This thesis's purpose was to gain a deeper understanding of how organizations create knowledge retention (KR), both proactively (day-to-day basis) and reactively (when an employee decides to resign), to avoid knowledge loss. A qualitative multiple case study was conducted through semi-structured interviews, with eight respondents from eight different organizations. An analytical model based on Levy’s (2011) KR framework and Nonaka and Takeuchi's (1995) knowledge spiral model was developed as a tool to understand the KR process in practice. The study found that all studied organizations worked proactively to retain knowledge, either structured or unstructured. The respondents with a structured, proactive KR process did not apply a reactive KR process, showing that they are more prepared for handling potential knowledge loss when employees resign. The respondents that did not apply a structured, proactive KR process applied a reactive knowledge retention process, where the main explanation for this was lack of time or unawareness of the process. Furthermore, no clear groups emerged in the empirical material as the companies faced different challenges at each stage of the analytical model. Lastly, the study concludes that these findings could be particularly relevant for organizations seeking to conduct KR processes to avoid losing valuable knowledge.

Esse mecanismo que ajuda na organização dos documentos empresariais, tem o intuito de oferecer uma possível alternativa para que as empresas conheçam as principais vantagens do documento digital dentro de um adequado sistema de gestão documental que melhore os processos dos fluxos documentais e os métodos de descrição, da análise, da avaliação e da recuperação documental. Para levar a cabo o objetivo deste trabalho, a metodologia utilizada foi principalmente a análise teórica-descritiva, na qual destaca-se no documento arquivístico digital, o avanço das leis governamentais e a efetividade que essas leis têm atualmente para ser aplicadas nas organizações. O resultado deste trabalho contribuirá para outros estudos relacionados com o atual debate do documento arquivístico digital. / The records digital archival continue having difficulties in their organization, both those who are born digital and those who were born on paper. Therefore, this research aims to study in depth the importance and complexity of the document digital archives within the organizational environments. We seek, since the look of information science, a mechanism that may assist in the organization of documents described in companies from their own production, taking particular account of the contributions of international techniques that normalize the documentary process of entities, the scientific literature that deepens the search field and the laws of the governmental entities that establish legal rules and legal organization of documents. This mechanism that helps in the organization of business documents, is intended to provide a possible alternative for organizations that know the main advantages of the digital document within an appropriate document management system that improves the processes of informational flows and the methods of description, analysis and retrieval of documents. To carry out the purpose of this study, the methodology used was mainly theoretical analysis, descriptive, in which it stands out in terms of the archival document digital, the advancement of laws made by the Colombian Government and the effectiveness that these laws currently have to be applied in different organizations. The result of this work will contribute to other studies related with the current debate of archival document digital. / Los documentos archivísticos tienen dificultades en su estructuración, tanto aquellos que están naciendo digital (born digitals) como aquellos que nacieron y se desarrollaron en soporte de papel. Por tanto, esta investigación tiene como objetivo el estudio de la importancia e complejidad del documento archivístico digital dentro de los ambientes organizacionales contemporáneos. Buscamos desde la mirada de la Ciencia de la Información y la Archivística, un mecanismo que pueda ayudar en la organización de los documentos descritos en las empresas desde su propia producción, teniendo en cuenta principalmente las contribuciones de las normas técnicas internacionales que normalizan el proceso documental de las entidades, la literatura científica que profundiza el campo de investigación e las leyes de los entes gubernamentales que establecen reglas legales y jurídicas de la organización documental. Alicerçado na criação de uma base de dados, sistematizando o ciclo informacional da Instituição para facilitar a contextualização dos assuntos analisados, discorrendo sobre os resultados mais relevantes, atenta às propostas da Ciência da Informação e da Organização do Conhecimento para o resgate da memória da Instituição. Também é sinalizada a vastidão do universo estudado e a possibilidade descortinada para futuro aprofundamento e pesquisas. / Presents a study about information and memory in the Brazilian Academy of Letters, through research of the documented subjects in the 1920 and 1921 plenary session minutes, considering the historical perspective of the colective memory of this group, reflecting it's organizational culture. Estructured on the creation of a database, systematizing the informational cicle of the institution to ease off the contextualization of the analyzed matters, discoursing about the most relevant results, attentive to the proposals of the Information Science and of the Organization of Knowledge to the retrieval of the Institution's memory. The adopted procedures revealed values and traditions, the informational behavior, the sharing of experiences among all of the members of the studied universe, as the sources that they used in the time, bibliographical, of information and knowledge. In the specific universe studied, Permanent or Especial Comittees, were verified relevant actions and debates, suitables as sources of memory recover. It's also shown the amplitude of the studied universe and the unveiled possibility for further studies and researches.

