Návrh otevřeného archivačního informačního systému v souladu s GDPR

The aim of the thesis is to design an open archiving information system in accordance with GDPR. The work follows the already functional solution, in which GDPR needs to be implemented. In my thesis I have proposed the methodology of the OAIS proposal in accordance with GDPR, which is used for the whole work. I focus on the design of the use case model, which is followed by sequential diagrams and their methods, class diagrams and lastly I analyze the TOGAF framework. After analyzing the current solution and comparing it with my proposal, I study GDPR and its impact on the archive. I described the obligations of the GDPR and suggested their solution in the archive. In my work I managed to design OAIS archive, confirm the correctness of the current solution and implement the GDPR regulation. The main finding is that GDPR does not bring any rapid changes.

Vad är ett E-Arkiv? : En fallstudie på E-Arkiv Stockholm

The aim of this thesis in Archival Science was to explore the concept of electronic archives and the challenges that might be encountered when attempting to move archives into a new digital age, as well as having a closer look at the term e-archive itself. Another aim was to explore how the OAIS reference model works in practice.To explore these questions I decided to do a case study on E-Arkiv Stockholm, a functioning e-archive. I decided to do a study on several documents that were created throughout the project, these included documents related to the planning of the archive, as well as the final report. My reason for this method was that these docu-ments came straight from reality and would give a clear and unbiased view of the project and it’s many aspects.Examination of the documents showed that the OAIS reference model and its concepts had been the foun-dation of much of the planning. Thoughts and planning on the matter of digital preservation are also based in the model, with a focus on migration and conversion of digital material as a means to ensure it’s lasting existence, as well as keeping a close eye on the technical development of both hardware and software. I also reached the con-clusion that the concept and term e-archive is not so much about re-inventing archival policies and theory as it is about keeping true to already existing practices in a new digital environment. With a special focus on preserva-tion, as digital preservation might, both now and in the future, prove to be much more of a challenge then the preservation of more traditional media.This is a one-year masters thesis in archival science.

<p>The scope of this paper is to investigate if it is possible to use the OAIS Reference Model (Open Archival Information System, developed by US Consultative Committee for Space Data Systems, CCSDS) as a tool to theoretically evaluate a digitization project.</p><p> </p><p>The empirical investigation is a qualitative study of a Digitization Project related to the Broadcast Industry, migrating Television Programmes stored on analogue videotapes, to digital files. This digitization will put those programmes as records into equal problems with Longt-term Digital Preservation as other Digital Records “born digital”.</p><p> </p><p>Each activity in the Digitization Project has been compared by the six high level processes of the OAIS Reference Model. The evaluation criterion was made as an assessment of how the activities of the Digitization Project meet archival theory as the Principle of Provenance and Authenticity.</p><p> </p><p>One key role in the OAIS Reference Model– Management - has been evaluated according to economic incentives to finance a Digitization Project.</p><p> </p><p>The empirical Digitization Project has four different participants, each of them represented in the projects Steering Committee. During the empirical investigation it was also found that the four participants have different objectives of the digitization of Television Programmes.</p><p> </p><p>The conclusion is that it is possible to use the OAIS Reference Model as an evaluation tool. The assement shows low correspondence in important functional entities as Archive Storage and Preservation Planning.The responsibility of ownership in the empirical project is weak according to the criteria proposed in the role of Management in the OAIS Reference Model.</p>

Det är uppmuntrande att höra respondenterna, från olika offentliga myndigheter, uttrycka sig om arbetet med eArkiv. Det går att lägga märke till att deras arbete inte handlar om att hålla reda på dammiga papper och arkivkartonger utan att det istället handlar om att bevara det digitala minnet i första hand. De visar en genuin känsla av att vilja utveckla sitt åtagande på bästa möjliga sätt och ge ett viktigt bidrag till verksamheten. Resultatet av den undersökning som gjorts visar några viktiga åtgärder som vidtagits och insikter som arbetet gett. De beskriver i sina uttalanden hur komplext arbetet med att skapa ett system för att ta emot digital data är. När det gäller standarder så har OAIS-modellen fått en mycket stark ställning hos dem som blivit intervjuade. Hur arbetet med att redovisa arkiven enligt verksamhetens processer har fungerat berörs också. Däremot var det inte så många andra standarder som hade fått någon särskild uppmärksamhet förutom de formatstandarder som Riksarkivet utfärdat. Med dessa data som grund har det skapats en teori omkring arbetet med att införa ett eArkiv.

