Achieving higher quality in digital workshops : Through the eyes of ERP-consultants

The Covid-19 pandemic has affected the world globally and the way humans conduct their work today. Face-to-face meetings have since before the pandemic been the most standard and effective way to do business, but due to the recommendations from the Swedish Public Health Agency workshops conducted by ERP-consultants does now have to be executed digitally. The transition from physical to digital meetings has imposed major challenges for consultants such as replicating the communication, lack of engagement and a higher risk for becoming fatigued. However, there is little to no research from an ERP-consultant's perspective on how to facilitate and conduct workshops as well as how it has now been affected by the ongoing global pandemic. Therefore, the purpose of the study is to gain an understanding of workshops conducted by ERP-consultants, comparing the process of a traditional workshop to digital workshops. In addition, understanding which strengths and weaknesses can be found with traditional and digital workshops. The study also aims to create guidelines that will help ERP-consultants to achieve higher quality in digital workshops. The data was gathered via semi-structured interviews with five ERP-consultants and was split into two stages; first stage aimed at identifying strength and weaknesses, further the second stage of interviews aimed at evaluating the created guidelines. From the interviews several strengths and weaknesses were identified, and the weaknesses acted as a foundation for the creation of the five guidelines. In conclusion, 1) there are strengths in traditional workshops that are lost in digital workshops, and 2) there are added strengths in digital workshops that could not be fulfilled in traditional workshops.  Lastly, the study found that the traditional workshop and the face-to-face communication can not be fully replaced by the digital as it is human nature to connect and socialize with other people.

Adapting for Remote UX Design Practices with Video Conferencing Tools and Online Digital Whiteboards : For User Interviews and Stakeholder Engagement Workshops

Due to unprecedented circumstances brought about by a global health pandemic, User Experience (UX) design professionals have had to adapt their user research practices to keep on working. This has meant that methods such as user interviews and stakeholder engagement workshops are required to run entirely online. Previous literature has often favoured in-person settings for user interviews, claiming it produced the highest quality of the data collected and remote workshop facilitation has not been researched thoroughly. With a thematic analysis of transcripts from 4 in-depth user interviews and a naturalistic observation of a remote workshop facilitation, this study presents findings on the applied remote practices when it comes to both facilitation and preparation of remote user interviews and workshops. The results from the qualitative data analysis find that in contrast to previous literature, UX professionals do not experience lower data quality when opting for remote modes. The applied practices that contribute to that experience are acknowledging one anothers’ physical environment during initial bonding with interview subjects, spending more time for casual conversation before conducting the interview and sending out preparation documents to the interview participant to inform them about where to be located (private or work setting) and to use a desktop if they are expected to interact with online prototypes. I then unpack the applied practices of designing and facilitating remote workshops where I presents a workshop journey process constructed of different phases that UX professionals follow when designing workshop journeys. The practice of designing these workshop journeys and facilitating them online can serve as design documentation as UX professionals design for the desired experience throughout the workshop beforehand and can validate the experiences afterwards. New workshop facilitation practices have also emerged in the form of actively engaging with participants in order to gather signals that would otherwise naturally present themselves in in-person settings allowing facilitators to probe the workshop atmosphere. / På grund av oöverträffade omständigheter orsakade av en global hälsopandemi, har professionella UX designers (User Experience) fått anpassa sina metoder inom användarstudier för att kunna fortsätta arbeta. Detta har inneburit att metoder som användarintervjuer och workshops ämnade för att engagera intressenter har blivit tvingade att genomföras online. Tidigare litteratur har ofta förespråkat fysiska uppsättningar för användarintervjuer och hävdar att detta producerar den högsta kvaliteten på insamlad data, dessutom är tidigare forskning kring workshop-ledning genomförd på distans begränsad. Med en tematisk analys av transkriptioner från fyra djupgående användarintervjuer och en naturalistisk observation av workshop-ledning genomförd på distans, presenterar denna studie resultat kring tillämpade metoder när det gäller både underlättande och förberedelse av användarstudier och workshops genomförda på distans. Resultaten från den kvalitativa dataanalysen visar att till skillnad från tidigare litteratur upplever professionella UX designers inte lägre datakvalitet när de väljer metoder för att arbeta på distans. De tillämpade metoderna som bidrar till den upplevelsen är att erkänna varandras fysiska miljö under inledande introduktion med intervjupersoner, spendera mer tid för avslappnad konversation innan intervjun genomförs och skicka ut förberedelsedokument till intervjudeltagaren för att informera dem om var de bör befinna sig (i privat eller arbetsmiljö) och att använda ett skrivbord om de förväntas interagera med online-prototyper. De tillämpade metoderna används sedan för att designa och underlätta workshops på distans där jag presenterar en workshop-process konstruerad av olika faser som UX designers vanligtvis följer när de utformar workshops. Tillämpningen med att utforma dessa workshops och leda dem online kan fungera som designdokumentation när UX designers designar för den önskade upplevelsen för workshopen i förväg och för att validera upplevelserna efteråt. Genom aktivt samarbete med deltagarna i studien har också nya metoder för att leda workshops visat sig. Dessa kretsar kring information och reaktioner som annars naturligt skulle visa sig i fysiska uppsättningar och gör det möjligt förworkshop-ledare att mer effektivt undersöka stämningen i workshops.

