Analýza a návrh struktury intranetu / Analysis and design of intranet structure

Nowadays, Intranet is an inseparable part of every company, notwithstanding of their size or field of activity. Both, in my work and personal life, I often come across different intranets that usually do not get a positive response. But they usually have the same source of the problem, which is based on their wrong structure. This is why is chose this topic for my thesis. The goal of my thesis is to perform an analysis of an existing intranet of a particular company and subsequently create a design of the intranet new structure using the card-sorting method. This thesis primarily represents a generalized method of how to proceed during such realization and which areas to look into. Theoretical part of this thesis covers the topics of information architecture and also the term intranet itself, where the most frequent issues I came across in the intranets are pointed out. Practical part covers the analysis itself, where I focus on the structure of the existing intranet, categorization of its content, connections with other systems, customization, permission management, surveys of contentment, and intranet usage. The analysis is performed manually by scanning through the existing intranet of the company, since other methods or approaches could not be applied due to technical limitations or insufficient permis-sions. Based on the outputs of the analysis, web categorizations and the card-sorting method, a design of a structure of the new intranet has been proposed. The design itself is a demonstration of the method how to approach the new intranet design.

The thesis deals with the management of documents and their workflow. The aims of the thesis is to analyze the current situation of enterprise content management at a private university and to plan a portal solution for managing documents and their workflow based on the analysis and to implement its pilot version. The work is divided into three parts. The first part describes the university environment and provides an incentive for project preparation. The second part describes the information system architecture and the current state of the enterprise content management at the university. The third, final section describes the architecture and implementation of the portal solution.

Business Intelligence i SharePoint / Business Intelligence in SharePoint

The goal for this thesis work was to develop Business Intelligence (BI) for an IT consultant company. LexiConsult is an IT consultant company in the Lexicon-group which offers expertise within Office (templates, database, spreadsheets, Outlook etc.) but also SharePoint development and services like support, documentation etcetera. We have investigated the functionality in SharePoint and MS SQL Server and have also evaluated which possibilities these platforms offer in terms of creating a BI-solution for LexiConsults needs. SharePoint offers a variety of different tools and services for BI but none of these where available in the Office365-version which LexiConsult uses. Another solution was therefore suggested where the reports should be published on a web hosting company. We have also studied critical success factors when implementing BI in an IT consulting company. The result is a set of BI-reports developed for SQL Server Reporting Services (SSRS), which the staff of LexiConsult can access via their SharePoint site. The reports are designed for monitoring and analysis of the economy with e.g. key performance indicators, drill-down of the revenue in different aspects such as by time period, per employee, per customer etcetera. The reports provides vital knowledge that can be used for decision support, e.g. which customers and which types of projects is the most profitable and should be given priority. Have the consultants had high occupancy rate lately and what is the forecast for the future? Should more consultants be hired? Some of the reports are restricted from access by others than management of the company, and some are accessible by all employees. Data is queried from the SQL-database to the company’s system for booking and invoicing as well as their SharePoint site. This data is transformed to information which should give knowledge about the company and its finances. The result of the thesis work is of interest both within the company and as a product targeting their customers. / Målet med detta examensarbete var att utveckla Business Intelligence (BI) för ett IT-konsultföretag. LexiConsult är ett IT-konsultföretag i Lexicon-gruppen som främst erbjuder expertstöd inom Office (mallar, databaser, kalkylmodeller, Outlook m.m.) men även utveckling och tjänster inom SharePoint, support, dokumentation med mera. Vi har undersökt funktionaliteten i SharePoint samt MS SQL Server och utvärderat vilka möjligheter plattformarna erbjuder för att skapa en BI-lösning som passar LexiConsults behov. SharePoint har stöd för ett antal olika verktyg, tjänster och tekniker för BI men inga av dessa fanns tillgängliga i den Office365-version som LexiConsult använder. Istället föreslogs en lösning där rapporterna skulle publiceras hos ett webhosting-företag. Vi har även undersökt vilka kritiska framgångsfaktorer som finns vid införandet av BI i ett IT-konsultföretag. Resultatet blev ett antal BI-rapporter utvecklade för SQL Server Reporting Services (SSRS) som LexiConsults personal kan ta del av via deras SharePoint-sajt. Rapporterna är utformade för uppföljning och analys av ekonomin med exempelvis indikatorer för viktiga nyckeltal, nedbrytning av intäkterna i olika synvinklar - per tidsperiod, per konsult, per kund och så vidare. Rapporterna ger viktig kunskap som kan användas för beslutstöd, till exempel vilka kunder och vilka typer av uppdrag som är mest lönsamma och ska prioriteras. Har konsulterna haft hög beläggningsgrad den senaste tiden och hur ser prognosen för framtiden ut? Ska ytterligare konsulter anställas? Några av rapporterna är behörighetsstyrda så att endast ledningen har åtkomst till dem, medan andra är tillgängliga för alla. Data till rapporterna hämtas från SQL-databasen till företagets boknings-, och faktureringssystem samt SharePoint-sajt. Detta data omvandlas till information i rapporterna, som ska ge kunskap om företaget och dess ekonomi. Resultatet av arbetet är intressant både för internt bruk inom LexiConsult och som produkt mot företagets kunder.

