Electronic Mail and its Possible Negative Aspects in Organizational Contexts

Electronic mail has become the medium of choice in most organizations because of some of its special features. E-mail, like all computer-mediated communication, changes the way we interact and has therefore an impact on working conditions, sometimes in a negative direction. Research findings so far show divergent opinions about how e-mail has influenced work. The main purpose of this thesis is to understand and explain if and why there are possible negative outcomes of e-mail usage in organizations, and to use the findings to develop a guiding model for organizational e-mail use. In order to meet the goals set, earlier research in the area Computer Mediated Communication (CMC) that focus on the effects on the social system was used. This research is mainly based on theories of media choice and communication theories, which offer a valuable contribution for understanding why e-mail might be used in improper ways in organizations. Empirical data was collected in several steps using different techniques. The target group was managers in different kinds of organizations, but also administrative staff and teachers. The result shows that there are several reasons why e-mail usage might be a problem in organizations like expectations of fast feedback and being constantly updated, post absence backlog, too much information in e-mail, too many incoming e-mails, irrelevant information, decreased personal contact, a more sedentary work environment and e-mail splitting the respondents' time. The contribution of this thesis is that possible negative aspects of e-mail use in organizations are due to a combination of factors. To overcome any organizational disadvantages of e-mail it is vital to consider the e-mail users' behaviors, feelings and attitudes in a specific organizational context in combination with e-mail's special features. A number of guidelines are presented to help organizations and individuals make e-mail use more efficient and satisfying.

South African Sign Language used in Parliament: Is there a need for standardisation?

Thesis (MPhil (General Linguistics))--University of Stellenbosch, 2010. / ENGLISH ABSTRACT: During interpreting in the National Parliament of South Africa, the South African Sign Language (SASL) signs used for terms frequently occurring in political debates appear to differ from one interpreter to the next. The question arises as to whether this could be a possible source of miscommunication, and, if so, whether there is a need for SASL to be standardised in order to promote successful communication and/or avoid misunderstandings while interpreting the proceedings of Parliament for a Deaf Member of Parliament as well as for Deaf members of the public. The present research set out to answer these questions. In order to do so, video-recordings were made of two parliamentary SASL interpreters each independently signing 10 English terms often used during Parliamentary sittings. These recordings were shown to three Deaf adults, from more or less the same linguistic background, who were tasked with writing down the meaning of each sign of each interpreter. Responses given by the informants were allocated marks and a total score was calculated to reveal the level of intelligibility of the signs of each interpreter. It was found that not one of the deaf adults could understand all 10 signs of any one interpreter, and that the signs used by the two interpreters for eight of the 10 English terms differed vastly. The answers indicate the possibility of miscommunication, which could be avoided if standardised terms were available for use in the Parliamentary environment. / AFRIKAANSE OPSOMMING: Tydens tolking in die Nasionale Parlement van Suid Afrika blyk tekens in Suid Afrikaanse Gebaretaal vir terme wat gereeld in politiese debatte voorkom, te verskil van tolk tot tolk. Die vraag is of dit ‘n bron van moontlike wankommunikasie kan wees en, indien wel, of daar dan ‘n behoefte daaraan is om Suid-Afrikaanse Gebaretaal te standardiseer met die doel om suksesvolle kommunikasie te bevorder en/of om misverstande te vermy terwyl die verrigtinge van die Parlement getolk word vir die dowe Lid van die Parlement asook die dowe lede van die publiek. Die huidige navorsing is gedoen om ‘n antwoord op hierdie vrae te verkry. Vir hierdie doeleindes is video-opnames van twee parlementêre gebaretaaltolke gemaak. Elke tolk het onafhanklik van die ander een 10 Engelse terme getolk wat gereeld voorkom gedurende parlementêre sittings. Hierdie opnames is dan aan drie volwasse Dowes gewys, wat afkomstig was van ongeveer dieselfde taalagtergrond, wat die betekenis van elke tolk se gebare neergeskryf het. Tellings is aan die response van elke informant toegeken en die totale telling is uitgewerk om die vlak van verstaanbaarheid van die gebare van elke tolk uit te werk. Daar is bevind dat nie een van die Dowe volwassenes al 10 terme korrek kon verstaan nie en dat ag van die 10 Engelse terme grotendeels verskillend getolk is deur die tolke. Die antwoorde dui daarop dat daar ‘n moontlikheid van wankommunikasie bestaan, wat vermy kan word as gebaretaalterme gestandardiseer kan word in die parlementêre omgewing.