The purpose of this thesis was to investigate if Swedish agencies preserve their websites according to the Swedish archival legislations and guidelines. As a theory the OAIS Reference Model (Open Archival Information System, developed by US Consultative Committee for Space Data Systems, CCSDS) has been used as a model to show how important it is to develop strategies for public digital information which has to be preserved for long term. The ingest function in the OAIS Reference Model demands that files are prepared for long term preservation and requires that the digital information fulfils established technical requirements. In the study the Swedish National Archive and their advices about preserving websites to archivists on the Swedish agencies are being studied. To control if the agencies meet the requirements for their management and preservation of their websites a survey was sent out to investigate if Swedish agencies preserve their websites.   According to the survey result, 84 of 113 agencies preserve their websites in some way. If the technical requirements really was met could not be verified in this thesis, the results was relied on the responses from the authorities. The study showed that agencies requested clearer rules in the field of preservation of websites, but also that some agencies wasn’t aware of the regulations and the significance in this issue.   The conclusion of the study is that the agencies might need to update themselves on important legislation and guidance in this area. The study also shows that the National Archive must be clearer with their information on long term storage of government agencies websites.

E-ternally yours : the case for the development of a reliable repository for the preservation of personal digital objects

This paper examines the feasibility of establishing reliable repositories intended for the use of the average individual for the preservation of personal digital objects. Observers of technological change warn of the coming of a "digital dark age." Rather than being systematic, the attempts of the average individual to preserve his or her personal digital objects - photos, documents, music - are ad hoc, at best. Digital archiving involves challenges both in terms of hardware reliability and software obsolescence, and requires a blend of technology platforms, legal and public policies, and organizational structure. These three areas must be combined in a cohesive manner in order to facilitate the preservation of personal digital objects for periods of decades or even centuries. Regarding the issue of technological feasibility, I present an examination of work that has already been performed in the field of digital preservation, including an assessment ofDSpace, an open source platform used in institutional repositories to encapsulate data for long term archival. I then introduce my development of Alexandria@CyberStreet.com as an exploration of how a DSpace installation may be modified to suit the needs of personal archiving. Next, I present an examination of the legal and public policy issues concerning such a repository. Finally, I examine organizations that are devoted to the oversight of long-term endeavors and draw conclusions as to an appropriate administrative structure. I conclude that there are sufficient technological tools, public policies and organizational models in place to enable establishment of reliable, long term repositories for personal digital objects.

Authenticity in Electronic Archives : Securing Digital Records

Abstrakt   Den snabba tekniska utvecklingen har lett till ökad produktion av digitala handlingar/records och transaktioner. Inom e-arkivens domäner, har detta medfört ett ökat tryck på det tekniska området för att kunna garantera autenticitet av bevarad information över tid.          Tidsstämplingstekniker är ett sätt att säkerställa digital information för en särskild tidpunkt och kan användas för att garantera autenticitet av digital information över tid. Denna magisteruppsats undersöker funktionen tidsstämpling inom e-arkivens domäner genom en kvalitativ metod med fem semistrukturerade intervjuer av fem svenska organisationer. I undersökningen ingår också en fallstudie av det svenska innovationsföretaget Enigio Time AB för att ge en förståelse av tidsstämplingstekniker och av deras tjänst time:stamp. Den teoretiska utgångspunkten i denna magisteruppsats är records continuum model med dels dess syn på kontinuitet i handlingar/records och dels dess belysande av skapelseögonblicket av handlingar/records. Den internationella standarden OAIS (Open Archival Information System) används för att hantera digital information och är, i denna uppsats, använd för att analysera hanteringen i dokumenthanteringssystem inom de fem organisationerna.                       Resultaten visar att denna snabba tekniska utveckling har komplicerat dels hanteringen i att säkerställa att digitala handlingar/records inte kan bli manipulerade eller ändrade och dels för att fortsatt kunna garantera autenticitet i ett långtidsperspektiv.                       Undersökningen visar även att organisationerna kan garantera att det bevarade materialet inte kommer att ändras när det väl är inne i arkivet men dess autenticitet, innan de kommer innanför arkivens trösklar, kan aldrig bekräftas. I och med att den moderna tiden producerar och bevarar enorma mängder data så bör detta starta med skapelsen av ett digitalt record tillsammans med bättre strukturerad metadatascheman som är säkrade i tid. / Abstract   The rapid ongoing technical development has led to increased production of digital records and transactions. In the domain of electronic archives, this has put pressure on the technical area in order to guarantee authenticity of preserved information over time. Time stamping techniques are one way to secure digital information at a certain point in time and can be employed to guarantee authenticity of digital information over time. This study examines the function of time stamping within the domain of electronic archives and is conducted with a qualitative method using semi-structured interviews on five Swedish organisations. The study is complemented with a case-study of the Swedish innovation company Enigio Time AB in order to gain understanding in time stamping techniques and their service time:stamp.                       The theoretical framework in this study is the records continuum model with the view of the continuity in records and its illumination of the point of creation. The international standard OAIS (Open Archival Information System) is used by several electronic models to manage digital information and is, in this study, used to analyse the management in record keeping within the five organisations.                       The conclusion is that this rapid technological development has complicated the management of secure digital records from manipulation and guaranteeing the authenticity in a long term perspective.                       The study further shows that organisations may guarantee that records will not change once they are received into the archive but the authenticity of them, before they were delivered, can never be confirmed. Since the modern information era produces and preserves enormous amounts of data, this has to start with the creation of the digital record where better structured metadata schemes are secured in time.

