Internkommunikation vid förändringsarbete : en studie av internkommunikationen vid omlokaliseringen av Konsumentverket / Internal communication during change management : a study of the internal communication during the relocation of the Swedish Consumer Agency

The main purpose of this essay is to through theories about internal communication, channels to communicate through and change management study how these can be related to the processes at the Swedish Consumer Agency due to its future relocation. The main question within this essay is therefore: - How has the internal communication and the change management at the Swedish Consumer Agency developed in comparison with the prescribed theories? This essay is divided into three different parts (ideal, reality, ideal/reality) which can be derived to the essays theory, result and analysis chapters. The theories are the ideal while the result describes the internal communication and the change management during the process (the reality). In the analysis chapter, the ideal and the reality are compared to distinguish how the reality has been working in comparison to the ideal. The internal communication has mainly been distinguished through the authority’s intranet and the information communicated has comparatively been fast, open, objective and reliable. One of the prerequisites for this is that the authority has been permeated by clear goals and visions. All in all the result shows that the internal communication and the change management have been successful but some flaws have been detected. One of the reasons for this might be that the authority and its co-workers have been exposed in the process due to the fact that it has been enforced and because of its extent. / Det övergripande syftet med föreliggande undersökning är att utifrån teorier om internkommunikation, kommunikationskanaler och förändringsarbete undersöka hur dessa kan sättas i relation till den förändringsprocess som genomförts på Konsumentverket inför dess framtida omlokalisering. För att undersöka detta kommer följande frågeställning behandlas: - Hur har Konsumentverkets internkommunikation och förändringsarbete fungerat i jämförelse med de teorier som ligger till grund för uppsatsen? Undersökningen består av tre delar (ideal, verklighet, ideal/verklighet) vilka kan härledas till uppsatsens teori-, resultat- och analyskapitel. De teorier uppsatsen bygger på behandlas som idealet medan undersökningens resultat beskriver hur internkommunikationen och förändringsarbetet fungerat i verkligheten. I uppsatsens analys ställs dessa mot varandra för att urskilja verkligheten i relation till idealet. Den huvudsakliga internkommunikationen har skett via myndighetens intranät och den information som förmedlats under processen har varit förhållandevis snabb, öppen, saklig och trovärdig. En av förutsättningarna för detta kan ha varit att myndigheten genomsyras av tydliga mål och visioner. Sammantaget har processen varit framgångsrik men vissa brister i kommunikationen har påträffats. Detta kan delvis bero på att myndigheten och dess medarbetare haft en utsatt roll i processen då förändringen varit påtvingad av yttre faktorer samt att den varit mycket omfattande.

Profesinių santykių įtaka mokyklos veiklai / The Impact of Professional Relations on the Activity of a School