Gross-gender and gross-generational communication in Siyabuswa

The problem addressed in this study is the difference in patterns of verbal and non-verbal communication across gender and generational groups, specifically between members of traditional and urban communities. These differences, it is argued, are linked to differences in values, attitudes, beliefs, views, etc., i.e. cultural differences, between the groups. Misunderstanding in such communicative interaction arises because people are unaware of the role of cultural differences in the construction and interpretation of texts/cases of language use, for example, the gender differences in the way men and women from different age groups and different habitats (rural vs. urban) can generate misunderstanding. In the Ndebele community, there is a marked diversity in communication patterns and practices by gender. These differences in communication patterns between men and women are socially constructed and are related to power. For example, women are not expected to maintain eye contact with their male counterparts in mutual conversation. Where they disregard these communicative norms, it would be regarded as socially unacceptable and such behaviour would be regarded as disrespectful by the traditional members of the society. Non-verbal behaviour may also impede effective communication because there are different systems of using and understanding gesture, posture, silence, touch and physical appearance in different gender, age and rural/urban communities. Terminological Mediation in Information Technology and Related Fields

Terminological dissonance is created by the inherent ambiguity of natural language and compounded by ontological specialization efforts within fields. Terminological dissonance creates high-risk miscommunications in two key areas: within Information Technology as a singular domain, and also between IT and other fields in interdisciplinary projects. A comprehensive literature review revealed a lack of previous effort to acknowledge or solve problems of terminological dissonance within Information Technology. This research provides a comprehensive overview and definition of the terminology mediation space as it relates to Information Technology and adjacent fields. An analysis and verification of the contents and implementation of the terminology mediation tool Termediator has also been created as part of this research. The Termediator tool's conceptual model is further validated through the analysis of its synonymous and polysemous clustering methods and results.

An investigation into cultural barriers in intercultural communication between Blacks and Indians at Durban Institute of Technology

This study investigates language varieties, non-verbal behaviour and language attitudes as cultural barriers which inhibit successful communication between Blacks and Indians at Durban Institute of Technology. The investigation reveals that Indians and Blacks often misunderstand each other. Sometimes these groups feel misunderstood because they use different varieties of English. To compensate for these differences, participants use non-verbal strategies. However, non-verbal behaviour is culturally determined and people tend to transfer it to intercultural situations. One finds that this transfer leads to miscommunication and negative stereotypes. Furthermore, non verbal behaviour which does not meet the politeness criteria leads to negative attitudes and strained relations amongst peers and supervisors. The study suggests these solutions: the introduction of intercultural awareness campaigns for all employees and Zulu conversational skills for all Indians. For the whole South African community, the spirit of ubuntu should be cultivated between all racial groups to foster mutual respect. / Sociolinguistics / M.A.

Language use in industry

An immense degree of linguistic diversity exists in the work force where it is possible for speakers of twenty-three home languages to come into contact on the work floor. The language of management in industry is predominantly English; while supervisors are primarily English- or Afrikaans-speaking. Misinterpretation of speaker intent plays a significant role in communication breakdown that occurs when management or foremen/supervisors communicate directly with workers who do not understand the two erstwhile official languages sufficiently or not at all. Reagan ( 1 986) hypothesized that the greatest number of problems are caused by what might be termed mutual ignorance, rather than by language difficulties. The aim of the thesis was therefore to establish what constitutes the mutual ignorance that leads to misinterpretation of speaker intent. The Hymesian model, the ethnography of speaking, was used as a model for an analysis of sociolinguistic features in factories in the Pretoria-WitwatersrandVereeniging area. For data collection a process of triangulation was used and qualitative and quantitative methods used. The Free Attitude Interview technique was used for unstructured interviews. Other methods include observation, and elicitation procedures such as the Discourse Completion Test, which were used in structured interviews. Language preference, forms of address and politeness markers were examined. Findings revealed that the major differences were found to be in the area of non-verbal behaviour. Speakers of Afrikaans and English are, on the whole, unaware of politeness markers used by speakers of African languages. Afrikaans and English speakers are unaware of offensive non-verbal behaviour used by them. It is revealing that speakers of the official languages believe this to be the very area that makes communication possible, but it is the area in which they may cause offence. It was also found that speakers of African languages have adopted many of the features of the power dominant group at work. The findings of the research are important for the development of strategies for overcoming misinterpretation of speaker intent and negative stereotyping. Influenced by an ever-growing sense of alienation with my homeland, I have been determined to discover through my art practice an ability to challenge conventional notions of home, identity, communication and miscommunication. Exploring these themes, I became increasingly aware of the parallels between everyday life and art practice. By creatively connecting with a diverse amount of local people and their communities, I fulfilled desires to discover a sense of belonging and generated opportunities for others to break through traditional social boundaries and roles.
