The title of graduation work is the development of an automated online system for electronic document management. Objective: to develop and implement an automated online system of electronic document management, content management systems, development of system architecture mining business processes in the electronic document. The first part is devoted to the basic concepts and definitions of electronic document; also focus on the basic principles of workflow management. The second part is devoted to the review the existing analogue electronic document management systems. The third part is devoted to the practical part - the development of an automated on-line system: a functional description of the system, logical design, physical design, structure and composition of the database and the user interface of electronic document management system. The fourth part is devoted to the content management system (CMS-system) and to the integration of electronic document management system. The last part is devoted to the theoretical foundations of data mining (Data Mining) and ways to further integrate electronic document management system. The graduation work consists of an introduction, 5 chapters and conclusion on 148 pages, including 32 figures and the list of 15 references. / Тема выпускной квалификационное работы: разработка онлайн автоматизированной системы для электронного документооборота. Цель работы: разработка и реализация онлайн автоматизированной системы электронного документооборота, системы управления контентом, разработка архитектуры системы интеллектуального анализа бизнес-процессов в электронном документообороте. Первая часть работы посвящена основным понятиям и определениям электронного документооборота; также уделено внимание основным принципам организации документооборота управленческой деятельности. Вторая часть посвящена обзору существующих аналогов систем электронного документооборота. Третья часть посвящена практической части – разработке автоматизированной онлайн-системы: функциональному описанию системы, логическому конструированию, физическому конструированию, структуре и составу базы данных и пользовательскому интерфейсу системы электронного документооборота. Четвёртая часть работы посвящена системе управления контентом (CMS-системе) и интегрированию к системе электронного документооборота. Пятая часть посвящена теоретическим основам интеллектуального анализа данных (Data Mining) и способам дальнейшей интеграции к системе электронного документооборота. Выпускная квалификационная работа состоит из введения, 5 глав и заключения, изложенных на 148 страницах, а также списка литературы и приложений. В работе имеется 32 рисунка. Список литературы содержит 15 наименований.

O resultado deste trabalho contribuirá para outros estudos relacionados com o atual debate do documento arquivístico digital. / The records digital archival continue having difficulties in their organization, both those who are born digital and those who were born on paper. Therefore, this research aims to study in depth the importance and complexity of the document digital archives within the organizational environments. We seek, since the look of information science, a mechanism that may assist in the organization of documents described in companies from their own production, taking particular account of the contributions of international techniques that normalize the documentary process of entities, the scientific literature that deepens the search field and the laws of the governmental entities that establish legal rules and legal organization of documents. This mechanism that helps in the organization of business documents, is intended to provide a possible alternative for organizations that know the main advantages of the digital document within an appropriate document management system that improves the processes of informational flows and the methods of description, analysis and retrieval of documents. To carry out the purpose of this study, the methodology used was mainly theoretical analysis, descriptive, in which it stands out in terms of the archival document digital, the advancement of laws made by the Colombian Government and the effectiveness that these laws currently have to be applied in different organizations. The result of this work will contribute to other studies related with the current debate of archival document digital. / Los documentos archivísticos tienen dificultades en su estructuración, tanto aquellos que están naciendo digital (born digitals) como aquellos que nacieron y se desarrollaron en soporte de papel. Por tanto, esta investigación tiene como objetivo el estudio de la importancia e complejidad del documento archivístico digital dentro de los ambientes organizacionales contemporáneos. Buscamos desde la mirada de la Ciencia de la Información y la Archivística, un mecanismo que pueda ayudar en la organización de los documentos descritos en las empresas desde su propia producción, teniendo en cuenta principalmente las contribuciones de las normas técnicas internacionales que normalizan el proceso documental de las entidades, la literatura científica que profundiza el campo de investigación e las leyes de los entes gubernamentales que establecen reglas legales y jurídicas de la organización documental. A arquivologia visa ao tratamento da informação orgânica por meio do tratamento dado aos documentos de arquivo, que são produzidos por um indivíduo ou instituição no exercício de suas atribuições. Tais documentos são submetidos a dois grupos de usuário, cujo comportamento informacional está ligado ao uso do valor primário, de caráter administrativo, na fase corrente e intermediária e, posteriormente, ao valor secundário, de caráter informativo, na fase da guarda permanente. Este trabalho busca trazer um delineamento no conjunto de metadados necessários à representação do conteúdo, contexto e estrutura documentais voltadas às necessidades dos usuários. São apresentadas, na sequência, as linguagens de marcação e as modelagens da web semântica como estruturas para a representação de metadados. Uma vez delineadas estas questões, o estudo direciona-se ao comportamento informacional dos usuários da fase corrente e sua forma de interação com a informação orgânica. The approach used was qualitative and quantitative, using the theory of social representations and discourse of the collective subject method. There were used as technical procedures the literature research and fieldwork procedures. Data were collected through the application of mixed questionnaires sent by mail or delivered by hand to the TCE-PB server s that work in the departments of management municipal auditory I and II. This study found that the GED has improved the daily executions tasks and work routines, required less time and effort to fulfill the goals and that users are satisfied with the current conditions. Even brought negative evidences that need to be improved, such as dissatisfaction with the network speed and with the functionality and information foment to SAGRES system, as well as the possibility that current working conditions may affect health. / Apreender as representações sociais dos funcionários do TCE-PB a respeito da GED, traçando-se o perfil dos usuários e reconstruindo-se o processo de implantação. A abordagem utilizada foi qualiquantitativa, com a utilização da teoria das representações sociais e o método do discurso do sujeito coletivo. Utilizaram-se como procedimentos técnicos a pesquisa bibliográfica documental e a pesquisa de campo. Os dados foram coletados através da aplicação de questionários mistos enviados por e-mail ou entregues em mãos aos funcionários do TCE-PB lotados nos Departamentos de Auditoria da Gestão Municipal I e II. O estudo apontou que o GED melhorou as execuções cotidianas das tarefas e rotinas de trabalho, exigiu menos tempo e esforço para o cumprimento das metas e que os usuários encontram-se satisfeitos com as atuais condições de trabalho. Trouxe ainda evidências negativas que precisam ser melhoradas, como insatisfação com a velocidade da rede e com a funcionalidade e fomento de informações do SAGRES, assim como a possibilidade de que as atuais condições de trabalho possam afetar a saúde.