O design mostra-se como uma área que tem contribuído para entender e atuar sobre as demandas contemporâneas, destacando-se pela capacidade de criar valor para empresas e consumidores. Nessa perspectiva, esse trabalho apresenta a investigação realizada sobre uma ferramenta de design - workshop, tendo como objetivo compreender os processos que acontecem no Workshop em Design Estratégico, a partir do pressuposto que esse instrumento pode ser associado a processos de aprendizagem e geração de conhecimentos. O estudo consistiu na articulação entre referencial teórico e pesquisa empírica - composta pela observação de quatro workshops realizados na Escola de Design Unisinos, nos anos de 2009 e 2010, e pela realização de seis entrevistas com profissionais ligados ao ensino de design, na mesma instituição. Os resultados apontam que o workshop em design consiste em uma sessão de projeto concentrada, intensa e criativa, com uma estrutura intencionalmente projetada e um grupo específico de atores, entre os quais se destacam coordenadores, ministrantes e participantes. As etapas (problem setting, problem solvin, visualizing), que objetivam o entendimento do problema, a busca por soluções e a visualização dos concepts, promovem reflexão individual e coletiva, articulação entre teoria e prática, conflitos e resultados - que podem ser tangíveis (concepts apresentados) ou intangíveis (experiência que os participantes vivenciaram). Assim, o entrelaçamento dos saberes/conhecimentos prático-reflexivos (tácitos) com os saberes/conhecimentos científico-racionais (explícitos) dos participantes, torna o Workshop em Design Estratégico um espaço profícuo para aprendizagens e geração de conhecimentos. / The heightened competition unchained by the era of the information has been generating new challenges to the companies and professionals. The design is shown as a field that has been contributing to understand and act on the contemporary demands, standing out for the capacity to create value for companies and consumers. In that perspective, the study presents the investigation accomplished on a design tool - workshop, having as objective to understand the processes that happen in the Workshop in Strategic Design, implying that this instrument can be associated to learning processes and generation of knowledge. The study comprises the connection between theoretical reference and empirical research - composed by the observation of four workshops accomplished at Unisinos’ Design School, in 2009 and 2010, and six interviews made with professionals involved with Design teaching, in the same institution. The results show that the workshop in Design consists in a concentrated, intense and creative project session with a structure intentionally planned and a specific group of players, among which stand out coordinators, people that make speeches and participants. The stages (problem setting, problem solving, visualizing), that aim the problem understanding, the search for solutions and the concepts visualization, promote individual and collective reflection, connection between theory and practice, conflicts and results - that can be tangible (presented concepts) or intangible (participants experience). Therefore, the interweaving of the practical and reflexive knowledge (tacit) with the scientific and rational knowledge (explicit) of the participants turns the Workshop in Strategic Design an useful space for learning and generation of knowledge.

