This research aimed at promoting the diffusion of the Department of General Archives (DAG) from the Universidade Federal de Santa Maria using the elaboration of a selective photographic catalog as the strategy to meet this objective. The catalog was elaborated from the selection of ninety photographs which were representative of the UFSM University Campus construction in the period from 1960 to 1973. The theme choice reveals the importance of the modern urbanism style that characterizes the university campus and that is recorded in the selected photographs from the period that is the most representative of the campus major physical expansion. The elaboration of this research instrument implied in three different stages of study that were complementary of each other and carried out simultaneously: to determine a description instrument to the photographic archives from the analysis of the Brazilian Standard for Archival Description (Nobrade) and, the Model for Cataloging Photographic Collections (Sepiades); to collect information concerning the origin, production, accumulation and archival processing of the photographic heap; to make the catalog itself. The research was of an exploratory type, with a qualitative and descriptive approach and, aims to generate knowledge for practical application. The study carried out was exploratory, analytical and descriptive combined with the documental analysis in primary and secondary sources from the documents filed in the Institution and information collected in the literature. We also used the technique of semi-structured interviews and survey forms to make the archive diagnosis. The detailed study of Sepiades provided elements that did not recommended its application at the UFSM photographic archive; nevertheless, it supported the proposition of a set of metadata for the description of photographic archives. Besides that, the information about the photographers routine and daily life and, the construction of a photographic collection obtained from the point of view of the interviewed individuals, contributed to rescue part of the Institutional memory. Concluding, the selective photographic catalog becomes a diffusion instrument that meets the needs of the intern community as well as the needs of outside researchers who use the catalog and other documents that are made available by DAG. Furthermore, in the category of university archive, this department is, include, a repository of the Institutional administrative information, which is one of the aspects on the cultural heritage from the University, together with its architectonic heritage among others. / O objetivo desta pesquisa foi a difusão do Departamento de Arquivo Geral (DAG) da Universidade Federal de Santa Maria (UFSM) adotando como estratégia a elaboração de um catálogo seletivo de fotografias. O catálogo foi elaborado a partir da seleção de noventa fotografias representativas da construção da Cidade Universitária da UFSM no período de 1960 a 1973. A opção pelo tema revela a importância do estilo de urbanismo moderno que caracteriza a arquitetura do campus da universidade e que está registrado nas fotografias selecionadas no período que é representativo da fase de maior expansão física do campus. A elaboração desse instrumento de pesquisa implicou em três etapas de estudo distintas, complementares entre si e simultaneamente realizadas: a) determinar um instrumento de descrição para arquivos fotográficos a partir da análise da Norma brasileira de descrição arquivística (Nobrade) e do Modelo para catalogação de coleções fotográficas (Sepiades); b) coletar informações referentes à origem, produção, acumulação e tratamento arquivístico do acervo fotográfico; c) confeccionar o catálogo propriamente dito. Esta pesquisa de natureza aplicada e de abordagem qualitativa é descritiva e visa gerar conhecimento para aplicação prática. O estudo realizado foi exploratório, analítico e descritivo, combinado com análise documental em fontes primárias e secundárias, a partir de documentos arquivados na instituição e informações colhidas na literatura. Também foi utilizada a técnica da entrevista semi-estruturada e formulário para diagnóstico de arquivo. O estudo detalhado da Sepiades apresentou elementos não recomendáveis para sua aplicação no arquivo fotográfico da UFSM, porém, subsidiou a proposição de um conjunto de metadados para a descrição de arquivos fotográficos. Além disso, as informações obtidas a respeito das rotinas e cotidiano dos fotógrafos e a formação do acervo fotográfico na visão dos entrevistados contribuíram para o resgate de uma parte da memória institucional. Para concluir, o catálogo seletivo de fotografias vem a ser um instrumento de difusão que atende a toda a comunidade interna além de pesquisadores externos que se utilizam deste e também de outros documentos disponibilizados pelo DAG. Ainda, na categoria de arquivo universitário, esse órgão constitui-se, também, em repositório da informação administrativa institucional, uma das facetas do patrimônio cultural da universidade ao lado do seu patrimônio arquitetônico, dentre outros.

