Gerd Enequists personarkiv / The Personal Archive of Gerd Enequist

The Swedish geographer Gerd Enequist (1903-1989) left behind great amounts of private and work material when she passed away. This was donated to the University Library of Uppsala, Carolina Rediviva, in three different accessions. This resulted in three different record. The subject of this report is the progress of assembling these record into one complete record. The registering led to many important decisions such as the role of provenance and the relation of private and public documents. Above all the special nature of personal archives have been a topic of discussion. Personal archives separate themselves from public records and therefore demand a different strategy of listing. The width of kinds of material and the mixture of private and public records are important qualities that differ them from public records. The report is initiated with an introduction of Enequist, followed by a description of the three accessions. In the second part of the report the work with recording the archive is accounted for including a description of the headings of the record. Thereafter the problems encountered during the work are described and discussed. The report is completed with a short proposal of the research values of the archive.

Samlingen som verktyg : Personal Information Management  och konstnärers personliga samlingar / The Collection as Tool : Personal Information Management and Artists’ Personal Collections

The study set out to find how artists organize and use their personal collections from a Personal Information Management (PIM) perspective, and how that use affects their practice and their art production. A secondary object of the study was to articulate the ways that personal collections are utilized as tools by creative users.  The empirical data consisted of five qualitative, semi-structured interviews with Swedish and Norwegian sound artists. The constant comparative method was used for analysis, and Activity Theory was used as a theore- tical framework for the study. The study concluded that artists’ personal collections, while diverse in content and structure, serve the same functions as tools in creative processes, and that attention to the uses of personal collections highlight needs that could be better met by integrated PIM-functionality.  The study also concluded that artists constitute an underutilized resource for future PIM-research and that artists’ personal collection use provides insight into creative use of collections, and highlights potential direc- tions for future development of PIM tools. This paper is a two years master’s thesis in Library and Information Science.

Ett förlorat kulturarv? : Digitala personarkiv – problem, lösningar och framtid / A Lost Cultural Heritage? : Digital Personal Archives – Problems, Solutions and Future

This thesis has focused on digital born personal archives; how they are different from analog paper archives and possible ways to overbridge these differences. It is also studied how archivists and librarians are dealing with digital archives, what they think about new proactive solutions when collecting private papers and collections and positive and negative effects with this way to work. The thesis is delimitated to only private collections and digital created material. It do not concern digitized material or electronic documents in government or business organizations. The challenges in digital curation and administration are discussed in aspect of the Records Continuum Model. The empirical material is also put in relation to research in Personal Information Management and identity theory. Two qualitative methods have been used, a case study of an authors personal electronic archive and five deep-going interviews with archivists and librarians working with personal collections in university libraries. This study shows that many difficulties and problems displayed in the electronic archive could be solved in the future with a more proactive approach and early cooperation with the collector. By educating and informing creators of personal records about file formats, archival structure and the need of them to engage in their own collection, more personal digital records could be preserved. Librarians and archivists are imagining more proactive work in the future but are also asking for other solutions. A lot of the challenges united with electronic personal archives are associated with lacking continuity which is a reason to use the Records Continuum Model to explain and work with personal digital collections. This is a two year master’s thesis in archival science.

Personal archives are those created by individuals for their own individual needs and purposes. As a category of archive, personal archives are under-studied and under-represented in the archival literature. This dissertation seeks to fill some of the gaps identified by archival theorists by investigating the nature of personal archives and the application of foundational principles of archival theory to them. Focusing on the archives of a particular sub-set of creators, literary authors, I question both recent and persistent trends toward a psychological or character-based approach to personal archives, and call attention to the limitations of past and current interpretations of the principle of provenance (and its sub-principles, the principle of respect for original order and the principle of respect des fonds) as it is understood in relation and applied to writers’ archives. I argue that archival theory is too strongly oriented toward the creator of archives as referent rather than to the archive itself as referent, and propose the need for a stronger focus, both in theory and in practice, on the various individuals and processes that shape an archive. Finally, I call for more candid descriptive practices that better convey to researchers the complicated life histories of the archives they consult and that admit the degree to which archives are the self-conscious constructs of a variety of archival agents.

