Enterprise Users and Web Search Behavior

This thesis describes analysis of user web query behavior associated with Oak Ridge National Laboratory’s (ORNL) Enterprise Search System (Hereafter, ORNL Intranet). The ORNL Intranet provides users a means to search all kinds of data stores for relevant business and research information using a single query. The Global Intranet Trends for 2010 Report suggests the biggest current obstacle for corporate intranets is “findability and Siloed content”. Intranets differ from internets in the way they create, control, and share content which can make it often difficult and sometimes impossible for users to find information. Stenmark (2006) first noted studies of corporate internal search behavior is lacking and so appealed for more published research on the subject. This study employs mature scientific internet web query transaction log analysis (TLA) to examine how corporate intranet users at ORNL search for information. The focus of the study is to better understand general search behaviors and to identify unique trends associated with query composition and vocabulary. The results are compared to published Intranet studies. A literature review suggests only a handful of intranet based web search studies exist and each focus largely on a single aspect of intranet search. This implies that the ORNL study is the first to comprehensively analyze a corporate intranet user web query corpus, providing results to the public. This study analyzes 65,000 user queries submitted to the ORNL intranet from September 17, 2007 through December 31, 2007. A granular relational data model first introduced by Wang, Berry, and Yang (2003) for Web query analysis was adopted and modified for data mining and analysis of the ORNL query corpus. The ORNL query corpus is characterized using Zipf Distributions, descriptive word statistics, and Mutual Information. User search vocabulary is analyzed using frequency distribution and probability statistics. The results showed that ORNL users searched for unique types of information. ORNL users are uncertain of how to best formulate queries and don’t use search interface tools to narrow search scope. Special domain language comprised 38% of the queries. The average results returned per query for ORNL were too high and no hits occurred 16.34%.

Designing Intranets for Viability : Approaching Organizational Empowerment and Participation

Intranets appeared in the mid-1990s and were perceived as the answer to the need for the integration of existing Information Systems into organisations. Despite the fact that there has been extensive research regarding implementation, development processes, policies standardisation vs. creativity and so forth, the potentiality of Intranets has not been fully exploited. Intranets offer many advantages in the form of working networks that support and enable empowered employees to participate in the development of the organisation, to enable the measurement of essential functions and to monitor undesired conditions and find suitable functions that support daily work. The research approach in this thesis has alternated between analysis empirical studies, and design. Current literature, research findings in the form of articles, etc., are analysed, an empirical study of five organisations is conducted and finally a design of possible functions is accomplished. In the analysis of the state-of-the-art, current research can be grouped into four topics partly overlapping each other; questions concerning informatics, organisation theory, knowledge management, and design. Urgent issues for further research are identified as mainly belonging to the topics informatics and organisation theory; management and strategy, empowerment, further development processes, use, and roles. Findings from a study of five Swedish organisations show a need for identifying the philosophy of technology in the organisations in order to make an organisation’s view of technology common throughout the organisation. Furthermore, functions supporting daily work are lacking to a high degree. Further lacks and demands are identified, as well as potential functions and new possibilities. In the next section, the Philosophy of Technology is related to an Intranet. The discussion is based on a model which consists of the concepts Conception, Use, Technology, and Policy. Making the Philosophy of Technology common in organisations is connected to the empowerment of employees and is a guarantor, along with the influence of the VSM on the design, for the impact on and participation in the processes of an organisation. The next part deals with possible advantages of combining the cybernetic model, the Viable System Model, by Stafford Beer, and an Intranet. It is found that the VSM can support the design of Intranets according to essential functions such as Early Warning Systems connected to production units and levels that are to be made aware of undesired conditions in the organisation. Furthermore, functions for amplifying and attenuating information – both between parts of the organisation and between the organisation and the environment – are to be designed. Further examples of functions supporting the organisation, in order to make it viable, are given. The main contribution of the thesis is the identification of core functions in an Intranet as establishing functions for supervision (Early Warning Systems), attenuating and amplifying information between the organisation and the environment and between subparts in the organisation. Furthermore, the interface is to be designed so the underlying technology is “visible:” Where are the different parts of the Intranet located physically? Who delivers information to the different parts? Who uses the functions? Who is responsible? The transparency of the interface makes the philosophy of technology visible throughout the organisation; the concepts are the same, the actual use is the same as the intended use, and policy is active and well known and finally, the possibilities and the limitations with/inherent to an Intranet are known among the users. Finally, examples of further research are given – both as regards the implementation of Intranets based on the VSM design and as regards making the interface transparent.