Therefore, we attempted to follow trajectories and actions in relation to documentary heritage in the heritage processes relating to private files submitted to IPHAN (Institute of National Historical and Artistic Heritage) and CONDEPHAAT (Council for the Protection of Historical, Archaeological and Tourism) in requests tipping and CONARQ (National Council of Archives) in requests "declaration of public and social interest." The final text is presented in three chapters. Para tanto, buscou-se acompanhar trajetórias e ações em relação ao patrimônio documental nos processos de patrimonialização relativos aos arquivos privados apresentados ao IPHAN (Instituto do Patrimônio Histórico e Artístico Nacional) e CONDEPHAAT (Conselho de Defesa do Patrimônio Histórico, Arqueológico e Turístico) em solicitações de tombamento e ao CONARQ (Conselho Nacional de Arquivos) em solicitações de "declaração de interesse público e social". Este trabalho é um diagnóstico sobre a preservação, a descrição e a difusão dos Fundos Universidade de Porto Alegre (UPA) e Universidade do Rio Grande do Sul (URGS), que estão sob custódia do Arquivo Central da Universidade Federal do Rio Grande do Sul (UFRGS). Os objetivos da pesquisa são: analisar, de forma comparativa, a gestão documental, as políticas arquivísticas e o tipo de tratamento dado à documentação de caráter permanente em três instituições federais de ensino superior: UNIRIO, UFJF e UFSM, com vista à obtenção de informações sobre suas experiências na implantação de seus arquivos permanentes e/ou históricos; realizar levantamento a respeito dos Fundos UPA e URGS; proceder a um diagnóstico desses fundos, visando a sua caracterização como patrimônio cultural do tipo documental da UFRGS; propor um plano de ação com sugestões para a conservação e preservação desses fundos e também para a constituição da Seção de Arquivo Permanente do Arquivo Central da UFRGS, a partir dos conhecimentos produzidos por meio do estudo realizado na UNIRIO, UFJF e UFSM. Quanto à metodologia, a pesquisa teve caráter exploratório e descritivo, e a abordagem utilizada foi a qualitativa. Trabalhou-se com pesquisa documental e de campo. A técnica de coleta de dados utilizada em campo foi a da entrevista semiestruturada com os Diretores do Arquivo Central da UNIRIO, da UFJF e do Arquivo Geral da UFSM. Presents a study on information security in order to propose an Information Security Policy for the Department of General Archives (DAG), Federal University of Santa Maria (UFSM) as a way of enabling the protection, availability and secure access to archival information (not digital), in the university context. It is characterized as an exploratory qualitative approach, assuming a case study form, because it involves the study of a certain subject allowing its wide and detailed knowledge. It was first conducted a more detailed study of the Standard ISO/IEC 27002 which is a code of practice for information security, providing guidelines for the implementation of an Information Security Policy, based on regulations according to the institutional purposes. The study aimed, at first, to adapt the requirements and controls present in this standard archival context, focusing on the protection of not digital information, a research in the Heritage Documentary line. Thus, the adaptation of the standard for archival followed the structure of the original standard, seeking to provide for the archival institutions a tool to subsidize the development of an Information Security Policy, providing a more secure and reliable protection. In order to compose this policy a data collection was carried out through interviews, structured within questions about security information, based on the standard ISO/IEC 27002, on the