Att konceptualisera ett koncept : Effektivisering av finplanering i BoKlok-projekt

This study has been made in associate with Skanska district middle Sweden, Uppsala and their sector BoKlok. BoKlok is a housing concept, developed by Skanska and IKEA. The purpose of the concept is building affordable homes for ordinary people. It is to be done with low costs due to a shorter planning- and projecting process and an effective house building process. In the production process BoKlok executes the building of the houses and Skanska do all the ground work. A part of the ground work is “detail-planning”. The detail-planning is today ineffective because a lack of communication, well-functioning knowledge transfer and an incomplete projecting. The purpose of this thesis is to make the detail-planning in BoKlok-projects more efficient and standardize the process. The study is built up on experience management. A case study has been made that contains interviews with persons working in BoKlok projects and observations of projects in the Uppsala and Stockholm district. The interviews are based up on an interview form that has been worked out together with the participants. The form includes the work activities in the detail-planning that the participants elucidated needed improvement. The gathered experiences have created a building manual for the detail process. A vision is that this manual should be available in every BoKlok. This study should be a starting point to a continuing documentation of the detail-planning in BoKlok projects to make the process more efficient and to conclude a standard method to perform the production.

Analys av skillnader mellan internationell och svensk rapportering av inträffade händelser på kärnkraftverk / Analysis of differences between international and Swedish reporting of events at nuclear power plants

Report of diploma work conducted at the Swedish Radiation Safety Authority (SSM) as part of the bachelors program in Nuclear Engineering at Uppsala University. All nuclear power plants in Sweden are obliged to report any deficiency in their barriers or the defense in depth in obedience to SSM’s regulations concerning safety in nuclear facilities. In addition, there is an international system for reporting such events. The purpose of this thesis is to study the Swedish report system and to analyze the differences between Swedish and international event reporting. In the Swedish system, SSM’s regulations are effectuated by means of event reports classified as category 1-3, designed individually at each Swedish facility. Accordingly, the reporting differs somewhat between facilities. The number of reports in the Swedish system is relatively large, with a frequency of about 400 per year. Internationally, a system called the International Reporting System for Operating Experience (IRS) has been developed, through which the participating countries exchange experience to improve the safety of nuclear power plants. The IRS reporting frequency is about 100 per year in total, and Sweden contributes to IRS with 1-2 reports per year. This report accounts for a comparison of the two report systems, including some differences and similarities that have been identified. The result shows that the Swedish system covers IRS well but does not have the same comprehensive classification of events and the same standardized format of reporting as the IRS system. The conclusion is that some improvements may be made to the Swedish system, which would facilitate the international exchange of experience at the Swedish nuclear power plants.

Erfarenhetsåterföring i Sveriges två ledande byggbolag : Riktlinjer, utfall och konsekvenser

The construction industry in Sweden has in the past 50 years had a low progress in efficiency. With a greater competition from construction firms from other countries, it is necessary to maintain the profit for Swedish construction firms. This is possible with a higher feedback of experience. This diploma work thesis examines how the two construction companies NCC and Skanska in Uppsala, Sweden handle experience feedback from previous projects and the extent to which the experience is spread and used in future projects. In this work, we examined directorial documents to see how employees shall work with feedback. Written protocols and reports were analyzed to see the extent to which employees comply with established guidelines. Finally, interviews have been conducted with project managers to get their opinions of how work experience feedback is performed. The conclusions of this diploma work are that employees in both NCC and Skanska comply in varying degrees with the established guidelines due to ignorance. We have also concluded that protocols of meetings and written reports are distributed in a low extent as well as the lack of collecting and store them in a central database. If experience feedback would occur to the extent which is desirable, it would leadto a reduced risk of errors during production, which eventually leads to reducedproduction costs.

Increased efficiency of experience feedback between production and budget / Effektivisering av kunskapsflöden mellan produktion och kalkyl

