Management Accounting and ERP Systems : Factors behind the Choice of Information Systems when Exercising Management Accounting

Accounting is an old discipline inherent to any business. Accounting is divided into Financial Accounting (FA) and Management Accounting (MA). Financial Accounting focuses on the pure processing of the economic data. Management Accounting focuses on the decision-making aspects of the accounting. Accounting industry has been tremendously transformed in the past two decades due to the implementation of Enterprise Resource Planning (ERP) systems. These systems integrate and unify an organisation’s business functions and processes into one complex computer system. Previous research suggests that the ERP systems’ main functionality primarily addresses the issues of Financial Accounting and much less the issues of Management Accounting. The purpose of this study is to explore the underlying factors behind the application of the Management Accounting Techniques through the ERP systems and to suggest a further development in the field. Five large Swedish companies were examined through the comparative case studies with semi-structured interviews. This study discovered that MATs were mostly implemented through spreadsheets, BI systems and custom-built software, i.e. outside of the ERP systems. The main reasons were inflexibility and standard design of the ERP systems, that did not fully suit the companies. Additionally, the customization of the ERP systems would be too costly when other tools, such as BI systems or spreadsheets, provided better functionality to a better price. The conclusion of this study is that it is impossible to build a universal ERP system that would suit all kind of companies, however, ERP systems can serve as a common base and a transaction engine for the MA. ERP systems can provide a data structure for the analysis parameters crucial to MA, such as profit centre, cost centre, unit, and other dimensionality aspects. Spreadsheets and BI systems win the MA battle by providing the flexibility, user-friendliness and the acceptable price, required by the users. Therefore, ERP systems must provide good integration possibilities with other software. One can further speculate if ERP system providers choose not to deliver flexible and visually appealing products, since they benefit from the income that the customer education and the customization of an ERP system implies.

The aim of this project was to find and implement actions to increase ERP system developers’ ability to improve user experience. The focus has been methods and resources that are used in the everyday work, and the selected methodology was action research. The project took place at IFS, which develops the ERP system IFS Applications. The project started with a pre-study consisting of interviews, observations and a survey. Then, four workshops were organized where the methods Ad hoc personas, Heuristic evaluation and Speed sketching were introduced and practiced. The workshops also included information on user experience in ERP systems. The workshops were then evaluated with a new survey and focus groups. The results show that the participants thought the workshops had a positive effect on their ability to work with user experience. Heuristic evaluation and speed sketching were very well-received, and deemed easy to integrate with the everyday work. Ad hoc personas workshops should be conducted early in a project to have the best effect. Overall, the workshops increased the participants’ motivation for user experience work.

Important activities in an early ERP implementation phase : A case study at Valmet

Research about implementing an ERP system has been investigated for many years but is still a current issue. This is due to the large number of implementations that fail. The purpose of this paper is to identify important activities in an early phase of an ERP implementation. The thesis is based on a literature study to create a foundation of understanding of earlier research and the struggles implementing an ERP system. The study was composed from the five most important critical success factors as a framework. To identify the activities in an early phase, interviews with people from different layers in an implementation organization were conducted. From the interviews, several survey questions were designed to rank the activities. The result of the interviews shows several activities performed in an early phase in an ERP implementation. The result from the survey shows that many of the identified activities from the interviews are important since several of the respondents consider these critical. Some of the most important activities in an early phase of an ERP implementation are:   • Conducting workshops to explain the changes to come when implementing a new ERP system. • Make sure the people working in the project are able to work and focus on the project fulltime in the phase where their role is critical for the implementation. • Involve the key-users in an early phase of the implementation. • Communicate the vision to all the employees in the organization. • Have a local super-user that is available to support and help.   This research provides a less general framework for what activities are important to perform in an early phase of an ERP implementation to achieve the critical success factors. The study can help companies facing an ERP implementation to do the right things to succeed with the implementation.

Diese Arbeit gibt einen Überblick über das Spektrum der Enterprise Application Integration. Dazu werden die Grundlagen des E-Business erläutert, um die Notwendigkeit der Integration aufzuzeigen. Eine Aufstellung der verschiedenen Datenformate gibt Aufschluss über die Entwicklungen und die verschiedenen Standards. In dem Abschnitt Middleware werden die technischen Grundlagen einer möglichen Integration erläutert. Besonders wird dabei auf JMS eingegangen, das in der praktischen Anwendung genutzt wurde. Die Frameworks bilden ein umfassendes Mittel zur Integration von Applikationen, deswegen werden sie abschließend vorgestellt. Dabei wird J2EE und das neue von Microsoft propagierte .NET präsentiert. Die Problematik bei der Implementierung wird anhand des Praxis Beispiels herausgearbeitet. Als Verbindung diente SonicMQ, der JMS Broker von Progress.