O problema desta pesquisa encontra-se na questão: De que forma se constituiu, no Brasil, um imaginário que fundamenta e regula a prática de institucionalização dos arquivos pessoais? Esta questão se estrutura a partir da hipótese que de as instituições analisadas estabeleceram e instituíram um imaginário no qual a institucionalização de arquivos pessoais representa uma forma renovada de legitimação de elementos sociais já instituídos na sociedade. Como uma pesquisa de cunho qualitativo, a metodologia utilizada se estrutura em levantamento bibliográfico e documental, com o uso de bibliografia, nacional e estrangeira, especializada em arquivos pessoais e documentos históricos, de modo que fornecesse as bases para os debates que são desenvolvidos. Como pesquisa documental, nos utilizamos dos processos de incorporação de acervos produzidos pelas entidades analisadas. A proposta de utilizar este corpus documental se justifica pela busca por elementos que fornecessem subsídios para compreender as circunstâncias que circundam o trabalho de seleção e incorporação de arquivos pessoais por estas instituições. Foram realizadas também entrevistas com agentes que atuaram especificamente nestes processos de incorporação de arquivos pessoais nas entidades analisadas. Como recorte temporal, foi escolhido o período em que, reconhecidamente, o Brasil passa por um crescimento exponencial de instituições de custódia de arquivos pessoais. Este período se localiza entre os anos 1960 e 1990. Assim, foram escolhidas três entidades criadas neste período: Instituto de Estudos Brasileiros (IEB), Centro de Pesquisa e Documentação de História Contemporânea do Brasil (CPDOC) e Museu de Astronomia e Ciências Afins. Analisamos as formas e processos de incorporação de arquivos pessoais por estas instituições no período que se inicia com suas fundações, finalizando no ano de 1999. Esta data limite foi estabelecida levando em consideração que a partir deste momento os debates que envolvem a implantação de políticas de acervo pelas instituições arquivísticas brasileiras ganharam fôlego e passaram a regular este processo de forma mais objetiva. Após a análise contextual dos processos de incorporação de 43 arquivos pessoais, em associação aos depoimentos de 06 agentes envolvidos neste trabalho nas entidades analisadas, pudemos concluir que a seleção de arquivos pessoais para a preservação segue padrões estabelecidos pelas áreas acadêmicas responsáveis por desenvolverem pesquisas nestas entidades. O estabelecimento de valores de preservação aos arquivos pessoais encontra-se subordinado aos interesses da pesquisa acadêmica desenvolvida em cada uma das instituições. Mais do que uma questão de temática que define a identidade organizacional de cada entidade analisada, a preservação de arquivos pessoais compete a uma legitimação estabelecida a partir das autoridades dos agentes – docentes e pesquisadores – representantes do saber/poder dos campos de conhecimento. A academia, considerada como uma instituição social detentora de poder social, se fundamenta em seus próprios preceitos de saber/poder, já definidos e legitimados, para estabelecer a preservação de arquivos pessoais. Este cenário, pelo ponto de vista da memória e da identidade social, se configura como um processo heterônomo de preservação de bens histórico-culturais, onde poucos agentes são autorizados a construir o acervo coletivo de documentos históricos e determinar aquilo com o que toda a comunidade deve se identificar e se lembrar. / This research aims to analyze the symbolic processes that cover and conduct the personal archives’ incorporation by safekeeping entities in Brazil. The problem of this research lies in the question: How was constituted, in Brazil, an ideal that substantiate and regulate the personal archives’ institutionalization practice? This question structures itself from the hypothesis that the analyzed institutions – and it is believed to the rest that do not integrate documental research – established and founded an ideal in which the institutionalization of personal archives represents a renewed form of legitimation of social elements already instituted in the society. As a qualitative nature research, the used methodology is structured in bibliographical and documental search, with the use of Brazilian and foreign bibliography, specialized in personal archives and historical documents, in a way that would provide the groundwork to the debates that will be developed. As documental research, we gathered from processes of collection incorporations produced by the analyzed institutions. The proposal to utilize such documental corpus is justified by the search of elements that would supply subsidies to comprehend the circumstances that surround the personal archives selection and incorporation work by these institutions. There was also interviews with agents that worked specifically in these personal archives incorporation processes by the analyzed entities. As a temporal cut, it was chosen the period in which, admittedly, Brazil goes through an exponential growth of personal archives safekeeping institutions. This period is located between the years 1960 and 1990. Thereby, three entities created in this period were chosen: Brazilian Studies Institute (Instituto de Estudos Brasileiros, IEB), Center of Research and Documentation of Brazilian Contemporary History (Centro de Pesquisa e Documentação de História Contemporânea do Brasil, CPDOC) and the Museum of Astronomy and Related Sciences (Museu de Astronomia e Ciências Afins, MAST). We analyzed the personal archives incorporation processes and modes by these institutions in the period that start with their foundations, ending in the year of 1999. This limit date is established considering that from this moment the debates that involve the implantation of collection policies by the Brazilian archival institutions took momentum and start regulating this processes. After the contextual analysis of the incorporation processes of 43 personal archives, along with the testimony of 06 agents involved in this work in the analyzed entities, we could conclude that the selection of personal archives for preservation follows standards established by the academic fields responsible for the development of researches in these entities. The establishment of preservation values to the personal archives is subordinated to the interests of the academic research developed in each institution. More than a matter of theme that defines the organizational identity of each analyzed entity, the preservation of personal archives is up to a legitimation established by the authorities of the agents – professors and researchers – representatives of the know/power of the knowledge fields. The academy, considered as a social institution holder of social power, grounds itself in its own know/power precepts, already defined and legitimated, to establish the personal archives’ preservation. This scenario, from the memory and social identity’s standpoint, is set as heteronomous processes of historic-cultural assets’ preservation, where few agents are authorized to build the collective collections of historic documents and define what the whole community must identify itself with and to remember.