The construction industry has during many years been regarded as a problematic industry. As a result of this the government 2002 set up a commission with the aim to discourage negative trends in the industry. The commission acknowledged the problem with work activities being reconstructed between projects. As a result of this the experience being acquired in one project did not come to use in the next. In the construction industry it is a well-known fact that around 10% of the cost of production can be categorized as error and controls. The most of the errors that occur can be eliminated with better planning. A tool to be used is experience feedback which purpose is to use the knowledge gained from earlier projects to predict future projects. The purpose of this study is to examine and highlight problems that can occur when experience shall be fed back between production and budget with the aim to present suggested improvements. The study is divided into three questions where the first question investigates which data is relevant from production in order to make well motivated production budgets. The second question explores, in a collaboration with SM Entreprenad AB, which conditions there are today regarding experience feedback between production and budget. The third and final question reviews improvements to be made. The first question is being answered with literature as reference while the second and third has its focus on interviews. The results of the study shows that a budget is constructed with earlier projects as reference where data mainly regarding time, used amount of material as well as used material/equipment are the central variables that need to be fed back to budget. The situation at SM Entreprenad today is that they more or less are not feeding back any data from production with the aim to make well motived budgets. The study shows regarding improvements to be made that there are a lot of data to be used, but they lack routines in order to use this data.

Utveckling av metod för erfarenhetsåterföring vid stadsbyggnadsplanering

The paper is a thesis made by three students in the engineering program at Jönköping School of engineering. The thesis was overseen by the urban planning office and features data from Jönköping County.The purpose of the thesis is to improve future central districts by improvement of work methods. The aim of this thesis is, through an evaluation of process mapping, develop a model for systematical work methods with better experience feedback in the urban planning. The following three questions have been answered: How is the process mapping of the urban planning in Jönköping County built today and how did it affect the current district Kålgården? How can the urban planning of Jönköping improve with a more systematical work method with better experience feedback? How can critics elaborate the developed method to make it enough stable and in general applicable method to enforce on future districts?Literature studies and interviews were made to review the work methods of the office of urban planning as well as how their experience feedback works. Currently, systematical experience feedback and the communication between the departments and other operators is defective in Jönköping County.A case study was made because there is doubt about the success of Kålgården through the aspect of urban planning. The result of the case study shows that Kålgården was meant to be a link between two existing districts, which is correct. Studies of old local plans shows that there was a beneficial alternative for the landlords which was created by Jönköping County. The landlords took advantage of the technicality and prioritized their building processes for their own profit.The thesis contains elaborated proposals to improve established problems in the work methods. One of the solutions could be to arrange a steering group for every big project. The steering group would contain one member from different departments of the urban planning and one of the members will be given a main responsibility. This will shorten the information and decision paths. Another proposal is to adopt a town architect, for a more hierarchal point of view, with more direct decisions in the office of urban planning in Jönköping County.A process map has been created where the different proposals are included. It has been reviewed by key figures in Jönköping County and they think that it is stable enough to be applied in urban planning of other counties. There is an activity in the process map where the steering group evaluates the district after approved building permits and after a few years when the district has “grown in” to the city.