Dokumenthantering i Microsoft SharePoint 2010 : / Document Management in Microsoft SharePoint 2010

SharePoint är ett stort content- och managament-system som många företag använder sig av. I detta kan mallar specificeras för olika dokumenttyper (kallade content types), som underlättar skapandet av nya dokument för slutanvändaren. Systemet för mallarna blir dock snabbt omständligt och ohanterligt när antalet mallar företaget använder sig av växer. I detta examensarbete undersöks en lösning till problemet med mallarna, som finns tillgänglig på Microsofts Codeplex-site, där projekt under open-source licens kan laddas upp för allmänheten. Under arbetet undersöktes denna lösning djupare och vidareutvecklades för att i slutet av arbetet kunna levereras i form av en prototyp som HOW Solutions kunde använda sig av i framtida projekt. Slutresultatet blev en prototyp som bygger vidare på den tidigare lösningen och som tillåter användaren att specificera en mall-hubb, i form av en site-samling med bibliotek som kan förse andra bibliotek med mallar. Under projektet blev också en annan vidareutveckling av programmet funnen, som visar stor potential och som bör tittas närmare på. / SharePoint is a large content and management system that is used by a vast number of businesses. Templates can be specified for different types of documents (called content types), which simplifies the creating of new documents for the end user. However, the system by which this is done today quickly becomes cumbersome and unmanageable when the number of templates that a business uses increases. In this thesis a solution to the problem is examined which is available on the Microsoft Codeplex site, a site for hosting open source projects. During the project the solution was examined in greater detail, and further developed into a prototype that HOW Solutions could use in future projects. The final result was a prototype that builds on the earlier solution which allows the user to specify a template hub, which is a site collection with libraries that supplies other libraries with templates. During the project another solution, which builds on the same solution, was found. It shows great promise and requires further investigation.

Omnia HR är en HR-plattform utvecklat för Microsofts SharePoint. I denna artikel beskrivs hur en liten del av plattformen är skapad – onboardingen. När en ny person anställs på ett företag bör det göras förberedelser inför den nyanställdes första dag, det är vad onboardingen handlar om. I detta projekt skapades förutsättningar för att administrera och hantera dessa förberedelser.   Projektet skrevs i Microsoft-utvecklade programmeringsspråket TypeScript, en påbyggnad på JavaScript. TypeScript transpileras ned till JavaScript och har stöd för de senaste funktionerna. I rapporten diskuteras fördelarna samt nackdelarna med att använda TypeScript för ett projekt, hur vida det faktiskt underlättar arbetet eller om det går lika bra att använda vanlig JavaScript. / Omnia HR is a HR-platform developed for Microsoft SharePoint. In this article, the creation of a smaller part for the platform – the onboarding – is described. When a new employee is hired, the company need to do some tasks before the new employees first day, that’s what the onboarding is all about. In this project conditions to administrate and handle these tasks were made.   The project was written in the programing language TypeScript, developed by Microsoft. TypeScript is superset of JavaScript and is transpiled down to pure JavaScript with support for the latest functions. In this rapport pros and cons by using TypeScript for a project is discussed, and if it actually makes the process easier or if it’s just as good to use regular JavaScript.