Methodology and Architecture for Products Long Term Knowledge Preservation : A dynamic preservation approach and a multi-layer architecture / Méthodologie et architecture de Préservation des Connaissances à Long Terme : Approche de préservation dynamique et architecture multi-couches

La préservation des informations numériques et des connaissances est l'un des objectifs principaux de la création et la gestion d'un système d'information dans une entreprise. Cette préservation est qualifiée de cruciale en termes de traçabilité, sécurité et durabilité.Ce travail de recherche s’inscrit dans le contexte de l’archivage numérique des connaissances. Notre recherche s’intéresse aux problématiques de la couverture et de l’adaptabilité des solutions logicielles pour la préservation des connaissances à long terme (Long Term Knowledge Retention, LTKR). On se propose donc de développer les concepts d’une architecture à bases de modèles, intégrée et évolutive pour l’archivage des informations numériques. Pour positionner nos travaux, nous avons synthétisé les besoins d’archivage à long termes, les travaux publiés, les plateformes et outils existants et ainsi ciblé les besoins manquants que nous allons développer dans ce travail de thèse.Dans une étape de spécification, l’analyse des concepts de gestion des connaissances pour l’archivage permet d’aboutir à une meilleure spécification des artefacts de connaissances (package d’information) à fournir à une plateforme d’archivage. Dans cette perspective, nous avons proposé une extension de la méthode CommonKADS. Le système d’archivage proposé étend le modèle de référence OAIS (Open Archival Information System) et ses divers implémentations (i.e. DSpace, Fedora repository, EPrints, etc). Nous avons développé des fonctionnalités supplémentaires pour étendre les concepts d’archivages statiques vers une architecture dynamique et évolutive à base de modèles. La finalité de ce travail est de définir les briques fonctionnelles d’un système d’archivage des informations numériques qui s’adapte aux besoins des entreprises et l’évolution de la complexité des données qu’elles gèrent. Nous avons finalement proposé une méthode de conservation dynamique et une architecture appelée MadPK (Multi-layer Architecture for Dynamic Preservation of Knowledge) pour préservation à long terme.L’ensemble des concepts proposés dans cette thèse sont développés et testés sur les environnements BPM/SOA suites. / Preserving digital information is one of the objectives of the creation and management of information systems in a company. The long term preservation of information and knowledge becomes crucial in terms of safety and availability. Therefore, our research targets the Long Term Knowledge Retention (LTKR) and preservation in terms of traceability, reusability and security of digital information; and aims at proposing a methodology and an architecture for this purpose.Through analysis of existing works and projects, whose objective is long-term digital preservation, we have synthesized long term preservation common requirements and found out the gaps between existing requirements and the new requirements we have identified. Existing methodologies and tools for Knowledge Management (KM) are identified. We have extended the CommonKADS methodology in order to build connections between KM and digital preservation. The knowledge objects we have produced in a KM approach are thus better suited as inputs for the digital preservation platform.We have also studied the functional features of the existing digital preservation systems, and some main features to support a long term preservation approach. We have extended the Open Archival Information System (OAIS) reference model to establish a preservation platform, by adding specific features in order to fulfill the remaining requirements in the long term preservation area.We have finally proposed a dynamic preservation method and an architecture called MadPK (Multi-layer Architecture for Dynamic Preservation of Knowledge) for long term preservation, adapting Service Oriented Application (SOA) and Business Process Management (BPM) concepts. The proposed architecture provides dynamic features and enables us to have better interoperability between the KM approach and digital preservation approach/platform.The proposed design models of this thesis are implemented and tested within the environment of BPM/SOA suite.