previous study and the Adaptation of the Standard for the archival context. With the data collected and analyzed, along with the DAG, it can be verified that the problems causer of threats to the security of not digital archives in the department are directly related to the lack of security to the perimeter and to the absence of a physical control, including entries and exits. These security actions made it possible, together with the adaption of the standard, to propose control in order to prevent further incidents. This way it was possible to structure the Document of the Security Policy representing the materialization of the Security Policy according to the needs presented by DAG. This document will serve as an instrument to support and guide employees, users and third parties in the conduct of institutional activities. However, it is up to the department to approve it and implement it for the purpose of preventing incidents, thereby providing safe reliable and continuous access to not digital information by him guarded. / Apresenta um estudo sobre a segurança da informação a fim de propor uma Política de Segurança da Informação para o Departamento de Arquivo Geral (DAG) da Universidade Federal de Santa Maria (UFSM), possibilitando a proteção, a disponibilidade e o acesso seguro às informações arquivísticas (não digitais), no contexto universitário. Caracteriza-se como uma pesquisa exploratória com abordagem qualitativa, assumindo a forma de estudo de caso, pois envolve o estudo sobre um determinado assunto permitindo o seu amplo e detalhado conhecimento. Primeiramente foi realizado um estudo mais aprofundado da Norma ABNT NBR ISO/IEC 27002 que é um código de prática para a segurança da informação, apresentando diretrizes para a aplicação de uma Política de Segurança da Informação, baseada em regulamentos de acordo com os propósitos institucionais. O estudo objetivou, em um primeiro momento, adaptar os requisitos e controles presentes nessa norma ao contexto arquivístico, tendo como foco a proteção de informação não digital, caracterizando, deste modo, uma pesquisa na linha do Patrimônio Documental. Assim, a Adaptação da Norma para a arquivologia seguiu a estrutura da Norma original, buscando proporcionar às instituições arquivísticas um instrumento que subsidiasse a elaboração de uma Política de Segurança da Informação, possibilitando a proteção de informações não digitais de uma forma mais segura e confiável. Para a composição dessa Política, foi realizada a coleta de dados por meio de entrevista estruturada com questões sobre a segurança da informação, fundamentada na Norma ABNT NBR ISO/IEC 27002, tendo como base o estudo anterior e a Adaptação da Norma para o contexto arquivístico. Com a análise dos dados coletados junto ao DAG, podese verificar que os problemas que causam ameaças à segurança da informação não digital no departamento estão relacionados diretamente à deficiência dos perímetros de segurança e à inexistência de um controle de acesso físico incluindo entradas e saídas. A partir dessas ações de segurança, foi possível, juntamente com a Adaptação da Norma, propor controles a serem aplicados a fim de evitar a ocorrência de novos incidentes. Dessa forma, foi possível estruturar o Documento da Política de Segurança da Informação representando a materialização da Política de Segurança de acordo com as necessidades apresentadas pelo DAG. Esse documento servirá com um instrumento de apoio fundamental para instruir funcionários, usuários e terceiros na realização das atividades institucionais. No entanto, cabe ao departamento aprová-lo e implementá-lo, a fim de prevenir incidentes proporcionando, assim, acesso seguro, confiável e contínuo às informações não digitais por ele custodiadas.