Arquivos pessoais, pela abundância de informações que contêm, por sua diversidade, complexidade e caráter intimista dão lugar a considerações interdisciplinares, na perspectiva histórica, social, arquivística, linguística, literária, inclusive. Esta pesquisa tem por objeto cartas de amor escritas nas décadas de 1920 e 1930, pertencentes ao arquivo pessoal de uma pessoa comum, e visa contribuir para uma melhor compreensão dos arquivos privados. Partindo de uma introdução ao assunto, passa-se a uma abordagem interdisciplinar dos arquivos pessoais e das unidades que os compõem nos dois primeiros capítulos. Os objetivos específicos consistem em apresentar um estudo sobre cartas, no caso, o epistolário franciscano, no terceiro capítulo, explorando, após, os temas etiqueta social e cotidiano nos dois capítulos finais. A metodologia utilizada consistiu em uma abordagem qualitativa e exploratória das referências bibliográficas, com reprodução de imagens de unidades do arquivo de Lysia, um arquivo pessoal, bem como de trechos das cartas pesquisadas que, ao longo do texto, são colocados na perspectiva dos referenciais bibliográficos utilizados, buscando pertinências e conexões. Imagens das cartas cujos trechos foram transcritos nos quadros são reproduzidas integralmente no anexo desta pesquisa, no segundo volume, na mesma ordem em que aparecem no texto. / Personal archives, because of the abundance of information they contain, because of their diversity, complexity and intimate character give rise to interdisciplinary considerations, from a historical, social, archival, linguistic, and literary perspective. This research deals with letters of love written in the 1920s and 1930s, belonging to the personal archive of an ordinary person, and aims to contribute to a better understanding of private archives. Starting from an introduction to the subject, an interdisciplinary approach is taken to the personal archives and the units that compose them in the first two chapters. The specific objectives are to present a study of letters, in this case the Franciscan epistolary, in the third chapter, exploring after the themes social etiquette and daily life in the two final chapters. The methodology used consisted of a qualitative and exploratory approach of the bibliographical references, with reproduction of images of units of the Lysia archive, a personal archive, as well as excerpts of the letters searched that, throughout the text, are placed in perspective of bibliographical references used, searching for pertinences and connections. Images of the letters whose excerpts were transcribed in the tables are reproduced integrally in the annex of this research, in the second volume, in the same order as they appear in the text.