[pt] Com a crescente valorização do passado pela sociedade, as organizações passaram a se preocupar em contar suas histórias, a preservar suas memórias e a construir uma identidade coletiva e plural com base em seus feitos, seus heróis, suas tradições e – principalmente – compartilhando significados. Considerando o caráter discursivo, temporal e fluido da Identidade Organizacional, propostas por Mary Jo Hatch, Majken Schultz e outros teóricos da área de estudos organizacionais, partiu-se da abordagem que apresenta a relação entre indivíduos e organizações como sendo mediada por identidades. Estas são, por essência, múltiplas e conflituosas e, a todo tempo, constituídas e reconstituídas nas relações entre as organizações e os agentes sociais a elas relacionados. Essa abordagem complementa-se aos trabalhos de pesquisadores como Bárbara Misztal e pavimenta um caminho que concilia a relação entre as identidades individuais com a formação de identidades coletivas a partir da memória, ou do que os grupos sociais têm a lembrar. Uma das formas de se fazer isso é a criação de espaços de memória organizacional, constituídos a partir dos interesses e demandas do presente com os usos e atualizações estratégicas feitas de suas histórias. Nesse contexto, esta pesquisa tem como objetivo analisar o papel do espaço de memória do Clube de Regatas do Flamengo (Fla Memória) no processo de construção e representação de sua Identidade Organizacional. Os dados foram coletados a partir de entrevistas, de observação não participante, com registros fotográficos e em um diário de campo. Os dados foram analisados assumindo o caráter relacional e discursivo dos fenômenos organizacionais, à luz da abordagem teórico-metodológica da Análise do Discurso, proposta por Teun Van Dijk, que considera a realidade como subjetiva e plural. A partir dos resultados alcançados, a tese propõe um quadro teórico-analítico original, baseado no conceito proposto por Eviatar Zerubavel de comunidades mnemônicas, para analisar a partir de três dimensões as relações entre agentes sociais e os espaços de memória das organizações. São elas: 1) eu fiz a história – com o uso e representação da memória de quem viveu os acontecimentos retratados; 2) eu vi a história – representado por aqueles que assistiram aos acontecimentos representados; e 3) eu ouvi a história – representado por aqueles a quem as histórias da organização são contadas. / [en] With the growing appreciation of the past by society, organizations began to concern themselves with telling their stories. Thus they are able to preserve their memories and create a collective and plural identity based on their deeds, their heroes, their traditions and especially - sharing meanings. Considering the discursive, temporal and fluid character of Organizational Identity, proposed by Mary Jo Hatch, Majken Schultz and other theorists in the field of organizational studies, we begin from the approach that presents the relationship between individuals and organizations as being mediated by identities that are, in essence, multiple and conflicting, and that, at all times, are constituted and reconstituted in the relationships between organizations and the social agents related to them. This approach complements the work of researchers like Bárbara Misztal, and paves the way for reconciling the relationship between individual identities with the formation of collective identities based on memory, or what social groups have to remember. One of the ways to implement this approach is creating spaces for organizational memory, built from the interests and demands of the present with the uses and strategic updates made of their stories. In this context, this research aims to analyze the role of the memory space of Clube de Regatas do Flamengo (Fla Memória) in the process of building and representing its Organizational Identity. Data was collected from interviews, from non-participant observation of photographic records and from a field diary. The data was analyzed in the light of the theoretical-methodological approach of Discourse Analysis, proposed by Teun Van Dijk, which considers reality as subjective and plural, and the relational and discursive character of organizational phenomena. Based on the results achieved, the thesis proposes an original theoretical-analytical framework, based on the concept proposed by Eviatar Zerubavel of mnemonic communities, to analyze from three dimensions the relationships between social agents and the memory spaces of organizations, as follows: I made the story - using and representing the memory of those who lived the events portrayed; 2) I saw the story - represented by those who watched the events represented; and 3) I heard the story - represented by those to whom the organization s stories are told.