In view of the potential presented by information and communication technologies, this study discusses access to the photographic archives of the Historical Archive of Santa Maria using the ICA-AtoM (International Council of Archives - Access to Memory) tool available on the world wide computers, based on theoretical criteria for archival description and access to digital documents. The proposed activities are discussed from preparing the documentation to the final presentation of the information to the user. It is a scientific research of an applied nature, exploratory and qualitative approach. The research is divided into five stages: 1) preparation of documentation and literature review, 2) digitization of documents, 3) the ICA-AtoM software installation; 4) description of photographs; and 5) analysis of the results obtained by previous practical activities, in comparison with the recommendations raised in the literature review. The electronic survey instrument is available on the Internet to users in general, containing archival descriptions and the digital representative, based on existing national recommendations. It was found that it is possible to perform digital capture using low-cost, guided by the recommendations of digital preservation. Regarding the software, it was found that there are many features that enrich and facilitate the activity of archival description and presentation of information to the end user. It was concluded that each institution has its own specifications in relation to archival description of the documentary genre and their preferences in the description, however, when compared to commercial solutions, ICA-AtoM software lets you explore enormous potential for a fraction of the cost of proprietary solutions, and guided by the standards of archival description. / Tendo em vista a potencialidade apresentada pelas tecnologias de informação e comunicação, esta pesquisa discute o acesso ao acervo fotográfico do Arquivo Histórico Municipal de Santa Maria a partir do software ICA-AtoM (International Council Archives Access to Memory) disponibilizado na rede mundial de computadores, com base nos critérios teóricos arquivísticos exigidos para descrição e acesso. São discutidas as atividades propostas desde a preparação da documentação até a forma final de apresentação das informações ao usuário. É uma pesquisa científica de natureza aplicada, exploratória e de abordagem qualitativa. A pesquisa é dividida em cinco etapas: 1) preparação da documentação e revisão de literatura; 2) digitalização das fotografias; 3) instalação do software ICA-AtoM; 4) descrição das fotografias e; 5) análise dos resultados obtidos pelas atividades práticas anteriores, em confronto com as recomendações levantadas na revisão de literatura. O instrumento eletrônico de pesquisa estará disponível na internet para os usuários em geral, contendo as descrições arquivísticas e os representantes digitais, tomando por base as recomendações nacionais existentes. Constatou-se que é possível realizar a captura digital utilizando custo baixo e pautado pelas recomendações de preservação digital. Em relação ao software, verificou-se que há muitas funcionalidades que enriquecem e facilitam a atividade de descrição arquivística e apresentação das informações para o usuário final. Concluiu-se que cada instituição tem suas especificidades em relação à descrição arquivística do seu gênero documental e suas preferências na descrição, porém quando comparado com soluções comerciais, o software ICA-AtoM permite explorar enormes potencialidades por uma fração do custo das soluções proprietárias, e pautado pelas normas de descrição arquivística.

The present dissertation research has as the analysis of procedures for document preservation, such as the description, the scanning, and the availability of digital representative on the internet, of ciminal case of fonds Judicial District of Santa Maria (JDSM), corresponding to the period 1910-1946 . Currently, this documentary fonds is in the custody of the Municipal Historical Archive of the City of Santa Maria (AHMSM). The research aims to decrease the handling of original documents, thus contributing to the preservation of documentary heritage. Create a finding aid that allows quick access to contents of the fonds Judicial District of Santa Maria. The fonds framed in the classification scheme of the AHMSM and is considered closed, organized chronologically. The related documents are composed of 604 stored procedures in 70 standard file boxes totaling 77,000 images. This work proceeded research, creation and review of the descriptions of each process fonds. This work, necessary for the preparation and launch of data in the archival description ICA-AtoM software. The fonds scanning was performed, permeated with the standards and recommendations mainly the National Council on Archives of Brazil (CONARQ), which passed the feasibility study of equipment and the creation of digital documents representative of the fonds. The AHMSM today have digital representatives of the Judicial District of Santa Maria fonds available, with access via the Internet. The consolidation of JDSM, replicated in digital format, adds another responsibility to AHMSM, which is responsible for the maintenance and access the content on the other hand, the body receives a finding aid, the catalog, which reduces the handling of original documents, enabling fast access to content. / A presente dissertação teve como pesquisa a análise de procedimentos para a preservação documental, tais como: a descrição; a digitalização e; a disponibilização do representante digital na internet, dos processos crime do fundo Comarca de Santa Maria (FCSM), correspondentes ao período 1910-1946. Atualmente, este fundo documental está sob custódia do Arquivo Histórico Municipal da cidade de Santa Maria (AHMSM). A pesquisa tem como objetivo, diminuir o manuseio dos documentos originais, contribuindo assim, com a preservação do patrimônio documental. Criar um instrumento de pesquisa que permita acesso rápido ao conteúdo do fundo Comarca de Santa Maria. O fundo enquadrado, no quadro de arranjo do AHMSM e é considerado fechado, organizado cronologicamente. Os documentos correlatos são compostos de 604 processos guardados em 70 caixas arquivo padrão totalizando 77.000 imagens. Este trabalho procedeu pesquisa, criação e revisão sobre as descrições de cada processo do fundo. Trabalho este, necessário para a preparação e lançamento dos dados no software de descrição arquivística ICA-AtoM. A digitalização do fundo foi executada, permeada pelas normas e recomendações principalmente do Conselho Nacional de Arquivos -(Conarq), que passou pelo estudo de viabilidade de equipamentos e da criação do representante digital dos documentos do fundo. O AHMSM tem hoje, os representantes digitais do fundo Comarca de Santa Maria disponíveis, com acesso via internet. A consolidação do FCSM, replicado em formato digital, acrescenta mais uma responsabilidade ao AHMSM, que é, zelar pela manutenção e acesso do conteúdo, por outro lado, o órgão recebe um instrumento de pesquisa, o catálogo, que diminui o manuseio dos documentos originais, possibilitando acesso rápido ao conteúdo.

