Inligting is op die volgende wyses ingesamel: ‘n uitgebreide literatuurondersoek, onderhoude met argivarlsse in beide staats- en privaatargiefbewaarpiekke en ‘n empiriese ondersoek deur middel van ‘n vraelys wat aan hoofsaaklik ernstige historiese navorsers versprei is. Die navorser het argivale vindmiddels soos inventarisse, gidse en indekse, sowel as die gerekenariseerde argivale databases, persoonlik ondersoek ten einde eerstehandse kennis van die voordele en nadele van hierdie navorsings- hulpmiddets te verkry. Daar is gevind dat tegnologiese ontwikkelings die aard van argiefbewaarplekke en argivale bronne verander het. Die impak van rekenaarnetwerke op die argivale milieu, sowel as die voor- en nadele verbonde aan die hantering van elektroniese argivale rekords en mondelinge geskiedenisargiewe, is gevolglik in besonderhede bespreek, Hoewel die ontsluiting van argivale bronmateriaai steeds op die beginsels van herkoms en oorspronklike orde gebaseer is, is sekere aanpassings noodsaaklik. Tog is geen toegang tot argivale inligtingbronne sonder hie rdie prosesse moontlik nie, Doeltreffende argivale inligtingherwinning kan slegs verwesenlik word indien genoeg fondse en opgeleide, ervare personeel beskikbaar gestel word. Die ondersoek word afgesluit met beiangrike bevindings en 'n aantal aanbevelings rakende historiese navorsing as ‘n argivale aktiwiteit in 'n veranderende inligtingwereld. / The purpose of this study was to investigate archival information organisation and retrieval at the end of the 20th century, especially with regard to serious historical research. Information was collected by the following means: an extensive literature survey, interviews with archivists in both state and private archives and an empirical survey by means of a questionnaire distributed amongst mainly serious historical resea rchers.The researcher personally examined archival finding aids such as inventories, guides and indexes, as well as the computerised archival database, for firsthand knowledge of the advantages and disadvantages of these research aids. It was found that technological developments had changed the nature of archives and archival sources, the most important adjustment being to electronic information sources and oral history archives. The impact of computer networks on the archival milieu, as well as the advantages and disadvantages of dealing with electronic archival records and oral history archives, was subsequently discussed in detail. Although the organisation and description of archival source material are still based on the principles of provenance and original order, certain adaptations are necessary. Without these processes no access to archival sources is possible. Effective archival information retrieval can only be achieved if sufficient funds are made available and well-trained, experienced staff are appointed. Subsequently the changing nature of historical research, especially with regard to the choice of research topics, was discussed. Modern tendencies such as history from below, or the history of everyday life, and the history of women, were investigated, in opposition to traditional historical emphasis on important political figures and happenings. Research further showed that accessibility to archival information sources is of paramount importance to the historical researcher. The important role of the archivist and archival finding aids, is emphasised. During the empirical phase the answers of respondents about their visits to archives were analysed. The experiences of historical researchers with regard to archival finding aids, computerised archival networks, and reading room staff, are discussed. The study is concluded with important findings and a number of recommendations pertaining to historical research as an archival activity in a changing information world. / Information Science / D. Dentre os inúmeros desafios que a Arquivística tem sido exposta, a estruturação em termos de linguagem especializada é citada por teóricos como sendo de grande relevância. Partindo do pressuposto que a sedimentação de alguns conceitos básicos contribui para avançar em direção ao desenvolvimento da área, buscou se conhecer, de modo comparativo, a concepção de professores e de teóricos da área, a respeito de termos como “arquivo” e “informação arquivística”. Os professores selecionados foram àqueles responsáveis pelo ensino de aspectos fundamentais, contemplados em disciplinas oferecidas nas séries iniciais dos cursos de Arquivologia do Brasil. A abordagem utiliza a análise teórica descritiva para a exposição do posicionamento dos teóricos e professores e em que medida existe corelação entre esses dois grupos. Observou-se que o referencial teórico que sustenta o ensino arquivístico no Brasil é caracterizado pelo uso de autores nacionais que disseminam sua produção científica em periódicos. Em relação ao conceito “arquivo” pareceu haver maior desenvoltura por parte dos professores em apresentar uma definição que, quase sempre, está refletida pela literatura nacional. No entanto, “informação arquivística” é um termo que causa certo desconforto na comunidade arquivística, de modo geral / The identity of a scientific discipline is linked to the ability to clearly distinguish its object of study, apply its own methods and develop a specialized language so that it is possible to establish relationships at different levels, with other disciplines. Among the many challenges that the Archival Science has been exposed, the act of structuring in terms of specialized language is mentioned by theorists as being of great significance. Assuming that the consolidation of some basic concepts helps to move toward the development of the area, this study aimed to investigate, through a comparison, the conception of professors and theorists in this area about terms such as archive and archival information. The selected professors were those responsible for teaching fundamental aspects taught in the first series of courses on Archival Science in Brazil. The approach uses theoretical-descriptive analysis for exposure of the positioning of theorists and professors, it discusses to what extent there is correlation between these two groups. It was observed that the theoretical referential that supports archival education in Brazil is characterized by the approach of national authors who disseminate their scientific output in journals. The professors’ conception on the concepts reveals, at times, the shallowness with which the issue has been handled. Regarding the term archive, it seemed to be a greater boldness on professors’ part to present a definition that is nearly always a reflection of what the national literature professes. However, in relation to archival information, it is noticed that it is still a term that causes some discomfort in the archival community in general