Test av mjukvara görs i syfte att se ifall systemet uppfyller specificerade krav samt för att hitta fel. Det är en viktig del i systemutveckling och involverar bland annat regressionstestning. Regressionstester utförs för att säkerställa att en ändring i systemet inte medför att andra delar i systemet påverkas negativt. Dokumenthanteringssystem hanterar ofta känslig data hos organisationer vilket ställer höga krav på säkerheten. Behörigheter i system måste därför testas noggrant för att säkerställa att data inte hamnar i fel händer. Dokumenthanteringssystem gör det möjligt för flera organisationer att samla sina resurser och kunskaper för att nå gemensamma mål. Gemensamma arbetsprocesser stöds med hjälp av arbetsflöden som innehåller ett antal olika tillstånd. Vid dessa olika tillstånd gäller olika behörigheter. När en behörighet ändras krävs regressionstester för att försäkra att ändringen inte har gjort inverkan på andra behörigheter. Denna studie har utförts som en kvalitativ fallstudie vars syfte var att beskriva utmaningar med regressionstestning av roller och behörigheter i arbetsflöden för dokument i dokumenthanteringssystem. Genom intervjuer och en observation så framkom det att stora utmaningar med dessa tester är att arbetsflödens tillstånd följer en förutbestämd sekvens. För att fullfölja denna sekvens så involveras en enorm mängd behörigheter som måste testas. Det ger ett mycket omfattande testarbete avseende bland annat tid och kostnad. Studien har riktat sig mot dokumenthanteringssystemet ProjectWise som förvaltas av Trafikverket. Beslutsunderlag togs fram för en teknisk lösning för automatiserad regressionstestning av roller och behörigheter i arbetsflöden åt ProjectWise. Utifrån en kravinsamling tillhandahölls beslutsunderlag som involverade Team Foundation Server (TFS), Coded UI och en nyckelordsdriven testmetod som en teknisk lösning. Slutligen jämfördes vilka skillnader den tekniska lösningen kan utgöra mot manuell testning. Utifrån litteratur, dokumentstudie och förstahandserfarenheter visade sig testautomatisering kunna utgöra skillnader inom ett antal identifierade problemområden, bland annat tid och kostnad. / Software testing is done in order to see whether the system meets specified requirements and to find bugs. It is an important part of system development and involves, among other things, regression testing. Regression tests are performed to ensure that a change in the system does not affect other parts of the system adversely. Document management systems often deals with sensitive data for organizations, which place high demands on safety. Permissions in the system has to be tested thoroughly to ensure that data does not fall into the wrong hands. Document management systems make it possible for organizations to pool their resources and knowledge together to achieve common goals. Common work processes are supported through workflows that contains a variety of states. These different permissions apply to different states. When a permission changes regression tests are required to ensure that the changes has not made an impact on other permissions. This study was conducted as a qualitative case study whose purpose was to describe the challenges of regression testing of roles and permissions in document workflows in a document management system. Through interviews and an observation it emerged that the major challenges of these tests is that workflow states follow a predetermined sequence. To complete this sequence, a huge amount of permissions must be tested. This provides a very extensive test work that is time consuming and costly. The study was directed toward the document management system ProjectWise, managed by Trafikverket. Supporting documentation for decision making was produced for a technical solution for automated regression testing of roles and permissions in workflows for ProjectWise. Based on a requirement gathering decision-making was provided that involved the Team Foundation Server (TFS), Coded UI and a keyword-driven test method for a technical solution. Finally, a comparison was made of differences in the technical solution versus today's manual testing. Based on literature, document studies and first hand experiences, test automation provides differences in a number of problem areas, including time and cost.