This main goal of this project was to implement a training course in archivistic to the Technical and Administrative Servers in Education of the UFSM using as a technological tool the Learning Management System Moodle. The intention is produce a reflection about the modality of distance learning and the LMS as an element to support a professional training in the institution. The research was classified as applied quantitative approach and a case study through the technical procedures for acquiring objective knowledge about Moodle; the study supports a proposal and an evaluation of an alternative training using distance learning. Techniques and instruments of literature were used for read, analyze and interpret the last material already published in books, scientific papers, dissertations and doctoral theses. The bibliography facilitated the planning and the development of a training course in distance learning using the LMS of the Pró-Reitoria de Gestão de Pessoas (PROGEP) in the UFSM university. To reinforce the requirements for the expansion of the institutional archivistics polices of the university, the project develops studies in university archives and in the document preservation as an evidence of scientific, cultural and educational knowledge of the country. This helps to ensure the right access to information, the right of citizens and transparency of government actions. The project demonstrated the feasibility of conducting distance learning training courses to servicemen directly or indirectly involved in institutional documents management. The staff improvement policies implementation through distance learning is an effective strategic tool to implement the UFSM archivistic system. The LMS Moodle of PROGEP worked as environment of cooperative interaction between technical and administrative servicemen and the DAG (Departamento de Arquivo Geral). / Este estudo teve como principal objetivo implementar um curso de capacitação na área arquivística para os servidores Técnico-Administrativos em Educação (TAE) da UFSM, utilizando-se como ferramenta tecnológica o Ambiente Virtual de Ensino-Aprendizado (AVEA) Moodle e, assim, auxiliar na reflexão acerca da modalidade de educação a distância e de AVEA como elemento de suporte a capacitação profissional na instituição. A pesquisa foi classificada como aplicada com abordagem quantitativa e um estudo de caso quanto aos procedimentos técnicos porque objetivou adquirir conhecimento sobre o Moodle, a fim subsidiar a proposição e a avaliação de uma alternativa de capacitação por meio da modalidade a distância. Para tanto, utilizou-se das técnicas e instrumentos da pesquisa bibliográfica para leitura, análise e interpretação de materiais já publicados em livros, artigos científicos, dissertações de mestrado e teses de doutorado. As ideias de diferentes autores possibilitaram o planejamento e a construção de um curso nessa modalidade, utilizando-se o ambiente de EaD da Pró-Reitoria de Gestão de Pessoas (PROGEP) da Universidade. Para reforçar a necessidade de expansão das políticas arquivísticas nas IFES abordaram-se temas relevantes sobre os arquivos universitários, em especial as universidades federais, e a preservação de seu patrimônio documental como prova do conhecimento científico, cultural e educacional do País, para garantir o acesso à informação, o direito dos cidadãos e a transparência das ações governamentais. Os estudos demonstraram a viabilidade de realização de cursos de capacitação à distância aos servidores envolvidos, direta ou indiretamente, na gestão de documentos institucionais. A implementação de políticas de capacitação profissional a distância apresentou-se como uma ferramenta estratégica eficaz à implantação do sistema de arquivos da UFSM e o Ambiente de EaD da PROGEP, que utiliza o Moodle, serviu como um ambiente de interação cooperativa entre os servidores técnico-administrativos em educação e o Departamento de Arquivo Geral.

