Med teknikens framgångar de senaste årtiondena har repetitiva och administrativa arbetsuppgifter kunnat automatiseras allt mer. Detta har bidragit till en bättre arbetsmiljöför de anställda, som kan lägga mer tid och fokus på de huvudsakliga arbetsuppgifterna. Det finns dock fortfarande flera områden där tekniken inte nyttjas fullt ut, till exempelmanuell tidrapportering där anställda behöver navigera mellan olika system och hålla reda på tidsåtgång för alla utförda arbetsuppgifter. Vårt uppdrag har varit att använda systemintegration för att automatisera detta och på så sätt bidra till en bättre arbetsmiljö genom att minska stress för anställda. Genom att använda molntjänster har vi skapat en integration där data kan flöda från ett system till ett annat, och berikas med nödvändig information på vägen. Resultatet av vårt arbete är en automatiserad lösning som tillåter anställda att tidrapportera direkt i uppdragsgivarens ärendesystem, där den informationen sedan skickas till molnet för berikning och formatering, för att sedan läggas till i affärssystemet där tidrapportering sker. / With the advancement of technology in recent decades, repetitive and administrative tasks have increasingly been able to be automated. This leads to a better work environment for employees, who can spend more time and focus on their primary responsibilities. However, the technology is not fully utilized in some areas, such as manual time reporting, where employees have to navigate between different systems and keep track of the time they have spent on different tasks. Our task has been to use system integration to automate this process, and by doing so, contribute to a better work environment. Through the use of cloud services, we have created an integration where data can flow from one system to another, and be enriched with necessary information on the way. The result of our work is an automated solution that allows employees to report time directly in the case management system, where the information is sent to the cloud for enrichment and formatting before being sent to the ERP where time reporting is done.

This study is conducted at the IT company Skry. The study explores how to increase usability in a time reporting system and whether it can lead to more employees reporting their worked hours daily. Currently, the problem is that several employees report their worked hours for all their working days at the end of the month instead of each day. This can be problematic as most employees work as consultants and it is important that the number of worked hours is reported correctly. The study investigates whether the problem is due to the time reporting system not being user-friendly enough or whether employees simply forget to report their time. And if so, a behavior change can be promoted by creating a new habit of reporting their time daily. To test this, six Skry employees received a notification at the end of the day for a week reminding them to report their time. After that week, the test was followed up with interviews where employees reflected on their thoughts about the notification and whether it helped them to report daily. All time reports from 48 employees during a month were analyzed to compare the six participants in the study with the remaining employees. The results showed that the employees who participated in the study actually improved their daily time reporting during the week when the notification was sent, especially those who admitted to forgetting to report their time in their interview. The results also showed that during that week, almost all of the participants reported roughly at the same time, which was shortly after the notification was sent out. The results confirm that the notification worked well as a reminder and made the employees better at reporting daily. However, there is no evidence that the system is not user-friendly enough or that a new habit was created. / Denna studie, som är utförd på IT-företaget Skry, handlar om hur man kan öka användbarheten i ett tidrapporteringssystem och ifall det kan leda till att fler anställda rapporterar sin arbetade tid dagligen. I dagsläget har de problemet att flera anställda rapporterar för alla sina arbetade dagar i slutet på månaden istället för varje dag. Detta kan vara problematiskt då de flesta anställda arbetar som konsulter och det är viktigt att antalet arbetade timmar rapporteras rätt. Studien utreder om problemet grundas i att tidrapporteringssystemet inte är tillräckligt användarvänligt eller ifall de anställda bara glömmer bort att rapportera sin tid varje dag, och om man i så fall kan främja en beteendeförändring genom att skapa en ny vana hos de anställda att rapportera sin tid dagligen. För att testa detta fick sex anställda på Skry under en veckas tid en notis utskickad i slutet av dagen, med en påminnelse om att rapportera sin tid. Testet följdes upp med intervjuer där de anställda reflekterade över vad de tyckte om notisen och ifall det hjälpte dem att rapportera sin tid dagligen. Alla tidrapporter från 48 anställda under en månads tid analyserades för att få en helhet som låg som referens när de sex anställda som deltog i studien jämfördes med resterande anställda. Resultatet visade att de anställda som deltog i studien faktiskt blev bättre på att rapportera sin arbetade tid dagligen veckan då notisen skickades ut, speciellt de som i sin intervju sa att de brukade glömma att rapportera sin tid. Resultatet visade även att under den veckan notisen skickades ut rapporterade nästan alla de som deltog ungefär vid samma tid, vilket var strax efter att notisen skickades ut. Resultatet styrker att notisen fungerade bra som en påminnelse och gjorde de anställda bättre på att rapportera dagligen. Däremot finns det inget som tyder på att systemet inte är tillräckligt användarvänligt eller att en ny vana skapades.