Este emprendimiento fue planteado por un grupo de estudiantes de la facultad de Negocios de la Universidad Peruana de Ciencias Aplicadas (UPC) que están próximo a obtener el grado de bachiller de Administración y Negocios Internacionales. Los conocimientos adquiridos durante estos años de la carrera nos han permitido plantear un modelo de negocio con una propuesta de valor de manera objetiva y directa. En primer lugar, se identificó el problema que es la tasa de crecimiento de enfermedades con trastornos psicológicos como es el estrés y ansiedad que están padeciendo las personas por el confinamiento social obligatorio a causa de la pandemia del COVID-19. Por estas razones, creamos la plataforma “Health Stream” que brinda diferentes cursos virtuales de deportes, para reducir el estrés que se da por la rutina del home office y clases. Asimismo, se ofrece talleres nutricionales y psicológicos para que el usuario pueda mejorar su estilo de vida. De esta forma, ponemos a disposición un servicio completo con tres planes de pago siendo Clásico, Gold y Premium. En conclusión, luego de haber realizado el lanzamiento de la página pudimos obtener diferentes críticas constructivas que nos ayudaron en el proceso del proyecto de negocio, por lo cual realizamos mejoras continuas para obtener la versión final. / This entrepreneurship was proposed by a group of students from the Business School of the Universidad Peruana de Ciencias Aplicadas (UPC) who are about to obtain their bachelor's degree in Administration and International Business. The knowledge acquired during these years of study has allowed us to propose a business model with a value proposition in an objective and direct manner. First, we identified the problem that is the growth rate of diseases with psychological disorders such as stress and anxiety that people are suffering from the mandatory social confinement due to the pandemic of COVID-19. For these reasons, we created the "Health Stream" platform that offers different virtual sports courses to reduce the stress caused by the home office routine and classes. We also offer nutritional and psychological workshops so that users can improve their lifestyles. In this way, we offer a complete service with three payment plans: Classic, Gold, and Premium. This study is for the social workers. It will review theory and techniques and then will go one step further. It will offer a new product to the social worker, a product whereby he or she can internally reflect on, investigate, argue about, integrate and finally, within the relationship the social worker has with his or her own working self, developed a personal practice model. Developmental research was selected as the research design. The tool to achieve the goal of developing a personal practice model was a workshop. A transformation strategy for Protective Workshops : towards comprehensive services for adults with intellectual disability

Thesis (MOccTher)--Stellenbosch University, 2015. / ENGLISH ABSTRACT: South African Protective Workshops struggle to transform to align to a developmental human rights approach and to increase sustainability in the absence of a uniform model and an implementation strategy. This study applied qualitative research methodology in the form of Action Research with Co-operative Inquiry to answer the research question of what could be a framework of best practice for and strategy of transformation for protective workshops (PWs) operated by the South African Federation for Mental Health (SAFMH) in South Africa. It included the development of a transformation strategy for 31 PWs for adults with intellectual disability operated by SAFMH member organisations across South Africa. Seven representatives from the managers and service users of PWs were selected trough convenient sampling. The participants formed a co-operative inquiry group to determine the nature of the service to be delivered and how it should be implemented. The purpose was to develop a framework for possible and relevant services for persons with intellectual disability. Such services should preferably be aligned to the human rights based legislation and funding requirements of the Department of Social Development as to increase the long-term sustainability of the PWs. Given that the study was funded by the SAFMH, the directors requested that the Co-operative Inquiry Group use the exisisting best practice model used by Cape Mental Health as a template and point of departure. The study was done over a 12-month period (February 2012 – February 2013) and included a research initiation meeting, four search conferences and a presentation of the findings to the SAFMH Directors. The study contributed new knowledge on the nature of service provision to persons with