Utveckling av förbättrad projekthantering i intranät – En fallstudie. / Development of improved project management in intranets – A case study.

De flesta organisationer idag jobbar i någon typ av projektbaserad arbetsform. Ett sätt att effektivisera sina projekt kan vara att använda sig av lämpliga IT-stödsystem. Genom att ge projektet en intern yta för kommunikation- och informationshantering kan både moral och samarbetseffektiviteten att öka. Ett intranät är ett system som fyller just dessa funktioner och som många företag redan har, men inte alltid använder till just projekt. Anledningen till att varför ett intranät inte alltid är används är p.g.a. den höga administrationstiden som krävs för att anpassa verktyget att passa just organisationens projekt. I den här studien undersöks vilket intranätverktyg som är mest lämpat för projekthantering och hur ett förbättrat stöd kan åstadkommas. I studien identifieras de tre populäraste intranätverktygen i Sverige som EPiServer, SiteVision och SharePoint. Dessa undersöks närmre genom semistrukturerade intervjuer med konsulter inom varje verktyg. Med en kvalitativ och kvantitativ analys av intervjuerna så bedöms SharePoint som dess mest lämpade intranät för projekthantering. En fallstudie utförs hos JSC IT-Partner AB – ett IT-konsultföretag i Småland. I fallstudien utvecklas en IT-artefakt under forskningsmetodiken Design Science med ett inslag av den agila systemutvecklingsmetoden Scrum. IT-artefakten är en SharePoint App som ämnar att underlätta skapandet av projektportaler i JSC:s intranät. Artefakten evalueras genom ett försök att replikera den projektportal som redan används av JSC, men som inte är automatiserad. Resultatet av evalueringen ligger till grund för studiens resultat som visar att ett förbättrat stöd för projekthantering kan uppnås inom intranät med hjälp av programmering. I slutet av studien diskuteras de begränsningar som kan upplevas när ett intranät används för projekthantering och de problem som uppkommit under utvecklingsprocessen av artefakten. I studien diskuteras inte konsekvenserna av att införa en organisations projektverksamhet i ett intranät. JSC använde sedan tidigare sitt intranät för projekthanteringen och därmed undersöks inte övergången från externa system till ett intranät. / Many organisations today work with some kind of project oriented working method. One way to make it more efficient could be to use suitable IT support systems. By giving a project an internal area for communication and information management could increase members both morale and social collaboration. An intranet is a system that fulfil these conditions and is already highly used by organisations, but not so much for project management. This is partially because of the high amount of administration time required for successfully adapting the system for the specific organisations projects. This study examines different intranet systems to find the most suitable for project management and how it can be improved. In this study the three most popular intranet systems in Sweden is identified as EPiServer, SiteVision and SharePoint. These systems are investigated further by semi-structured interviews with consultants from each of the systems. With a qualitative and quantitative analysis SharePoint is recognized as the most suitable system for project management. A case study is performed at JSC IT-Partner AB – and IT Consultant Company in Småland. During the case study an IT artefact is developed by the combination of the research method Design Science and the agile system development method Scrum. The artefact is a SharePoint App that intend to facilitate the creation of project portals in JSCs intranet. The artefact is evaluated by trying to replicate the existing project portal that is already used by JSC, but that is not automated. The result from the evaluation is used when analysing and discussing the result from this research that proves that project management can be improved in intranets by the help of programming. In the end of this report there is a discussion about different limits that may occur when using an intranet for project management and what problems that were encountered during the development process of the artefact. There is no discussion about what impact using an intranet for project management may have for the organisation. JSC was already using their intranet for project management at the time and the purpose of the case study was not to analyse the consequences when moving from an external system to the organisation’s internal intranet.

While designing an intranet for people with mobile work there are things you have to consider. This thesis is aim to bring understanding to the difficulties involved in these kinds of situations. Our focus is to develop ideas that motivate the assistants to use the intranet. We have looked into the profession of personal assistants and wish to highlight their problems to access the intranet. And we will as well demonstrate their needs for communication. We will also give different proposals for differing technical solutions that will bring them access to the intranet. To fulfill this intention we have performed observations and interviews. Through this we got the opportunity to take part of the situations that differs this profession from others. During our study it has shown that communication between coworkers, among other things, is important. We claim that this knowledge is important while designing an intranet for mobile professions. By providing the assistants a good intranet, we hope to give them a good resource in their everyday work.