Magistro darbe pateikti konkretaus švietimo vadybos diagnostinio tyrimo rezultatai. Apibūdintos pagrindinės sąvokos, apžvelgti ir išanalizuoti darbuotojų valdymo ypatumai, sudarytas teorinis modelis, kuriuo remiantis sudarytas tyrimo instrumentas. Remiantis tyrimo objekto operacionalizacija, buvo parengta struktūruota, uždaro tipo, anketa. Anketa gali būti naudojama profesinių santykių švietimo įstaigoje kokybei nustatyti. Pagrindinis empirinės informacijos šaltinis tyrime buvo Mažeikių miesto ir rajono švietimo ugdymo įstaigų vadovų, pedagogų ir specialistų (229 respondentai) nuomonė apie profesinių santykių įtaką mokyklos veiklai. Tyrimo metu buvo suformuluoti šie probleminiai klausimai: koks psichologinis klimatas vyrauja mokyklose, kokia yra valdymo situacija ir kokią įtaką turi mokyklos veiklai; ar mokytojams sudaromos galimybės tobulėti, kelti kvalifikaciją; ar mokyklose vyksta vidinė komunikacija, užduočių delegavimas, darbuotojų įtraukimas į sprendimų priėmimą. Atlikta tyrimo analizė parodė, jog labiausiai profesiniams santykiams mokyklose daro įtaką konkurencija tarp kolegų, darbų ir užduočių paskirstymo problemos, taikoma kontrolės sistema, bendruomenės narių charakterio savybės, motyvavimo stoka. Apibendrinant atlikto tyrimo ir gautų rezultatų duomenis galima teigti, kad mokyklose yra sudaromos palankios sąlygos profesinių santykių plėtrai ir jų efektyvinimui. / The results of a specific diagnostic research into education management are presented in the paper. The key concepts are described, the peculiarities of personnel management are reviewed and analyzed, a theoretical model for designing the research instrument was developed. With reference to the operationalization of the research object a structured and closed-response type questionnaire was prepared. Such a questionnaire may be applied for the evaluation of the quality of professional relations in an educational institution. In the research, the main source of empirical data was the opinion of the heads, educators and specialists of the educational institutions of Mažeikiai town and Mažeikia region (229 respondents) regarding the impact of professional relations on the activity of a school. Research questions include the following: 1) what psychological climate is dominant in schools? 2) what is the situation in school management and what impact does it have on the activity of a school? 3) is there internal communication, task assignment and the involvement of personnel in decision-making in a school? The results of the research showed that professional relations in schools are mostly impacted by competition among colleagues, problems in work and task assignment, the control system applied, personal traits of the community members, lack of motivation. Title: Change Communication within organizations – How perceptions differ between managers and employees in an organizational change Author: Emma Ender & Fanny Tesch Tutor: Anne-Marie Morhed Purpose: The purpose of this thesis was to study and compare different perceptions of change communication between managers and employees within two smaller organizations. We wanted to examine how the communication process within the change was carried out. We also aimed to compare the results with change communication models of Johansson & Heide (2008) and Lewin (1951), and also existing concepts, to see if our result differed from earlier research. Our key questions to answer were: How do managers communicate a change to the employees in two smaller companies? How do the managers think that the employees perceive the information about the change? How do the employees perceive the information about the change? How does change models from previous research correspond to, or differ from the change process? Method/Material: The material used in this thesis consists of a total of twelve interviews with both managers and employees at two small companies. Main results: The main results shows that communicating a change is complex, and that it is difficult to create models and theories for the phenomenon, as each change is unique. The main results further show that employees and managers have different views regarding change communication. The managers believe the change communication turned out well while the employees required more information afterwards. Although some of the employees already knew about the change there was a small spread of rumours and anxiety among the employees over all. The managers thought a few of the employees might have sensed that something was going to happen. Demokratins omedvetna språkrör : En studie av kommunikatörers arbete för organisatorisk demokrati / The unconscious spokespeople of democracy : A study of communcation practitioners' work for organizational democracy

Organizational democracy has been a popular research area in recent decades but the implementation in real organizations is slow (Kokkinidis, 2012; Verdorfer, Weber, Unter Rainer & Seyr, 2013). Several researchers (Schön Jansson, 2012; Falkheimer, Heide & Johansson, 2013) argue that communication practitioners have a key role in democratic processes and that because their job role is under constant change there are only a few modern studies regarding the subject. The purpose of this study is to illustrate how communication practitioners in private and public organizations experience their role in the process of internal communication and to what extent they are aware of, and work with internal organizational democracy. The practitioners we interviewed had a strong feeling that they were a support function for the business and the organizational management. As a result of the study it is clear that communication practitioners are very loyal to their employers and to the organization they work for. They are, therefore, not neutral in their professional role and argue that their task is to represent the management's interests. All interview respondents managed to unite their loyal mission with an employee perspective in their work. We found that the communication practitioners in our study worked unconsciously for organizational democracy. We have been able to draw this conclusion from the respondents’ discussions of how they work with democratic conditions such as transparency, freedom of speech and values within the organization. However, they lack understanding of organizational democracy as a concept or process. The respondents did not feel that they were responsible for enabling democratic conditions such as participation and dialogue, but rather that they should set the tone for the organization's communication and provide guidelines for communication environment and language. The democratic conditions that the respondents were working with are cultural norms and values that they carry with them in their work. We therefore argue that the practitioners’ work is very much influenced by Sweden's democratic form of government and the society in which the organization operates. / Organisatorisk demokrati har varit ett populärt forskningsområde de senaste decennierna men implementeringen i verkliga organisationer går långsamt (Kokkinidis, 2012; Verdorfer, Weber, Unterrainer & Seyr, 2013). Flera forskare (Schön Jansson, 2012; Falkheimer, Heide & Johansson, 2013) argumenterar för att kommunikatörer har en nyckelroll i demokratiska processer och eftersom kommunikatörers uppdrag är under ständig förändring finns få moderna studier. Syftet med denna studie är att belysa hur kommunikatörer i privata respektive offentliga organisationer upplever sitt uppdrag i arbetet med internkommunikation och i vilken mån de är medvetna om samt arbetar med intern organisatorisk demokrati. Kommunikatörerna som vi intervjuat hade en stark upplevelse av att de är en stödfunktion för verksamheten och organisationsledningen. Ur studiens resultat framgår det tydligt av deras uttalanden att kommunikatörerna är mycket lojala mot sin arbetsgivare och den organisation som de arbetar för. De är därför inte neutrala i sitt yrkesuppdrag utan argumenterar för att deras uppgift är att representera ledningens intressen. Alla intervjurespondenter lyckas dock förena sitt lojala uppdrag med ett medarbetarperspektiv i sitt arbete. Vi fann att kommunikatörerna i vår studie arbetar omedvetet för en organisatorisk demokrati. Denna slutsats har vi kunnat dra då respondenterna diskuterar hur de arbetar med demokratiska förutsättningar så som transparens, yttrandefrihet och värderingar internt. De har dock bristande kunskap om organisatorisk demokrati som begrepp eller process. Respondenterna upplevde inte att de ansvarar för att möjliggöra demokratiska förutsättningar som delaktighet och dialog, men att de bör sätta ton för organisationens kommunikation och skapa riktlinjer för kommunikationsmiljö och språkbruk. De demokratiska förutsättningarna som respondenterna arbetar med är istället kulturella normer och värderingar som de bär med sig i sitt arbete. Vi argumenterar därför för att kommunikatörernas arbete i allra högsta grad påverkas av Sveriges demokratiska statsskick och det samhälle som organisationen verkar inom.