User Support in MOSS 2007

<p>The purpose of this report is to present the findings from the thesis work performed at Qurius Sweden (former Ibitec). The goal was to evaluate how usable Microsoft Office SharePoint Server 2007 (MOSS 2007) was in general and how usable two portal solutions created for MOSS 2007 were in particular. The goal also consisted ofevaluating how SharePoint could be improved in terms of usability and accessibility. The last part of the thesis work was to create a dynamic help tool, from where application specific help could be created.The usability was evaluated with a variant of usability engineering. Not all of the original method could be used because the products analyzed were already finished. The results from the analysis show that MOSS 2007 is quite usable, especially when it comes to document handling. It is also possible to create web pages and sites with ease. MOSS 2007 lacks in usability when it comes to presenting information to the user regarding what is going on in the system and. The system can also be quite complex and much to grasp for an end user. Solutions created in MOSS 2007 follows closely the usability of MOSS 2007 but they can be made very usable if only certain aspects are considered. Example of improvements could be the placement of the help system, clearer error messages and an overlook of managing user rights.The dynamic help tool was created in the programming language C# and based on the .NET platform. The implementation is a so-called Web Part that can easily be inserted on a page in MOSS 2007. The help tool uses the built in help system in MOSS 2007 for editing present help files and for adding new files to it. The help tool has a very minimalistic design and the focus was on the tasks it should be performing rather than a nice-looking interface. To ensure usability for the help tool, future work should be done, testing the product with real users and apply other usability methods to improve the help tool. As of now, no usability methods have been used while developing the help tool, nor have any tests with real users been performed. This is to be considered as future work.As a conclusion, both MOSS 2007 and the solutions created for it can be said to have a certain degree of usability shown from the evaluations. Improvements can be done, and should be, in order to increase the users’ experience. With the help tool, it is now possible to create solution specific help for a project intended for MOSS 2007.</p>

Implementering av dokumenthantering i Medius Flow

<p>IT-företaget Medius tillhandahåller en produkt för ärendehantering, Medius Flow. I denna produkt finns ett visst stöd för dokumenthantering, närmare bestämt en möjlighet att klassificera dokument och lagra dem via Medius Flow. En av Medius kunder har efterfrågat mer funktionalitet och möjligheter att kunna sätta rättigheter på dokument, alltså bestämma vem som ska ha tillgång till ett specifikt dokument.</p><p>Examensarbetet har gått ut på att undersöka olika lösningar för att implementera dokumenthantering i Medius Flow, utvärdera dessa och sedan implementera den lösning som verkar vara bäst.</p><p>Efter att en kundintervju utförts framkom krav på systemet i form av bland annat utökade rättighetsfunktioner, möjlighet att skapa arbetsflöden och att man lätt ska kunna hitta dokumenten.</p><p>Tre olika lösningsförslag togs fram. Det första gick ut på att vidareutveckla den dokumenthantering som finns i Medius Flow idag. Det andra gick ut på att använda sig av ett tredjepartsdokumenthanteringssystem och sedan bygga en integration mellan Medius Flow och detta system. Det tredje lösningsförslaget var att använda sig av Microsoft SharePoint, en webbplatsmotor som ingår i Windows Server 2003.</p><p>Sharepointlösningen var den lösning som efter utvärdering valdes eftersom mycket av den önskade funktionaliteten redan fanns i produkten. Dessutom finns det utvecklingsverktyg där resterande funktionalitet kan utvecklas. Att sätta sig in i hur sharepoint fungerar och konfigureras har tagit en del tid i anspråk och detta kan till viss del bero på att sharepoint V3 endast funnits tillgängligt som en beta-version under tiden för examensarbetet.</p><p>En dokumenthanteringswebbplats har skapats och på denna har experimentella studier utförts. Detta har mynnat ut i en portal med ett antal dokumentbibliotek och ett generellt arbetsflöde som jag har skapat för godkännande av dokument.</p><p>Dokumenthanteringswebbplatsen som har byggts tillhandahåller en generell plattform som i framtiden kan konfigureras för att fungera för alla kunder Medius har. Framtida arbete kan vara att byta ut arbetsflödesmotorn i Medius Flow mot Windows Workflow Foundation för att i framtiden kunna utveckla nya arbetsflöden med stöd av programvara från Microsoft.</p>