Ett konsultföretag är ett företag som tillhandahåller expertis och specialiserad arbetskraft, inom specifika arbetsområden, mot en avgift. De anställda på ett sådant bolag kallas för konsulter och deras arbetsuppgift är att jobba på uppdrag av en eller flera kunder. All tid som en konsult lägger på ett uppdrag tidrapporteras, för att sedan skickas ut som faktura till kunden. Manuella och repetitiva arbetsmoment som tidrapportering är något som kan ta väldigt mycket tid. Detta kan leda till onödig stress och en sämre arbetsmiljö hos de anställda. Och ha en negativ ekonomisk påverkan på företaget, i form av felfakturering. För att underlätta processen av tidrapportering kan systemintegration användas för att minska de manuella arbetsmomenten för konsulterna. Projektets huvudmål är därför att skapa en integration mellan uppdragsgivarens ärendehanteringssystem och affärssystem. Detta har vi försökt att åstadkomma genom att automatisera flödet av information mellan systemen. Resultatet av arbetet är en integrationslösning som låter användaren tidrapportera direkt i uppdragsgivarens ärendehanteringssystem. Informationen som ska lagras skickas till en molnbaserad tjänst som paketerar datan för att sedan skriva till en lokal databas. / A consulting company is a company that provides expertise and specialized workforce, in specific areas, for a fee. Employees at such a company are called consultants and their task is to work on assignments for one or more clients. All the time a consultant spends on an assignment is logged and reported, and then invoiced to the client. Manual and repetitive tasks such as time reporting can be very time-consuming. This can lead to unnecessary stress and a worse working environment for the employees. Additionally it can have a negative financial impact on the firm, in the form of invoicing errors. To facilitate the time reporting process, system integration can be used to reduce the manual tasks for consultants. The main goal of the project is therefore to create an integration between the client's case management system and business system. This has been attempted by automating the flow of information between the systems. The result of the work is an integration solution that allows users to report time directly in the client's case management system. The information to be stored is sent to a cloud-based service that packages the data and then writes it to a local database.

Denna rapport tar upp för och nackdelar med att göra en webbaserad mobilapplikationgentemot en plattformsspecifik applikation för ett tidrapporteringssystem. Tre prototyperutvecklades för det existerande tidrapporteringssystemet XLTime hos Nlight Solutions.Prototyperna gjordes mot Android, Iphone och webbläsaren för dessa två plattformar.Efter att prototyperna iterativt gått igenom olika funktioner från en givenkravspecifikation går rapporten sedan in på att utvärdera hur funktionaliteten skiljer sigmellan de webbaserade och de plattformsspecifika applikationerna. Här kunde man se attswipe-funktionalitet betedde sig konstigt för vissa webbläsare, och att implementationenav input-element av datumtyp skiljer sig i webbläsaren. Felsökning och uppdatering avapplikationer var dock mycket snabbare för den webbaserade prototypen.Efter att funktionaliteten utvärderats startades användartest med 6 olika användare. Defick utföra ett antal uppgifter på varje prototyp och här kunde man se att olika problemuppstod. T ex fick användarna också problem med swipe-funktionaliteten. Näranvändarna fick välja plattform tyckte de mest om den webbaserade applikationen,eftersom de tyckte den var mest tydlig och lättare att förstå. Detta p.g.a. att den användetext på knappar istället för ikoner som de inte förstod.I slutsatsen av rapporten tas det upp att det är möjligt att skapa webbaseradetidrapporteringsapplikationer om man undviker att använda mycket animationer och inteanvänder element som inte stöds av alla webbläsare. / Program: Systemarkitekturutbildningen