This work had as objective to accomplish the meeting, identification and description of the photographic collection of School of Agricultural Initiation General Vargas in the period of 1954 to 1985 which originated Instituto Federal Farroupilha (IFFAR) – campus São Vicente do Sul, RS. It is necessary that the memory one day registered by images is rescued and diffused with the aid of archival tools. As a means of describing and diffusing this memory is presented as a product a selective catalog of photography, the result of an initial process of description that enabled the identification, tracking and location of all information of the object to be described "photography", and it will also serve of subsidy for insertion of meta data in computerized systems. These systems also aim at the identification, description and diffusion of analogical objects in digital media through digitalization, they are programs indicated by the International Council of Archives (CIA), they are part of the archival functions that include methodological and theoretical requirements, areas as cultural heritage / documentary and information technology that contribute to the application and promotion of the dissertation. In this sense, the meeting, identification and description of the photographs should contribute to the diffusion of the institutional memory to the public entity, emphasizing more and more the importance of the cultural and documentary heritage of IFFAR. / Este trabalho teve por objetivo realizar a reunião, identificação e descrição do acervo fotográfico da Escola de Iniciação deAgrícola General Vargas período de 1954 a 1985que deu origem ao Instituto Federal Farroupilha (IFFAR) - Campus São Vicente do Sul, RS. Faz-se necessário que a memória um dia registrada por imagens seja resgatada e difundida com auxílio de ferramentas arquivísticas. Como meio de descrição e difusão dessa memória é apresentado como produto um catálogo seletivo de fotografia, resultado de um processo inicial de descrição que possibilitou a identificação, rastreamento e a localização de todas as informações do objeto a ser descrito “fotografia”, e também servirá de subsídio para inserção de meta dados em sistemas informatizados. Estes sistemas visam também à identificação, descrição e difusão de objetos analógicos em meios digitais através da digitalização, são programas indicados pelo Conselho Internacional de Arquivos (CIA), fazem parte das funções arquivísticas que contemplam os requisitos metodológicos e teóricos, as áreas como patrimônio cultural/documental e a tecnologia da informação contribuem para a aplicação e promoção da dissertação. Neste sentido, a reunião, identificação e descrição das fotografias devem contribuir para a difusão da memória institucional junto à entidade publica, salientando cada vez mais a importância do patrimônio cultural e documental do IFFAR.

