Personal digital archives : preservation of documents, preservation of self

This dissertation explores personal digital archiving practices, particularly in relation to the construction of self. Personal digital archiving is an everyday practice through which people manage and preserve digital documents that have particular meanings to them. This process involves a constant value assignment that is intertwined with the recollection of life events. In-depth case studies were used to gain a holistic understanding as close to research participants’ perspectives as possible. Semi-structured narrative interviews were conducted with 23 individuals from various backgrounds.The results are discussed in relation to emotions and self-evaluation. Personal digital archiving as a process, directly or indirectly, involves a self-enhancement and self-verification which is an integral part of self-confirmation. This study contributes to the in-depth observation of everyday record-keeping in a digital environment, particularly providing interpretive accounts of individual differences and why people do things in a certain way. / text

Personal archives are a largely neglected subject in archival theory. Among the consequences of this is the absenceof any general established or formalized practices when it comes to arrangement and description. Thisstudy opposes the notion that an archival institution without formal systems of arrangement and description doesnot order and describe archives in accordance with a general conceptual framework of a correct order. Supportingitself on the anthropological theory of Mary Douglas on dirt and cleanliness, it studies the implicit notions oforder that can be found in the archival descriptions of the personal archives kept by the Swedish national archives.Several patterns where revealed by the study: among them the primacy of quantity stood out. The vaguesystem of categories based on Martin Grass description model appears only to be employed loyally where quantitiesof the particular categories are such that they constitute complete volumes, which seem to be the cardinaljustifier of categorical division within the archive. The model itself is rarely applied with orthodoxy, and itsroughness often means that the categories engage in “border clashes” over which documents belong in whichcategory. Though these are often caused and generally determined by quantities, they also reveal an internalhierarchy of relations between specific types of records and categories. Furthermore, certain categories appearsmore stable than others, and when Grass system collapses, it reveals how certain of them – based on a principleof pertinence or theme – habitually fall out of use whereas categories defined by document types appear to remainfar more stable even in smaller archives and archives with low degree of differentiation.

Among the several primary sources which make up the archive, there are two thousand and seven letters exchanged between José Simeão Leal and his correspondents, especially the men of letters from his time (1929 to 1996); the handwritten dedication, contained in his office s books; the Cultural Notebooks, examples of his editorial production. The research emphasizes the editorial production, correspondence among men of letters, friends and members of the household as well as the plastic production, followed by criticism made in the journalistic press, and other documents which describe his production s art. Thus, José Simeão Leal´s route is built as well as his history and contribution to Brazilian culture having as theoretical-methodological framework the self-practices , legitimation, documentation, permanence, accessibility and immediate irruptions fundamentals crystallized in a reading and writing gesture. The self-writing is meant to be revealed, establishing a net of meanings, discoveries and construction of his autobiography based on his private personal archive. The examination of this whole archive enables to assure that José Simeão Leal developed a conclusive work for the Brazilian history and culture and for doing so, he molded his intellectual self-image, which is rewritten in this study as a biographic essay. / Esta pesquisa tem relação com a temporalidade e singularidade do objeto de estudo, que se sustenta em dados históricos revelados através de relíquias e testemunhos, constituindo as fontes de uma história extraída do arquivo privado pessoal de José Simeão Leal, visto em toda a sua dimensão. Dentre as inúmeras fontes primárias que compõem o arquivo, encontram-se duas mil e sete cartas trocadas entre José Simeão Leal e seus correspondentes em especial os literatos de sua época (1929 a 1996); as dedicatórias manuscritas, contidas nos livros de seu gabinete; os Cadernos de Cultura, exemplos de sua produção editorial; A pesquisa dá ênfase à produção editorial, correspondência entre literatos, amigos e familiares, à produção plástica, acompanhada das críticas produzidas na imprensa jornalística, e outros documentos que descrevem a arte do seu fazer. Introduction. The aim of this master thesis is to examine how students at Uppsala university manage, organize, and preserve their study-related information in a digital environment. It also investigates the motivations for personal information management (PIM) among students, and explores the concepts of sense making as both an activity and a desired outcome. The thesis focuses on the respondents’ experiences and behaviours in terms of PIM in relation to their digital collections.  Method. The research is based on 12 interviews with 9 exchange students, which were audio recorded and transcribed. Transcripts constituted the data for analysis.  Analysis. Interview data was analysed qualitatively with Nvivo software. Concepts were defined so that they could be used in the survey. Results. The study found that the five metalevels of PIM activities proposed by William Jones (2008) were applicable to the interview data, and that the respondents used a variety of digital tools and storage options, including cloud services, text editors and desktop applications, to organize and manage their information collections. Results are also presented in relation to Soo Jin Park’s (2011) three types of organizing and managing information collections.  Conclusion. The results showed that reflection on PIM and planning over time can lead to meaning-making and motivation for personal development. The degree of effort in organizing and managing information collections varied according to the individual values, personality, and contextual situations. The participants’ most common software for data storage were cloud services, text editors and web pages, with laptops, computers and mobile phones being the most popular devices for data storage. Some also had external hard drives as backup solutions and strict rules for discipline regarding PIM. While many participants trusted cloud storage when it came to privacy, some participants were skeptical of large IT companies and tried to find their own strategies to become less dependent on them. The majority made informed choices due to the risk of data loss and fragmentation. They had a profile of cognitive skills that included the ability to use visual messages to create unification and transparency in systems. They had a mix of dynamic and large collections of data.  They preferred to structure their files in a specific and structured system. Some preferred to file in more well-defined locations, while others used a more flexible method of organization. The majority had a one folder filing strategy. Some had file systems with a top-down approach, while others used incremental bottom-up strategies. They used a variety of PIM tools and strategies to meet their changing needs, such as using descriptive file names, splitting projects into smaller collections, regularly reviewing and deleting older files and categorize files by date. The study provided valuable insights into the process of managing digital information and the importance of continuous evaluation and adaptation of PIM tools and strategies to meet the changing needs of participants.  This is a two years master’s thesis in Archival Science.