Preservando a memória da ciência brasileira: os arquivos pessoais de professores e pesquisadores da Universidade de São Paulo / Preserving the memory of brazilian science: the personal archives from teachers and researchers of the University of São Paulo

Ao longo de suas vidas funcionais junto à Universidade de São Paulo (USP), pesquisadores e professores atuam nos campos da docência e da investigação científica, acumulando também cargos de gestão. Tais atividades geram um rico manancial documental mantido em seus gabinetes e laboratórios. Todavia, o que ocorre com esta documentação quando deixam de integrar os quadros acadêmicos? A pesquisa busca responder a tal questão. Reconhecendo a relevância e o potencial informativo destes arquivos, repositórios não apenas da memória individual de seus titulares, mas também da própria universidade e, por extensão, da vida científica brasileira, e em face das diversas ações de preservação de arquivos desenvolvidas, sem obedecer a diretrizes comuns ou a um programa regular, pelas faculdades e institutos da USP, nossa intenção é mapear a existência de tais núcleos documentais nos seus diferentes campi e caracterizar as condições em que são preservados e consultados. O resultado a ser alcançado assume duplo caráter: o de um guia, nos moldes preconizados pela literatura arquivística quanto à elaboração de instrumentos de pesquisa, e o de um diagnóstico das circunstâncias de aquisição, custódia e tratamento técnico a que foram submetidos os documentos. O trabalho deverá subsidiar, a curto e médio prazo, a formulação de uma política memorial compatível com a importância da Universidade de São Paulo / Over their functional life at the University of São Paulo (USP), researchers and professors work on the fields of teaching and scientific investigation, also mounting up management positions. These activities generate a rich source of documents usually kept in their offices and laboratories. However, what happens to such documentation when they leave the academic staff? This study aims to answer this question. By recognizing the relevance and the informational potential of such archives repositories of not only the individual memory of their creators, but also of the university itself and, by extension, of Brazilian scientific life , and by facing the various operations of archives preservation developed by USP colleges and institutes without following common guidelines or frameworks, our purpose is to map the existence of such documentation in the different campuses of the University of São Paulo, characterizing their conditions of access and preservation. The result to be achieved is double-­faced: on the one side, we aim to elaborate a guide, adopting the framework of the archival literature on finding aids elaboration; on the other side, we aim to diagnose the circumstances of acquisition, custody and treatment to which the documents were submitted. This study should provide subsidies for the creation, in short and medium term, of a memorial policy compatible with the importance of the University of São Paulo

Recortes de jornal: da prática social aos arquivos / Newspaper clippings: from a social practice to the archives

Geralmente considerados material de segunda classe, os chamados recortes de jornal têm sido frequentemente marginalizados no plano do tratamento documental. Entretanto, sua presença nos arquivos, não raro formando conjuntos volumosos, é inegável e impõe desafios e dilemas aos arquivistas e profissionais que se dedicam a organizá-los e descrevê-los. Neste sentido, um dos problemas mais sensíveis tem sido o reconhecimento das espécies e tipos documentais resultantes da atividade jornalística, geralmente denominadas, nos instrumentos de pesquisa, de forma genérica e inadequada. Alinhando conceitos e noções da arquivística, da diplomática, das ciências da comunicação e da linguagem, procuramos identificar as espécies documentais usualmente encontradas sob a forma de recortes nos arquivos, definindo-as em glossário. Procuramos, ainda, reconhecer a condição arquivística e o caráter instrumental dos recortes de jornal, examinando, a partir de exemplos observados em arquivos pessoais, a lógica de sua acumulação como reflexo de uma prática social cujas origens remetem a uma tradição muito mais antiga do que se supõe. / Usually considered as second-class material, the so-called newspaper clippings have been marginalized at the level of archival processing. However, their existence in the archives is unquestionable and challenges archivists and other professionals who organize and describe them. In this sense, one of the most sensitive problems has been the identification of the forms resulting from journalistic processes, usually named in generic and inadequate ways in archival finding aids. By aligning concepts and notions from the fields of Archival Science, Diplomatics, Communication, and Language, this study aims to detect the forms usually named generically as clippings and to define them in a glossary. It also seeks to reaffirm the archival condition and the instrumental character of newspaper clippings, considering the accumulation of such material as the reflection of a social practice rooted in an ancient tradition.
