This is a report for our thesis that was conducted as a conclusion of our bachelor degree in Business engineering at the Royal Institute of Technology (KTH). The work is done in cooperation with the firm Navigate Consulting Business Solutions AB. They have their leading expertise in Oracle E-Business Suite and has previously chosen to implement Oracle EBS R12. The modules that are planned to be implemented are general ledger (GL), accounts payable (AP), accounts receivable (AR), project module (PA), purchases, and CRM. For a consulting company like Navigate, it is particularly important to have a simple and effective time reporting process. We were therefore asked to provide new tabs with a decision-making process to determine if Oracle Time & Labor (OTL) is a useful time tracking system for their business. In order to achieve the company´s aim and objective we decided to follow a development method with five different phases. The phases included a set of work steps that generated various documents, which gave us enough information to structure the entire company and helped us to create a clear picture of the organization and its structure. From this, we could work out a requirements document and then map those requirements to OTL. This resulted in a gap analysis where you can read the requirements that are handled by OTL and possible solutions to the requirements that OTL doesn´t handle. The result of this work is presented in process maps, a requirement specification, an use case documents, and a GAP analysis. / Detta är en rapport för vårt examensarbete som har genomförts som en avslutning på vår kandidatutbildning Affärssystem vid Kungliga Tekniska Högskolan (KTH). Arbetet är utfört i samarbete med företaget Navigate Consulting Business Solutions AB (Navigate). De har sin främsta expertis inom Oracle E-Business Suite och har sedan tidigare valt att implementera Oracle EBS R12 i sin verksamhet. De tänkta modulerna är Huvudbok(GL), Leverantörsreskontra(AP), Kundreskontra(AR), Projektmodul(PA), Inköp och CRM. För ett konsultföretag som Navigate är det särskilt viktigt att ha en enkel och fungerande tidrapportering. Vi fick därför i uppdrag att förse Navigate med ett beslutsunderlag för att de ska kunna avgöra om Oracle Time & Labor (OTL) är ett lämpligt tidrapporteringssystem för deras verksamhet. För att uppnå arbetets syfte och mål beslutade vi att följa en utvecklingsmetod med fem olika faser. Faser med arbetssteg som genererade olika dokument, som gav oss tillräcklig information för att strukturera upp hela företaget och lättare skapa en klar bild över organisationen och dess struktur. Utifrån detta kunde vi arbeta fram ett kravdokument och sedan mappa dessa krav mot OTL. Detta resulterade i en GAP analys där man kan läsa vilka krav som hanteras utav OTL samt eventuella lösningar till de krav som ej hanteras. Resultatet av detta arbete presenteras i processkartor, en kravspecifikation, ett användningsfallsdokument samt en GAP analys.

Accurately tracking employee work hours is a vital aspect of managing any organization, regardless of its size. Time reporting serves as a valuable source of information for management teams, enabling them to effectively plan and manage projects, allocate resources, monitor budgets, and track overall productivity. It is an essential component of workforce management that assists companies in making informed decisions regarding scheduling, employee compensation, and resource allocation. Time reporting is an important task for companies. However, the process of time reporting can often be cumbersome and time-consuming for employees. Typically, employees are required to log in to a web application and manually input their work hours, vacation days, and sick leaves. This process can be complicated and prone to errors. To simplify this process, an innovative solution was developed using Information Technology. The solution involved the creation of a Slack bot, which is a chat-bot that can communicate with employees and gather time reporting data automatically. This bot can be integrated with a company’s existing communication tools, allowing employees to report their work hours, vacation days, and sick leaves in real-time using a simple chat interface. The bot can also provide reminders to employees to submit their time reports, reducing the chances of delayed submissions. / Att noggrant spåra anställdas arbetstid är en viktig aspekt av att leda alla organisationer, oavsett dess storlek. Tidsrapportering fungerar som en värdefull informationskälla för ledningsgrupper, vilket gör det möjligt för dem att effektivt planera och hantera projekt, allokera resurser, övervaka budgetar och spåra den totala produktiviteten. Det är en viktig komponent i personalledning som hjälper företag att fatta välgrundade beslut om schemaläggning, ersättning till anställda och resursallokering. Tidsrapportering är en viktig uppgift för företag. Processen med tidsrapportering kan dock ofta vara krånglig och tidskrävande för de anställda. Vanligtvis måste anställda logga in på en webbapplikation och manuellt mata in sina arbetstimmar, semesterdagar och sjukskrivningar. Denna process kan vara komplicerad och risk för fel. För att förenkla denna process utvecklades en innovativ lösning med hjälp av informationsteknologi. Lösningen innebar skapandet av en Slack-bot, som är en chat-bot som kan kommunicera med anställda och samla in tidsrapporteringsdata automatiskt. Denna bot kan integreras med ett företags befintliga kommunikationsverktyg, så att anställda kan rapportera sina arbetstimmar, semesterdagar och sjukskrivningar i realtid med hjälp av ett enkelt chattgränssnitt. Boten kan också ge påminnelser till anställda att skicka in sina tidsrapporter, vilket minskar risken för försenade inlämningar.