Este trabalho é um diagnóstico sobre a preservação, a descrição e a difusão dos Fundos Universidade de Porto Alegre (UPA) e Universidade do Rio Grande do Sul (URGS), que estão sob custódia do Arquivo Central da Universidade Federal do Rio Grande do Sul (UFRGS). Os objetivos da pesquisa são: analisar, de forma comparativa, a gestão documental, as políticas arquivísticas e o tipo de tratamento dado à documentação de caráter permanente em três instituições federais de ensino superior: UNIRIO, UFJF e UFSM, com vista à obtenção de informações sobre suas experiências na implantação de seus arquivos permanentes e/ou históricos; realizar levantamento a respeito dos Fundos UPA e URGS; proceder a um diagnóstico desses fundos, visando a sua caracterização como patrimônio cultural do tipo documental da UFRGS; propor um plano de ação com sugestões para a conservação e preservação desses fundos e também para a constituição da Seção de Arquivo Permanente do Arquivo Central da UFRGS, a partir dos conhecimentos produzidos por meio do estudo realizado na UNIRIO, UFJF e UFSM. Quanto à metodologia, a pesquisa teve caráter exploratório e descritivo, e a abordagem utilizada foi a qualitativa. Trabalhou-se com pesquisa documental e de campo. A técnica de coleta de dados utilizada em campo foi a da entrevista semiestruturada com os Diretores do Arquivo Central da UNIRIO, da UFJF e do Arquivo Geral da UFSM. O diagnóstico apresentado propiciou descrever a situação em que se encontram os Fundos citados em relação às dimensões do acervo; às condições de infraestrutura e ambientais do local de seu armazenamento; e às suas condições de preservação e conservação. A partir dessa investigação, foi possível caracterizar esses Fundos como componentes do patrimônio documental da UFRGS e da sociedade sul-rio-grandense. Sugeriu-se a Norma Brasileira de Descrição Arquivística (NOBRADE) para o processo de descrição e o ICA-AtoM e/ou AtoM para a difusão e socialização do acervo. Constatou-se que a criação do Sistema de Arquivos da UFRGS foi uma ação que não se concretizou na implantação das políticas arquivísticas e de gestão documental no âmbito da universidade, assim como outras ações do passado; e que com a nova Direção da Divisão de Documentação houve uma retomada dessa questão, com o assessoramento às unidades universitárias na gestão de seus acervos documentais. Sugeriu-se a constituição da Seção de Arquivo Permanente do Arquivo Central da UFRGS, como forma de preservar o patrimônio documental da instituição, a partir da elaboração de uma Política de Preservação do 10 Patrimônio Documental. Salienta-se que a constituição da Seção já foi encaminhada ao Pró- Reitor de Planejamento e Administração, para ser enviado ao Conselho Universitário (CONSUN), por meio do Regulamento do Arquivo Central. / This work is a diagnosis about preservation, description and diffusion of the University of Porto Alegre (UPA) and University of Rio Grande do Sul (URGS) Funds, which are in the custody of the Federal University of Rio Grande do Sul (UFRGS). The objectives of the research are: to analyze, in a comparative way, the document management. archival policies and the type of treatment that is given to permanent documentation in three federal institutions of higher education: UNIRIO, UFJF and UFSM, with a view to obtaining information about their experiences in the implantation of their permanent and/or historical archives; carry out a survey on the UPA and URGS Funds; to carry out a diagnosis of these funds, aiming at their characterization as cultural heritage of the documentary type of UFRGS; propose a plan of action with suggestions for the conservation and preservation of these funds and also for the constitution of the Permanent Archive Section of the Central Archive of UFRGS, based on the knowledge produced through the study conducted at UNIRIO, UFJF and UFSM. As for the methodology, the research had an exploratory and descriptive character and the approach used was qualitative. We worked with documentary and field research. The technique of data collection used in the field was the semi-structured interview, with the Directors of the Central Archive of UNIRIO, UFJF and the General Archive of UFSM. The diagnosis presented was intended to describe the situation in which the Funds are concerned in relation to the size of the collection; the infrastructure and environmental conditions of the storage site; and their conditions of preservation and conservation. Based on this research, it was possible to characterize these Funds as components of the documentary heritage of UFRGS and of the society of Rio Grande do Sul. The Brazilian Standard for Archival Description – NOBRADE was suggested for the description process and the ICA-AtoM and/or AtoM for the diffusion and socialization of the collection. It was verified that the creation of the File System of UFRGS was an action that did not materialize in the implantation of the archival policies and document management in the scope of the university, as well as other actions of the past; and that with the new Direction of the Documentation Division there was a resumption of this question, with the advice to the university units in the management of their documentary collections. It was suggested the constitution of the Permanent Archive Section of the Central Archive of UFRGS, as a way of preserving the documentary heritage of the institution, based on the 12 elaboration of a Policy for Preservation of Documentary Heritage. It should be noted that the constitution of the Section has already been sent to the Pro-Rector of Planning and Administration, to be sent to the University Council (CONSUN), through the Central Archive Regulation.
