities of the change requests carried out in 2013 and possibly during discussions about budget increase for the DMS application operation.

Integration of social media records into enterprise content management at the South African Broadcasting corporation in the Limpopo Provincial office in South Africa

The integration of social media records into enterprise content management systems is crucial to organisations as it enables them to have access to these records if they are required for evidential purposes. However, despite social media content being considered as official records in state-owned enterprises, they are often left unmanaged. The purpose of this study was to investigate the integration of social media content into the enterprise content management system at the South African Broadcast Corporation Limpopo provincial office in South Africa. The study utilised quantitative data collected through questionnaires distributed to SABC employees and employees at three radio stations in the Limpopo provincial office (Munghanalonene FM, Thobela FM and Phalaphala FM). The key results suggest that there were no policies or guidelines on the management of digital records that emanated from social media. It was discovered that the SABC’s Limpopo provincial office opened official accounts with various social media platforms such as SNSs, online content communities and podcasts to use for official matters; yet content generated through these platforms is neither managed nor preserved. It has been established that the responsibility of managing social media content is unconsciously assigned to the creators of the content as no official records management responsibilities were assigned. It is recommended that digital records emanating from the use of social media by the staff of the SABC Limpopo provincial office need to be treated and managed as official records, like all other paper-based records. In this regard, a policy for integration of social media content into enterprise content management is desirable.