Analýza správy podnikových dokumentů v SSČS a.s. a návrh na její optimalizaci / Analysis of enterprise content management in SSČS a.s. and its optimization design

This thesis focuses on design of document exchange solution used between Stavební spořitelna České spořitelny a.s. (SSČS) and its external sales network, which is outdated and doesn't meet the needs of SSČS or sales network. The thesis also includes the identification of suitable basic principles used in the service-oriented architecture (SOA) concept and their application in design solutions. The aim of the thesis is a conceptual solution design, based on the principles of SOA and the following technological design of changes in existing environment, so that on this basis could be created a functional and technical specification for suppliers of these applications. Stated objective is achieved through an initial analysis of the current environment, which identifies the possibilities of existing applications, and identifies weaknesses in the process that will be changed in the new solution. The analysis covers as the environment of external sales network as the related environment in SSČS, which together figure in the process of documentation exchange. As the results of the analysis and based on theoretical knowledge and consultation with experts in the field of SOA is then formulated a proposed solution at the conceptual level, which is further elaborated in the description of the proposed changes in individual components of the new solution. The outputs of this thesis will serve SSČS both in terms of describing the existing and the new environment, and as an input for the specifications of the proposed amendments to the supplier concerned applications. Structure of the thesis consists of introduction, devoted to the characterization of SSČS and providing an initial framework for solved domain. This is followed by a description and the analysis of external sales network, particularly in terms of application equipment and communication flows, followed by a description of the environment in SSČS, which contains the components processing sent documents. Next part of thesis is devoted to the formulation of the basic concepts of SOA and selection of appropriate principles that are followed in the subsequent section to draft the solution itself, first at the conceptual level, followed by a detailed description of the necessary changes. Everything is then evaluated in the final part.

After describing and comparing products the most suitable tool is implemented into the companys environment. At the end the key functionality of this collaboration tool is explained and shown on few practical examples. Digitala attityder och kommunikation i förändringsprocessen : Förändringsledning och utmaningar vid införandet av e-arkiv i små kommuner

Denna studie om utmaningar i införandeprocessen av e-arkiv, visar att digitalisering är komplext och snarast saknar facit. Däremot har studien kunnat visa på viktiga moment och indikationer för hur förändringsprocesser i kommunala verksamheter, speciellt mindre kommuner och verksamheter, kan bedrivas. Studien har visat på hur viktigt det är med förändringledning, framförallt vid införande av ny teknologi, exempelvis e-arkiv. Studien undersöker de utmaningar som föreligger i införandeprocessen av ett e-arkiv och dess kommunikation, och hur dessa kan minimeras, hur de digitala attityderna ser ut bland kommunala medarbetare, samt hur arkivverksamhetens status kan påverka digitalisering och offentlig förvaltning. Studien visar att attityder till digitalisering och ny teknik är positiva och att de flesta anser sig ha allra minst tillräcklig kompetens inom IT, och dessutom visade enkätundersökningen på en avsaknad av påtagliga skillnader mellan olika åldersgrupper, vad gäller teknik och digitalisering. Kanske speciellt i processer relaterade till ny teknologi, som införandet av e-arkiv är, är Kotters och andra processer för förändringsledning ytterst effektiva för att skapa ett bra och långsiktigt resultat. / This study on challenges in the implementation process of digital archives shows that digitalisation is complex, and lacks a definite answer on how to handle it best. However, the study specifies some important steps and indicators for change management processes in municipal organisations and especially in small municipalities and organisations. The study has also shown the importance of change management, especially when it comes to the implementation of new technology, such as digital archives. The study examines the challenges in the implementation process of digital archives and how they can be avoided, what the municipal employees’ attitudes are towards digitalisation as well as how the archive’s operational maturity can affect digitalisation and public administration. The study shows that the attitudes towards digitalisation and new technology are positive, and that most employees consider themselves to have proficient competence in IT. Moreover, the survey shows a lack of prominent differences between different ages when it comes to technology and digitalisation. The survey highlights a lack of knowledge, information and communication, which need to be improved, for example through introduction and education. Digital archives contribute to fund-amental needs such as coherent operations, sustainability, effectivisation, openness, improved archival operations, and a clear vision. Change management is essentially the key to success, not solely for for-profit companies, but it is just as important for municipal operations and state-run institutions, as it facilitates economic profits without steering the process in any direction. Without access to a model like for example Kotter’s eight step model, it is easy to miss the most important aspects.
