Time tracking means to record and analyze costs in relation with business output. Managerial time tracking can be characterized as a tool that links working-time recording with planning, approving, rating, billing, invoicing, etc. This thesis deals with theoretical consequences and facts of time tracking approaches, and with practical application of these approaches with the usage of IT time tracking tools. There are described various alternatives of time tracking systems and characterized automatization of business processes with the focus on time tracking business process.

The master thesis deals with business process optimization which has to be in a place due to a global implementation of a new logistic information system. The aim is to ensure a process analysis of a current status of selected processes of a company part which is going to be influenced by this implementation. Then to highlight and to stress on the biggest risks and disadvantages of a current status. Final result will be a proposal of new optimized process flows on a higher level of maturity which will meet all requirements set by a new information system, by an information need of a local management and will be helpful to customer service improvement. The first part of the thesis covers theoretical base of a business process management, process modeling and business process optimization approaches which prepare a base for their application in the second practical part of this thesis.

The main objective of this thesis is to analyze the processes in the company POP service, Ltd., also to analyze the current problem in this company and to recommend and propose measures which eliminate the causes of the emergence of the problem. The causes originate from the aspects of the management of people and processes are identified through the analysis of processes associated with the problem and eliminated on the basis of proposals metrics and responsibilities for these processes. The theoretical part of the thesis is devoted to concepts in the field of process management. The theoretical part characterizes these concepts process management, business processes, process analysis and process modeling methods, process maps, graphical notation for writing business processes, business process improvement and analysis organization. In the second part of the thesis is presented the examined organizations POP service, Ltd.. Based on the analysis of the current state are defined vision, mission and goals of the organization. Then there is described a procedure of the analysis of the current state, which is process analysis and proposal of selected processes, metrics and responsibilities for these processes. Methods of analysis are SWOT analysis, analysis of the activities, structured interviews and process analysis. The result of this thesis is to analyze the selection of processes of the company POP service, Ltd., proposal metrics, define jobs and responsibilities and suggestions for improving the selected process.

The theoretical part will be focused on presenting information within the process management. Some of the pieces of this theoretical information will be were slightly modified by internal Continental procedures and applied in the practical part of the thesis in order to redesign current purchasing process of non production material. The contents of the practical part of this thesis are the analysis of the current purchasing process of non-production material in the plant of Continental. The intention is to identify the waste and obstacles in the process. The main target is to improve the process in consideration of efficiency, lead time reduction and, if applicable, cost savings. Once the waste in the process is identified, the 100% value added ideal state is going to be developed, under consideration of implementing the improvements, which have been identified in the current state. Based on the differences between the current state and the ideal state of the process, the future state is going to be mapped.

Ärendehantering på allmännyttigt bostadsbolag : En fallstudie på GotlandsHem / Case Management at a Public Housing Company

The case study has been conducted at a public housing company in Sweden GotlandsHem. The purpose of the study is to survey the case management process of the organisation and to obtain a process development plan as well as offer a proposition for implementation. To understand the current case management process the theoretical origin of the study has been made through process theory and total quality management. Earlier research has illustrated the challanges of finding a generic process of case management. The data of the study have been collected through interviews and documented records. Juran´s Problem-Solving Process and the Plan-Do-Study-Act model have been used for the implementation part of the study. The result illustrates the absence of a common working method, with the case management process. The result also present how other public housing companies are working with case management. The analysis presents the current process compared to the theories and which criteria need to be met for a well-functioning process. The current state of the process indicate an absence of a common working method and the perseption of what a case is differs. The process can be developet by seeing case management as an overall process with the definition "A case is when a customer experiences a need for service and contacts GotlandsHem." For the process, a common companywide working method needs to be established. / Inledning. Fallstudien har utförts hos allmännyttiga bostadsbolaget GotlandsHem som är den största aktören för uthyrning av lägenheter på Gotland. Studiens syfte är att studera organisationens ärendehanteringsprocess samt arbeta fram ett förslag på utveckling av processen samt implementeringsförslag.  Teori. För att skapa förståelse för ärendehanteringens nuläge har teoretisk utgångspunkt för studien varit processer samt offensiv kvalitetsutveckling. Avsnittet behandlar tidigare forskning som har visat att det finns utmaningar i att hitta en generisk process för ärendehantering.  Metod. Datainsamling har utförts genom intervjuer och dokumentär forskning. Studien följer en kvalitativ forskningsdesign där benchmarking har använts. Jurans problemlösningsmodell och förbättringscykeln PDSA är modeller som använts som utgångspunkt för vidare implementering. Resultat. Resultatet visar att det finns en avsaknad av gemensamma arbetssätt genom ärendehanteringsprocessen. I resultatet presenteras hur andra allmännyttiga bostadsbolag arbetar med ärendehantering där ledarskap, gemensamma arbetssätt och registrering av ärenden är tre nyckelkomponenter till en väl fungerande ärendehantering.  Analys. Analysen visar på processens nuläge utifrån teorier inom processarbete. Även intern service analyseras utifrån tidigare forskning där bristande kvalitet på återkoppling till kund genom teorier kan härledas till bristande intern servicekvalitét. Slutsatser. Processens nuläge visar en avsaknad av gemensamma arbetssätt och att uppfattningen om vad som är ett ärende går isär. Processen kan utvecklas genom att se ärendehanteringen som en övergripande process med definitionen ”Ett ärende är när en kund upplever ett behov av service och kontaktar GotlandsHem.”. För processen behöver ett gemensamt företagsövergripande arbetssätt fastställas och processens prestanda behöver mätas. Implementering av förbättringsförslag kan göras med hjälp av Jurans problemlösningsmodell kombinerat med PDSA.