Sociala intranät - ett intranät för alla? : Uppfattningar bland leverantörer och beställare / Social Intranet - an intranet for everyone? : Perceptions among suppliers and clients.

A social intranet is an information and communication channel that is relatively new. There is still a small amount of research done around social intranet and what it is, and also on what organizations and their members may benefit from using such an intranet. Therefore, this paper was written with the purpose to em-phasize the reasons, possibilities and difficulties of implementing and using a so-cial intranet. With interview as method we took part of the experiences and views on social intranet from a number of organizations that are using or is about to establish a social intranet, and also from companies who deliver the service. Through the use of previous research in organizational communication, we then analysed the responses we received from our respondents. Our results and con-clusions show that social intranet are meant to open up a two-way communication in the organization and should be seen as a work tool. Employees get a chance to contribute information and knowledge on the intranet, which creates a greater participation and solidarity in the organization. The results also showed interest-ing differences in perceptions of social intranet between suppliers and clients. The big difference here was how far the employees would be involved in the process of creating a social intranet. Suppliers pushed more on employee involvement than some of the clients did. Differences that existed in both groups were also how they termed social intranets, and how they named the various groups that can be created in the social intranets. / Sociala intranät är en informations- och kommunikationskanal som är relativt ny och det finns ännu inte så mycket forskning kring sociala intranät, vad det är för något och vad organisationer och dess medlemmar kan ha för nytta av ett sådant intranät. Därför skrevs denna uppsats med syftet att belysa just orsaker, möjlig-heter och svårigheter med att införa och använda ett socialt intranät. Med intervju som metod har vi fått ta del av erfarenheter och åsikter om sociala intranät från ett flertal organisationer som använder eller ska införa ett socialt intranät, och även från företag som levererar tjänsten. Genom att använda oss av tidigare forsk-ning inom organisationskommunikation har vi sedan analyserat de svar vi fått av våra respondenter. Resultatet och slutsatserna visar bland annat att sociala intranät ska öppna upp för en tvåvägskommunikation i organisationen och ska ses som ett arbetsverktyg. Genom att de anställda får bidra med information och kunskap på intranätet skapar det en större delaktighet och gemenskap i organisationen. Resultatet visade även intressanta skillnader i uppfattningar om socialt intranät mellan leverantörer och beställare. Den stora skillnaden här var i hur stor utsträck-ning de anställa skulle vara delaktiga i processen av att skapa ett socialt intranät. Leverantörerna tryckte mer på de anställdas inblandning än vad några av bestäl-larna gjorde. Skillnader som fanns inom de båda grupperna var även hur de be-nämnde sociala intranät samt vad de kallade de olika grupper som går att skapa i de sociala intranäten.