Nesse sentido, fundamentamos o problema desta pesquisa no fato de que as universidades, por tratarem de ambientes complexos, produzem uma grande quantidade de documentos, o que resulta em um constante fluxo documental. Dessa maneira, o estabelecimento de normas visa orientar os procedimentos arquivísticos no intuito de trazer confiabilidade e efetividade nas atividades inerentes ao arquivo da instituição. Nesse sentido, as instruções normativas referentes à gestão de documentos e o Arquivo Universitário são o foco desta investigação. Apresentamos uma discussão em relação à aplicação de normativas relativas à produção e tramitação de documentos no âmbito do Sistema de Arquivos da Universidade Estadual de Campinas (SIARQ/UNICAMP). O objetivo geral deste estudo é discutir e analisar a aplicação das normativas que tratam da produção e tramitação de documentos no SIARQ/UNICAMP. A pesquisa é qualitativa e utilizamos o estudo de caso descritivo, buscando analisar, especificamente, a aplicação das normas arquivísticas referentes à produção e tramitação de documentos em um contexto universitário, destacando a importância e influência de tais normas em uma instituição arquivística. This way, we establish this study's problem towards the fact that in universities such an amount of documents come out, once they are complex environments, bringing about constant flow of documents. For such reason, standardizing aims at guiding archival procedures for bringing liability and effectiveness upon the institution's records activities. In this sense, the instructions regarding the records management and the University Records are what we are mostly focused on this investigation. We present a discussion about the rules concerning the production and processing of documents in Campinas State University Records/Archives System (SIARQ/UNICAMP). The general objective of this study is fairly discussing and analyzing the rules about the production and processing of documents at SIARQ/UNICAMP. The research is qualitative and we have used the descriptive case study, aiming at specifically analyzing the archival standards application referring to the production and processing of documents within a university context, standing out the importance and influence os such rules in an archival institution. We now conclude that the institution makes out the standardization establishment importance, once it does approach the production and processing of documents throughout the university. Such position backs up the effort for its settling through the environments which constitute the institution. Study of the archival record and its context : meaning and historical understanding

The claim of archivists to be a scholarly profession is dependent upon their ability to methodically study and understand the meaning of the records in their care. Without such contextual information about the record as the name of its creating agency, the reason for its creation, and the authority by which it was created, archivists and researchers are in a poor position to assess the value and validity of its informational content. Without knowledge of the relationship of the record to other record series, they are likely to overlook additional supporting and/or contradictory documentation and thereby miss a part of the truth they seek. This thesis is directly concerned with the means by which archival sources might be assessed to determine the value of the historical evidence they contain. It proposes a conceptual framework by which study of the original, primary, and secondary meanings of the archival record might be approached. Examples are drawn from close examination of the records of the Corporation of the City of Nanaimo surviving from the period 1875-1904. While acknowledging that extensive study of the significance of documentation might be impossible for archivists in their daily work, this thesis concludes that closer attention must be paid to sources documenting the contextual environment of the record. The informational needs of historians researching women : an archival user study