In this case study, the improvement potential of Finansbolagets support process regarding their time reporting has been examined. The purpose of the study is to create a process of high quality for the product department's time reporting. Data collection consisted of eighteen semi-structured interviews conducted with employees in various roles at Finansbolaget. The data was then analyzed using the method of grounded theory, involving coding and categorizing the interview material to answer the study's research questions. By examining the current process, its quality shortcomings could be identified, which then formed the basis for improvement suggestions. This was done with the support of Ljungberg and Larsson's process development method, as well as tools such as cause-effect diagrams, 10M checklist, process mapping, and affinity diagrams. The analysis revealed that the causes of the inadequate value of time reporting were due to a lack of understanding of the process, inadequate practices, lack of technological support, and unnecessary complexity of the process. Furthermore, these were linked to the 10M parameters: mission, machine, method, and material. By linking the shortcomings to these parameters, it became possible to better understand why and how the shortcomings arose and what actions were needed. From this, the conclusion is drawn that improvements need to be made both regarding the activities in the process and its purpose and execution. In conclusion, in order to create a efficient process of high quality, simplification and standardization of the process has been suggested by eliminating certain steps and replacing a manual activity involving the compilation of time reports in Excel. It is proposed that tools like Power Query be used to automate the process and increase the reliability of data compilation. The system must be user-friendly while providing sufficient detail information. Transparent reporting is crucial to avoid misleading information and to ensure the accuracy of the reports. Change management may be necessary to ensure that the purpose of time reporting is anchored with the employees and to introduce new practices and routines within the organization. This can promote a unified, reliable, and efficient time reporting process / I denna kvalitativa fallstudie har förbättringspotentialen hos Finansbolagets bakgrundsprocess rörande deras tidrapportering undersökts. Syftet med studien är att skapa en process av högre kvalitet för produktavdelningens tidrapportering. Datainsamlingen harbestått av arton semistrukturerade intervjuer, som genomförts med anställda med olikaarbetsroller på Finansbolaget. Datainsamlingen har sedan analyserats utifrån metoden för grundad teori, vilket inneburit kodning och kategorisering av intervjumaterialet för attkunna besvara studiens frågeställningar. Genom att undersöka den aktuella processen, har dess kvalitetsbrister kunnat identifierats, vilka sedan legat som grund förförbättringsförslagen. Detta har gjorts med stöd av Ljungberg och Larssons processutvecklingsmetod samt verktyg som orsak-verkandiagram, 10M checklista, processkartläggning och släktskapsdiagram.  I analysen framkom det att orsaker till det bristande värdet av tidrapporteringen beror på bristande förståelse för processen, bristande arbetssätt, bristande teknologiskt stöd samt att processen är onödigt komplicerad. Vidare kopplades dessa samma med M-parametrarna mission, maskin, metod och material i en 10M checklista. Genom att koppla bristerna till dessa parametrar blev det möjligt att tydligare förstå varför och hur bristerna uppstod och vilka åtgärder som behövdes. Ur detta dras slutsatsen att för att kunna förbättra processen behövs förbättringar ske både gällande aktiviteterna i processen samt dess syfte och utförande.  I slutsatsen konstateras det att för att kunna skapa en mer effektiv process av högre kvalitethar en förenkling av processen föreslagits genom att eliminera vissa steg samt att byta ut en manuell aktivitet som innefattar sammanställningen av tidrapporter i Excel. Det föreslås även att verktyg som Power Query bör användas för att automatisera processen och öka tillförlitligheten i datasammanställningen. Vidare behöver systemet vara användarvänligt samtidigt som det tillhandahåller tillräcklig detaljinformation. Transparent rapportering är även avgörande för att undvika att missvisande information verkar som underlag vid beslutsfattning och för att säkerställa korrektheten i rapporterna. För att säkerställa att tidrapporteringens syfte förankras hos de anställda kan förändringsledning vara nödvändigtför att introducera nya arbetssätt och rutiner inom organisationen. Detta kan främja en enhetlig, tillförlitlig och effektiv tidrapporteringsprocess