Communication is something that all individuals depend on and has a major impact on employee job satisfaction. When it comes down to communication, it is one of the most important things that connects people. Without communication companies can't function properly, but through its use there can be a motivating effect for the company’s employees. Even though a large part of the working day consists of conversing, within a company this can often be difficult to manage. An organization uses several different internal communication channels, such as Face-to-Face, computers, phones and TV. There are several ways that these internal channels of communication can move through the company. It can be from the managers of the company to employee, referred to as downward communication. It can also move from employee to manager, this is referred as upward communication and there is internal conversing between two employees which is called horizontally oriented communication. The employee's job satisfaction is very individual and there are different things that can affect one's happiness at work. The way in which employee satisfaction can be measured by one famous researcher's two-factor theory. Herzberg reported this theory for the first time in the mid-20th century and it has influenced several types of organizations around the world. The theory that two types of factors affects an employee's satisfaction, are hygiene factors and motivational factors. The factors that affects a person is individual, nevertheless there are some factors that are in the forefront during this research and they are relatively similar to all research subjects. There were nine subjects, who have participated in this qualitative study, they come from the same public organization but they come from different departments. Their answers came from semi-structured interviews, where all research subjects will be completely anonymous. Within the answers there is one factor that is significantly more influenced that addresses both internal communication and job satisfaction. / Kommunikation är något som alla individer är beroende av och det är kommunikation som knyter oss samman. Organisationer kan inte klara sig utan kommunikation och kommunikation kan ha en motiverande effekt för en organisations medarbetare. Kommunikation inom den offentliga organisationen kan vara svår att hantera även om större delar av arbetsdagen består av kommunikation. En organisation kan använda flera olika interna kommunikationskanaler exempelvis personliga kontakter, datorer, telefoner och tv. Det finns flera vägar som den interna kommunikationen kan röra sig via, det kan var från chef till medarbetare (nedåtriktad). Den kan även röra sig från medarbetare till chef (uppåtriktad) och det finns intern kommunikation som rör sig mellan medarbetarna, vilket kallas för horisontell kommunikation. Medarbetarnas arbetstillfredsställelse är individuell och finns olika faktorer som kan påverka arbetstillfredsställelsen. Medarbetarnas arbetstillfredsställelse kan mätas med hjälp av Herzberg tvåfaktorsteori. Herzberg redovisade sin teori i mitten av 1900-talet och den har påverkat flera typer av organisationer runt om i världen. Teorin har två typer av faktorer som kan påverka medarbetarnas arbetstillfredsställelse, dessa faktorer är hygien- och motivationsfaktorer. Den faktor som påverkar individen mest är som sagt individuell, men det finns några faktorer som står i framkant under denna undersökning och är relativt lika hos alla respondenter. Nio respondenter har deltagit i denna kvalitativa undersökning, de kommer från samma offentliga organisation men från olika avdelningar. Svaren arbetades fram genom semistrukturerade intervjuer där alla respondenter är helt anonyma. Inom svaren finns det en faktor som är betydligt mer påverkade som behandlar både intern kommunikation och arbetstillfredsställelse.