This thesis examines the informational needs of historians researching women as a subject in archives. The research methodology employed combines two types of user studies, the questionnaire and the reference analysis, in order to determine both the use and usefulness of archival materials and finding aids for historians researching women. This study begins with an overview of the literature on user studies. The thesis then outlines both the kinds of materials and the information historians researching women require. Finally, this study looks at the way historians researching women locate relevant materials and concomitantly the effectiveness of current descriptive policies and practices in dealing with the needs of this research group. This thesis concludes by suggesting a number of ways in which archivists can respond to the informational needs of historians researching women in archives. Firstly, a considerable amount of documentation relevant to the study of women remains to be acquired by archival repositories. While archives should continue to acquire textual materials, more emphasis needs to be placed upon the acquisition of non-textual materials since these materials are also very useful to historians researching women in archives. Secondly, archivists must focus more attention on the informational value of their holdings since the majority of historians researching women are interested in the information the records contain about people, events or subject area and not the description of institutional life contained in records. Thirdly this study demonstrates the need for more subject oriented finding aids. De modo específico, fez-se a categorização das funções e competências da Assessoria, por meio de documentos normativos da Universidade; como o mapeamento da produção dos documentos fotográficos, mediante análise documental e entrevistas; Além da análise das funções e atividades da assessoria apresentada pelo Plano de Classificação da Atividades-meio da Universidade em relação a produção dos documentos fotográficos. Com o intuito de alcançar a meta proposta, optou-se pelo desenvolvimento do método de pesquisa estudo de caso, sendo conduzido pela busca da ampliação das discussões em torno dos documentos fotográficos na perspectiva orgânica institucional. Inserido na Arquivologia o estudo aspirou contribuir para novas abordagens interdisciplinares sobre o fenômeno da gênese documental de documentos fotográficos produzidos institucionalmente, derivados de processos de trabalho. A organização e tratamento da informação nos arquivos é um processo essencial na prática arquivística, que comporta um conjunto de atividades encadeadas para propiciar pesquisas e acesso aos documentos nela abrigados. O objetivo inicial da presente pesquisa foi compreender as teorias e métodos subjacentes a esse conjunto de processos. A hipótese inicial foi a de observar as teorias e práticas arquivísticas de organizar e tratar documentos e apontar suas interações com a Ciência da Informação. A pesquisa, de natureza qualitativa, utilizou o método hipotético dedutivo como ponto de partida, tendo como objeto empírico um corpus de artigos científicos da área da arquivística, do período de 2000-2015. Foi possível identificar nesse corpus as mudanças propostas para a realização de atividades de classificação, indexação, descrição arquivística, normalização e diplomática, ao longo desse período. Ao final, foi possível constatar que a arquivística é uma disciplina com fundamentos teóricos e práticos sedimentados, conta com um conjunto de métodos, procedimento e instrumentos específicos para organizar e tratar a informação. Foi possível identificar conceitos comuns entre a Ciência da Informação e a Arquivística, tais como classificação, análise de informação e indexação, entre outros. No entanto, não há ligação teórica ou prática explícita entre as duas áreas, visto que esses conceitos, na arquivística, são utilizados atrelados aos princípios arquivísticos da proveniência, da ordem original e do ciclo de vida dos documentos. Com base nesses princípios, a arquivística responde adequadamente, aos problemas contemporâneos relacionados ao complexo problema da autenticidade dos documentos digitais. Trata-se, portanto, de uma área em contínuo desenvolvimento, que constrói teorias, métodos e procedimentos próprios que respondem satisfatoriamente às demandas sociais de busca e acesso a informações para garantir os direitos dos cidadãos e a gestão de políticas públicas. / The organization and information processing in archives is an essential process in archival practices and includes a set of linked activities to facilitate the search and access to documents. The initial objective of this research was to understand the fundamental theories and methods that support this process. The initial hypothesis was to explore the relations of the archival practices of document processint and organization to point out their interactions with Information Science. This research has qualitative approach, used the hypothetical deductive method as a starting point and the content analysis of a corpus of scientific articles presented in serials dedicated to archival sciences, published in 2000-2015. It was possible to identify common concepts used in Archival science and Information Science, such as classification, analysis and indexing, but this does not denote an explicit theoretical and practical connection between the two domains, since these concepts are used in the archival science coupled with the archival principles of provenance, original order and the document life cycle. Based in these principles, the Archival Science present solutions, to the contemporary questions as the complex problems related to the authenticity of digital documents. It was possible to identify the changes that occurred in the activities of classification, indexing, archival description, normalization and diplomatics throughout this period. Archival Science is a domain that develops reflecting and constructing specific theories, methods and procedures to promote satisfactory responses to social demands of access to information to the citizens and to the management of public policies.