ID and the ideal process to transform services within the SAFMH context. Through inductive content analysis two themes emerged namely: 1) Comprehensive service provision and 2) Coordinated transformation of services. The first theme determined that comprehensive services to persons with ID should consist of inclusive, appropriate, enabling and empowering services. The second theme suggested a new way of coordinating the transformation of services through systematic implementation, suitable regulation, sufficient capacity and ensuring sustainability. A central management structure was suggested to ensure coordinated implementation, to secure funding and to monitor and evaluate the implementation. A mind-shift towards new thinking was identified as a prerequisite for stakeholders buy-in on transformed service delivery. This mind-shift relates to the status of the service users with ID as adults in training towards employment in the open labour market and maximum integration into society. This study contributed new knowledge that informs the development of a new service delivery framework of best practice. The proposed implementation strategy could offer persons with ID the opportunity to progress and develop towards their maximal level of integration into society. It further provided PWs with possibilities for conceptualising different models of practice in the form of an implementable framework and a strategy to transform services. The findings were presented to the SAFMH Directors who adopted the concept framework and implementaimplementation strategy in theory as a proposal for future transformation without amendments. / AFRIKAANSE OPSOMMING: Suid-Afrikaanse Beskermde Werkswinkels vind dit moeilik om te transformeer na ‘n ontwikkelingsbenadering wat op menseregte gegrond is en om hul volhoubaarheid te verbeter in die afwesigheid van ‘n eenvorminge model en ‘n strategie vir implimentering. Hierdie studie het kwalitatiewe navorsingsmetodes in die vorm van Aksie Navorsing met Koöperatiewe Ondersoeke gebruik om ’n transformasie strategie vir die 31 Beskermde Werkswinkels vir volwassenes met intellektuele gestremdheid, wat bestuur word deur die lidorganisasies van die South African Federation for Mental Health (SAFMH) regoor Suid-Afrika. Die koöperatiewe ondersoekspan het bestaan uit verteenwoordigers van die werkswinkel bestuurders en gebruikers van die dienste wat geselekteer is deur middel van gerieflikheidsteekproefneming. Hulle ondervinding het meegewerk om vas te stel wat die aard van die dienste moet wees en hoe dit effektief geïmplementeer kon word. Die doel van die studie was om dienste daar te stel vir persone met intellektuele gestremdheid wat in lyn is met menseregte wetgewing en die riglyne vir befondsing deur die Departement van Maatskaplike Dienste om sodoende die langtermyn volhoubaarheid van die werkswinkels te verbeter. Omdat die studie deur SAFMH befonds is, het die direkteur die koöperatiewe ondersoekspan gevra om die Cape Mental Health model as ’n beginpunt te gebruik aangesien dit reeds as ’n beste praktyk model in die sektor erken word. Die studie is oor ’n periode van 12 maande uitgevoer (Februarie 2012 – Februarie 2013). Dit het ’n inisiasie vergadering, 4 ondersoek konferensies en ’n aanbieding van die bevindinge aan die SAFMH-direkteure ingesluit. Die eerste tema het nuwe insig gegee oor die aard van dienste aan persone met intellektuele gestremdheid en die ideale manier om dit te implementeer om te transformeer van huidige na beste praktyk status binne die SAFMH konteks. Die tweede tema het nuwe kennis opgelewer aangaande die gekoördineerde transformasie van dienste deur sistematiese implementering, toepaslike regulering, genoegsame kapasiteit en deur te verseker dat dit volhoubaar is op die lang duur. ’n Sentrale bestuursentrum is voorgestel om gekoördineerde implementering te verseker. ’n Nuwe denkwyse oor die status van volwassenes met intellektuele gestremdheid deur alle belanghebbendes is geïdentifiseer as ’n voorvereiste vir die aanvaarding en suksesvolle implementering van die transformasie strategie. Hierdie persone moet gesien word as volwassenes wat in opleiding is om in die ope arbeidsmark te werk en op die hoogste vlak van integrasie in hulle gemeenskappe te funksioneer. Die nuwe kennis het gelei tot die ontwikkeling van ’n nuwe diensleweringsraamwerk en implementeringstrategie wat persone met intellektuele gestremdheid die geleentheid kan gee om maksimaal te ontwikkel en te integreer in hulle gemeenskappe. Dit bied verder aan beskermde werkswinkels die geleentheid om alternatiewe modelle van dienslewering te oorweeg. Die bevindinge is aan die SAFMH-direkteure voorgelê en die raamwerk en strategie vir implementering is in teorie aanvaar sonder enige veranderinge.