This is a report for our thesis that was conducted as a conclusion of our bachelor degree in Business engineering at the Royal Institute of Technology (KTH). The work is done in cooperation with the firm Navigate Consulting Business Solutions AB. They have their leading expertise in Oracle E-Business Suite and has previously chosen to implement Oracle EBS R12. The modules that are planned to be implemented are general ledger (GL), accounts payable (AP), accounts receivable (AR), project module (PA), purchases, and CRM. For a consulting company like Navigate, it is particularly important to have a simple and effective time reporting process. We were therefore asked to provide new tabs with a decision-making process to determine if Oracle Time & Labor (OTL) is a useful time tracking system for their business. In order to achieve the company´s aim and objective we decided to follow a development method with five different phases. The phases included a set of work steps that generated various documents, which gave us enough information to structure the entire company and helped us to create a clear picture of the organization and its structure. From this, we could work out a requirements document and then map those requirements to OTL. This resulted in a gap analysis where you can read the requirements that are handled by OTL and possible solutions to the requirements that OTL doesn´t handle. The result of this work is presented in process maps, a requirement specification, an use case documents, and a GAP analysis. / Detta är en rapport för vårt examensarbete som har genomförts som en avslutning på vår kandidatutbildning Affärssystem vid Kungliga Tekniska Högskolan (KTH). Arbetet är utfört i samarbete med företaget Navigate Consulting Business Solutions AB (Navigate). De har sin främsta expertis inom Oracle E-Business Suite och har sedan tidigare valt att implementera Oracle EBS R12 i sin verksamhet. De tänkta modulerna är Huvudbok(GL), Leverantörsreskontra(AP), Kundreskontra(AR), Projektmodul(PA), Inköp och CRM. För ett konsultföretag som Navigate är det särskilt viktigt att ha en enkel och fungerande tidrapportering. Vi fick därför i uppdrag att förse Navigate med ett beslutsunderlag för att de ska kunna avgöra om Oracle Time & Labor (OTL) är ett lämpligt tidrapporteringssystem för deras verksamhet. För att uppnå arbetets syfte och mål beslutade vi att följa en utvecklingsmetod med fem olika faser. Faser med arbetssteg som genererade olika dokument, som gav oss tillräcklig information för att strukturera upp hela företaget och lättare skapa en klar bild över organisationen och dess struktur. Utifrån detta kunde vi arbeta fram ett kravdokument och sedan mappa dessa krav mot OTL. Detta resulterade i en GAP analys där man kan läsa vilka krav som hanteras utav OTL samt eventuella lösningar till de krav som ej hanteras. Resultatet av detta arbete presenteras i processkartor, en kravspecifikation, ett användningsfallsdokument samt en GAP analys.

Rapporten handlar om tidrapportering för konsulter och hur den kan kunna underlättas. Tidrapportering är ett måste för alla personer som arbetar i konsultbranschen. I dagens samhälle finns det problem med tidrapportering då anställda anser att det är ansträngande och ser det som extra arbete. Det är en utmaning för företag att lyckas med att få sina anställda att rapportera korrekt. Om rapporteringen inte sker på ett korrekt sätt kan detta få stora ekonomiska konsekvenser. Syftet med rapporten är att underlätta tidrapporteringen för konsulter. Detta genom att utveckla en mobil IT-artefakt. Applikationen som utvecklas ska fungera som ett stöd till tidrapportering och målet är att användaren ska interagera med applikationen så lite som möjligt. Artefakten som utvecklas är en mobilapplikation som använder sig av mobilens GPS-funktion. Action Design Research (ADR) är forskningsmetoden som används för att genomföra detta arbete. Denna rapport bygger på ett case i samarbete med konsultföretaget Knowit. Resultatet utmynnar i en IT-artefakt och 10 designprinciper om hur utvecklandet av en sådan applikation kan gå tillväga. / This thesis handles the area around time reporting within the consulting field and how it can be facilitated. Time reporting is a must for every employee in the consulting business. In today’s society, a problem exists as the employees sees this to be a demanding extra chore. To manage employees to execute this is a challenge for every business. If this is not done correctly, the business can face huge economic consequences. The purpose with this thesis is to facilitate time reporting for consultants. This will be done by developing a Mobile IT-Artifact. The application which will be developed will serve as a support for time reporting and its goal is to minimize the human-computer interaction. The artefact that will be developed uses the phones build in GPS function to achieve this. Action Design Research (ADR) is the research method used to complete the development of the artifact and the thesis. This thesis is built around a case in cooperation with the consulting company Knowit. The result of this essay will generate an IT-artifact along with 10 design principles which provides guidelines on how to develop a system of similar character