Bakgrund: I dagens samhälle blir hållbarhet allt viktigare, vilket innebär att företag måste ta ett större ansvar när det kommer till hållbarhet. Det har i tidigare forskning inte framkommit hur e-handelsföretag i Sverige kan kommunicera hållbarhet med kund och stat. Genom intern och extern kommunikation vill vi undersöka hur den kommunikationen kan bidra till företags strategiska hållbarhetsarbete. Forskningsfrågor: Hur kommunicerar företagen sitt hållbarhetsarbete internt? Hur kommunicerar företagen och staten med varandra vid olika förändringar? Hur sker kommunikationen av hållbarhet mellan företagen och kund? Hur reagerar företagen strategiskt på den externa kommunikationen? Syfte: Syftet med uppsatsen är att förstå och analysera hur intern och extern kommunikation kan bidra till e-handelsföretags strategiska hållbarhetsarbete genom att jämföra två företag. Slutsats: Resultatet av studien visar att intern och extern kommunikation bidrar till företags strategiska hållbarhetsarbete. Det är viktigt för företag att ha en tvåvägskommunikation med staten, för att på så sätt hålla sig uppdaterad om nya lagar eller förordningar införs. Att använda kommunikationskanaler för att kommunicera företags hållbarhet till kund samt att lyssna på kunders efterfrågan är ytterligare en slutsats om företags externa kommunikation. Vidare bidrar den interna kommunikationen till företags strategiska arbete, genom att ha bra hållbarhetsrutiner och processer så kan företag snabbt reagera på det som kommuniceras externt. Kunskapsbidrag: Genom att belysa vilken roll den interna och externa kommunikationen har och hur viktigt det är att kommunicera med sina externa intressenter bidrar studien till en ökad förståelse hur intern och extern kommunikation kan bidra till företags strategiska hållbarhetsarbete. / Background: Today, sustainability is of more importance, which means that companies must take a bigger responsibility when it comes to sustainability. In previous research, no one has studied how Swedish e-commerce can communicate sustainability to customers and government. Through internal and external communication, we want to examine how this type of communication, can contribute to a corporate strategic sustainability work. Research questions: How do the company communicate sustainability internally? How do the company communicate with the government when it comes to changes? How do the company communicate sustainability with customer? How does the company react strategically on external communication? Aim: The aim of this study is to understand and analyze how internal and external communication can contribute to corporation´s strategic sustainability work by comparing two companies. Conclusion: The result of the research shows that internal and external communication contributes to corporate strategic sustainability work. It is important for companies to have a two-way communication with the government, in order to be updated if new laws or regulations are introduced. Using communication channels to communicate corporate sustainability work to customers as well as listening to customer demand, is another conclusion regarding corporate external communication. Furthermore, internal communication contributes to corporate strategic sustainable work, by having good sustainability routines and processes, can companies quickly respond to what is communicated externally. Research contributions: By highlighting the role of internal and external communication and the importance of communicating with its external stakeholders, the study contributes to an increased understanding of how internal and external communication can contribute to a corporation´s strategic sustainability work.

This study aims to identify the potentials and limitations of UFBA em Pauta, a newsletter, instrument of internal communication at the Universidade Federal da Bahia. From providing information that can support the improvement of existing services within the internal communication, the newsletter in question enables the adoption of new alignments and the use of the potential of online journalism. During the development of this research, interviews with teachers, students and technicaladministrative servers, representatives of the internal users at Universidade Federal da Bahia, were conducted. Among the concepts that guided the process of theoretical elaboration, there are the concept of Organizational Communication, Internal Communication and Information Technologies and Communication. The definition of Internet, networked environment in which it is disseminated the University Portal and newsletter UFBA em Pauta, also becomes relevant.

The research, exploratory descriptive kind, had theoretical basis on two knowledge areas Administrative Science and Social Communication and was developed at Instituto do Desenvolvimento Econ?mico e Meio Ambiente IDEMA, in Rio Grande do Norte. During data collection, were conducted spontaneous and semi structured interviews with directors and coordinators, besides the application of directed questionnaire to functionaries in two unites of the institution. Through the analysis and interpretation of the data, we came to the conclusion that the process of internal communication at a public organization fall in with same challenges of private organizations, but with peculiarities that attracts the scientific look specially, in concern of the attitude assumed by the administrators in the conduction of communication functions inside the organization, the profile of social actor and the communication channels used. Although the organizational communication represents more and more a strategic function, as an administration tool, the point that research gets to shows that in public organizations the communication refrains from administrative purpose and with the major objective of giving publicity to the institutional acts and actions / O presente estudo constitui uma an?lise do processo de comunica??o interna numa organiza??o p?blica, constru?da atrav?s do levantamento de dados origin?rios da conduta administrativa, da observa??o do padr?o cultural da organiza??o e de como se apresentam os relacionamentos interdepartamentais e interpessoais. Na coleta de dados, foi aplicado um question?rio direcionado aos servidores de duas unidades da institui??o. Da an?lise e interpreta??o dos dados chegou-se a conclus?o que o processo de comunica??o interna numa organiza??o p?blica depara-se com peculiaridades que atraem a aten??o do olhar cient?fico especialmente, no que diz respeito ? postura assumida pelos administradores frente ao papel da comunica??o dentro da organiza??o, ao perfil do ator social e aos canais de comunica??o utilizados.