Erfarenhetsåterföring på NCC i Umeå / Experience feedback at NCC in Umeå

Successful experience feedback is not common among constructing entrepreneurs since it is hard to practice. NCC in Umeå is one of many constructing entrepreneurs that consider themselves to be poor in this field, which is the reason why they requested a study to be carried out in their organisation. The goal is, inter alia, to identify the current situation. This in order to clarify the attitude towards experience feedback within the organisation. The study leads to a suggestion of how NCC should work with experience feedback in the future, in order to improve it.   A literature study was made with the purpose of gathering enough knowledge, for example about experience feedback, quality and constant improvement. This theory is the foundation on which the further parts of the study rests; the interviews and observations within the company. These interviews and observations aims towards creating an overall picture of the current situation in the company. Moreover they generate primary data on how the organisation wishes to work in order to improve experience feedback. The result of the interviews and observations are analysed together with the theory as reference. This leads to the conclusions which are drawn about how NCC can improve their experience feedback.   The lack of prioritise of experience feedback is the major contributory factor to why experience feedback does not function in the current situation. This since the board have an absence of engagement on the field. Therefore, the needed time for reflection and analysis after a finished project is not given. Another important reason to why the organisation finds experience feedback difficult is the lack of a functioning system of documentation.   In the future, NCC should allocate the time required for a successful work with experience feedback. The board should become more active in this matter and look upon this work as an investment, since it can increase the effectivity in the organisation and reduce the quality deficiency. One person in each project should be in charge of compiling and documenting experiences. These experiences then needs to be labelled and documented in a digital database in order to enable an easy search. These documents should content a summary of the project, protocols from the final meetings, contact lists over the staff involved and a key figure with the sum of all costs from the calculation. Moreover, a compilation with pictures and explanting texts from each part of the building is recommended. This since visualisation was described as an important tool for experience feedback during the study. / En lyckad erfarenhetsåterföring hos byggentreprenörer tillhör inte det vanliga då detta är svårt att genomföra. NCC i Umeå är en av många byggentreprenörer som anser sig vara dåliga på detta område och de ville därför att en undersökning skulle genomföras i organisationen. Målsättningen var bland annat att lyckas identifiera nuläget för att klargöra inställningen till erfarenhetsåterföring hos organisationen. Därefter utmynnar studien i ett förslag på hur NCC i fortsättningen kan arbeta med erfarenhetsåterföring för att förbättra den. För att skaffa tillräckligt med kunskap inom området utfördes en litteraturstudie inom ämnen som erfarenhetsåterföring, kvalitet och ständiga förbättringar med mera. Denna teori låg sedan till grund för vidare studie som omfattades av intervjuer och observationer inne på företaget. Dessa intervjuer och observationer hade som syfte att kartlägga nuläget inom organisationen samt att generera primärdata på hur organisationen vill arbeta för att förbättra erfarenhetsåterföringen. Resultatet av de intervjuer och observationer som utfördes analyseras tillsammans med stöd från teorin. Detta leder till de slutsatser som dras om hur NCC kan förbättra sin erfarenhetsåterföring. Den största bidragande orsaken till varför erfarenhetsåterföringen inte fungerar bra i dagsläget är för att det inte prioriteras. Detta bland annat på grund av att ledningen inte är tillräckligt engagerad, vilket resulterar i att för lite tid ges till reflektion och analys efter avslutat projekt. Bristen på ett fungerande dokumentationssystem är också en stor anledning till varför organisationen tycker arbetet med erfarenhetsåterföring är svårt. Det NCC bör göra för att lyckas med detta arbete i framtiden är att avsätta tillräckligt med tid. Ledningen måste bli mer drivande i frågan och se detta arbete som en investering då det kan öka effektiviteten i organisationen och minska kvalitetsbristerna. En ansvarig person, som ansvarar för att sammanställa och dokumentera erfarenheter, bör utses till varje projekt. Erfarenheterna behöver sedan etiketteras och dokumenteras i en digital databas för att möjliggöra enkla sökningar. Dessa dokument bör innehålla en sammanfattning av projektet, ifyllda protokoll från de slutmöten som ska hållas, en kontaktlista till berörd personal och nyckeltal med slutkostnader från kalkyl. Utöver detta rekommenderas att en sammanställning görs, med bilder och förklarande text från projektets alla utförda byggdelar. Detta då det under studien framkom att visualisering är ett bra verktyg för erfarenhetsåterföring.

Purpose: It has been pointed out in studies how quality in the construction industry should be improved and how the building process has potential to be more efficient. The industry's project-based approach complicates the experience feedback and one is faced with new conditions before each project. When there is so much knowledge and experience in the industry, it should also be possible to make use of it and pass it on in the company. Can a perceived experience be fed back entirely or does knowledge get lost on the way? Today there is research on how knowledge management can improve the business but there is a lack of research on how to take advantage of knowledge gained during the warranty period. The aim of the report is to identify areas for improvement in the work with experience feedback. To find the most important improvement proposals for a construction company in the work experience feedback during the warranty period. Method: The report is a qualitative study and selected research methods are literature studies, case study, interviews, and document analysis. Findings: The study concludes that there are no procedures for documentation of the guarantee measures. For the most part construction services are used to fix errors. The result of that is that the person who carried out the error is not the one who solves it which risks that knowledge is lost during returning. Digital tools are used to advantage to document and collect experiences. There is an awareness in the investigated company that a database with more experience from projects is needed and interviews show that a need for it exists. The experience can be collected in the database so all of the employees use it. Meetings prove to be a good method for disseminating experiences. Implications: The report shows the conclusion that in the present situation there is no routine or system for experience feedback during the warranty period. The results show that all warranty measures should be documented. The experience that is assessed as significant can advantageously be taken up in meetings with the person who possesses the experience to be sure that no knowledge will be lost on the way. Small actions that are documented need not be brought up to the same extent, but the information can be used to detect recurrent errors. The report highlights the importance of experience being not only documented, it then becomes no experience feedback. The feedback itself is central to the benefit and improve the quality of the building. Digital tools can serve as important tools to document and gather experience and should be used on a larger scale. Limitations: The report is limited by the focus on the housing side in one construction company. The work doesn’t immerse in the economic factors or specific construction errors. The interviews are held only with officials and the majority of the interviewees work in the same district. Document analysis is used to observe the company's management, but an in-depth analysis of the system are not executed.