Allt som finns kvar : Om personarkiv hos föräldrar som förlorat små barn / All That's Left Behind: Personal Archives of Parents Who've lost Infants

The object of this two years master's thesis has been to study a specific genre of personal archives by examiningthe archives of nine parents who have lost one or several infants. Using internet-based methods, (e-mail, Skypeand digital photographs), I have conducted qualitative research using a general interview guide technique. Usingresearch from archival theory as well as other fields, my material has been arranged and analysed according tothemes and recurring thoughts picked up from my informants during the interviews.My main theoretical aid has been that the role of parent who has lost a child is the starting point for the creationof the personal archives. Another important theory is my definition of the term “document” as not dependent onmedium and format, but on usage: if an object has been used as a part of an archive, it is a document. I also claimthat study of personal archives is a way to help the archival profession and Swedish archival theory to becomemore democratic and inclusive, since especially the former is mandated to reflect all of society's many manifestationsof culture and memory. The results show that the archives contain a large selection of documents in differentformats and mediums, but that they also have many similarities. This is an effect of the fact that the parentshave all had roughly the same document-creating contacts with their relatives and friends, the authorities and theother parts of society often involved in the events proceeding the child's birth and death (or sickness and death).The reasons to create and maintain a personal archive are to preserve the memories of events, people, places,thoughts and feelings associated with the child and whatever time the parents got to spend with him or her. By remembering,the parents are also confirming the child's existence and place within the family, and helping themselvesconfirm their newly acquired role as parents who have lost a child. The archives and their constituent partsare used as physical and psychological “linking objects”, to help the parents feel (at least temporary) closer totheir child by watching, touching or talking about the most important documents. These are often the ones displayedon special memory shelves, on family photo walls or in memory boxes. It follows that arrangement of thedocuments is based mostly on the emotional attachment of the parent to the individual document, and that destructionof records are extremely rare in the studied archives. Their growth diminished with time, but does notstop completely since the parents, other relatives and friends still create new documents, mostly to observe holidaysand anniversaries. Furthermore, the way the parents use their archives and its constituent parts change astime passes. Individual documents may also change their emotional and cultural significance to the parent, orgain additional ones. Some of the underlying factors behind these findings are my informants views on creating,keeping and destroying documents. They all express a need to “save everything”, and most also want to “documenteverything”. The latter, their wish to create new documents to complement the ones created primarily byothers and as a result of specific events and processes, comes from a feeling of not having enough documents inthe archives. It can also be the result of dissatisfaction with those that do exist. Finally, as is commonplace amongpersonal archives, the archives in my study have multiple record creators within the immediate family and outsideit, even though my informants are usually the main creators. This is a two years master’s thesis in Archive,Library and Museum studies.

The methodology of arrangement: a case study of the Department of the Provincial Secretary of British Columbia

Arrangement is an important archival activity that precedes other important archival activities including description and access. Its objective is to identify the external and internal structures of a fonds. However, despite its importance, archivists have had difficulty establishing a standard method of arrangement that fully achieves its objective. This study views arrangement as a form of methodology bridging archival theory and practice. Arrangement must therefore be in accordance with archival theory yet be applicable in practical terms. The study first establishes the terms of analysis in regards to archival theory, and, in particular, the concept of the fonds. Difficulties in the practice of arrangement are then examined. These difficulties include (1) identifying the levels of arrangement, (2) identifying when an entity has sufficient autonomy to create a fonds, (3) identifying the provenance of record series that have been in the custody of many agencies, and (4) dealing with the effects that changes to the external structure of a fonds have on record series. The main methods of arrangement, that have been utilized throughout the archival world in the last 50 years, including the record group, fonds method and series system, are then assessed to determine how closely each aligns with archival theory and how well they perform in practical terms. A method of arrangement is then devised using the basic attributes of both the fonds and series system methods. The Department of the Provincial Secretary, of British Columbia, is the subject of a case study to confirm the validity of the methodology. The study first examines the external structure of the Department through the concepts of function, competence and organizational structure. It then studies the external structure through the concepts of functional series and documentary series. The study concludes by examining some of the implications of the method for various aspects of archival practice.