Die präkustodiale Intervention als Baustein der Langzeitarchivierung digitaler Schriftstellernachlässe

Der Computer ersetzt in den letzten Jahrzehnten zunehmend analoge Schreibwerkzeuge und Kommunikationsmittel. Das hat auch Auswirkungen auf den Schaffensprozess von Schriftstellern, die ihre Aufzeichnungen immer häufiger als digitale Objekte hinterlassen. Für Literaturarchive stellt sich folglich die Aufgabe, zukünftig auch digitale Schriftstellernachlässe zu übernehmen und zu archivieren und hierfür eine Langzeitzeitarchivierungs-Strategie zu entwickeln. Die vorliegende Arbeit beschäftigt sich mit dem Zeitraum vor der Übernahme eines Nachlasses durch ein Literaturarchiv und stellt die Frage, welche Maßnahmen Nachlasskuratoren in Zusammenarbeit mit Schriftstellern ergreifen können, um die Langzeitarchivierung zu ermöglichen. Nachlässe sind in diesem Zeitraum noch die persönlichen Archive von Schriftstellern. Der Eingriff von Seiten der Kuratoren in persönliche Archive wird in dieser Arbeit als präkustodiale Intervention bezeichnet. Die Arbeit erörtert zunächst die theoretischen Grundlagen dieser Fragestellung und arbeitet die Notwendigkeit der präkustodialen Intervention in Schriftstellerarchive heraus. Anhand eines Literaturberichtes zeigt sie, dass der Forschungsstand in Deutschland, Österreich und der Schweiz im Vergleich zu den englischsprachigen Ländern defizitär ist und identifiziert Ursachen für diesen Befund. Zudem werden aus der Literatur mögliche Maßnahmen der präkustodialen Intervention entnommen und weiterentwickelt. Daraufhin überprüfen Experteninterviews in ausgewählten Literaturarchiven sowie eine Schriftsteller-Befragung diesen Befund und reichern ihn mit weiteren Daten an. Basierend auf den Ergebnissen der Literaturrecherche und des empirischen Teils wird die Einrichtung einer Cloud-basierten Arbeits- und Archivierungsumgebung für Schriftsteller als Hauptbestandteil einer Interventions-Strategie für Literaturarchive vorgeschlagen. / In recent decades, the computer has been displacing increasingly analogue writing tools and means of communication. This has an impact on the creative process of writers as well who leave their records more and more as digital objects. Therefore, special collections are being confronted with the task to acquire and archive digital papers in the future and to develop a digital preservation strategy for them. The present thesis deals with the period before the acquisition of papers and manuscripts by a special collection and brings up the question what kind of measures curators could take in cooperation with writers in order to make digital preservation possible. During this period, papers are still the personal archives of writers. The intervention in personal archives on the part of the curators is referred to as pre-custodial intervention. The work initially discusses the theoretical foundations of this question and exposes the need of pre-custodial intervention in writers archives. By means of a literature review the thesis shows that the state of research in Germany, Austria and Switzerland compared to English-speaking countries is deficient and identifies reasons for this finding. In addition, possible actions of pre-custodial intervention are taken from the literature and developed further. Thereupon, expert interviews in selected special collections as well as an online survey of writers review this findings and fill them with other data. Based on the results of the literature review and the empirical part, a cloud-based archiving and working environment for writers is proposed as the main component of an intervention strategy for special collections.