Idag har de flesta företag och organisationer någon form för intranät-lösning. Dessa lösningar kan vara både mer och mindre sofistikerade, men har oftast det samma syfte; att distribuera organisationens information till dess medlemmar. Denna uppsats ägnar sig åt intranät och fördjupar sig i ett begrepp som vuxit starkt de senaste åren, nämligen Content Management System (CMS). Jag fokuserar särskilt på val av Open Source CMS, för implementation i mindre organisationers intranät. Uppsatsen är ett resultat av omfattande litteraturstudier inom sitt område och bygger främst på vetenskapliga artiklar av ledande experter. Ytterligare en källa är resultatet av en enkätundersökning, som också redovisas i uppsatsen. Denna enkät hade som ändamål, att kartlägga användares attityder till deras CMS-intranät. Uppsatsens kanske viktigaste resultat är en redogörelse för hur ett moduliserad CMS-intranät skulle kunna utformas, baserad på bl.a. Knowledge Management-teori, där tyngdpunkten ligger på de personliga referensernas betydelse för en människas tolkning av sin omgivning, och logisk kategorisering av information. / Today, most companies and organizations have some kind of intranet solution. These system solutions vary and tend to be either more or less sophisticated, but the overall purpose remains the same; distributing the organizations information to its members. This essay is about intranet-development, and mainly devoted to explore a concept which has grown rapidly in recent years; Content Management System (CMS). I’m particular focusing on how to choose a suitable Open Source CMS, for implementation in a small organizations intranet. The essay is the result of vast literature studies, mainly based on scientific articles from leading experts within their field. In addition I have also carried out a survey in a company intranet, in order to investigate the users’ attitude towards their CMS-intranet. One of the most important results of the essay is my model of a modularized CMS-intranet, partially based on Knowledge Management-theory and the importance of appropriate references in order to interpret our surroundings, and logical categorization of information.

Rapporten behandlar utvecklingen av en portal som är tänkt att användas av alla olika delar av en företagskoncern, både som intranät, extranät och extern webbplats. Denna rapport undersöker vad som är viktigt att uppfylla för att skapa en portal av detta slag där kraven på flexibilitet är stora, samtidigt som de olika företagen i koncernen ska ha utrymme att agera både som enskilda företag och som medlemmar i en koncern. Rapporten undersöker även om tekniken SharePoint kan vara lämplig att använda i ett sådant fall samt tar upp alternativ till SharePoint. Slutsatserna är att två aspekter är särskilt viktiga i en portal av slaget som efterfrågas. Dels att portalen utformas med en tydlig struktur och väl definierade nivåer med klara uppgifter, dels att tekniken bakom portalen är anpassningsbar, öppen för vidareutvecklingar och att tekniken är modulbaserad. SharePoint uppfyller dessa aspekter och bedöms därför som lämplig att använda i en sådan portal. I den portal som rapporten avser bedöms även SharePoint vara lämpligare än de alternativa tekniker som rapporten behandlar.

"Windows of culture : an analysis of Israeli ORT school websites"

School websites are useful in providing an additional environment to educate and impart culture to the collectivity. They reflect the collective phenomenon of behaviour and traditional ideas, and at the same time, reflect the efforts made by the educators to teach cultural identity, values and social skills. The work of renowned anthropologist Geert Hofstede (1991) on cultural dimensions has contributed to the study and reassessment of current theories on software and websites, which interact with the cultures of societies in which they function, and are still relevant to the constant evolution of technology (communication tools) in the educational environment. The aim of this research is to explore how cultural dimensions are reflected on ORT school websites in Israel. This study in a relatively new field offers educators an insight into new options and innovations offered by school websites, and provides reflections on their use in cultural education. In this context, the importance of this research lies in its contribution to the pedagogical dialogue on culture, and as it is reflected on school websites. This study applies Hofstede's (1991) work, in which he classifies cultural characteristics prevalent in global organizations into five "cultural dimensions": power distance, individualism&collectivism, masculinity&femininity, uncertainty avoidance, and time orientation, and design expert Aaron Marcus' (2001) interpretation and application of this model to website designs worldwide. The subject of this study consists of 54 Ort school websites operating in Israel. The findings on ORT school websites echo Hofstede's characteristics on the reflection of power distance in Israeli culture. However, my findings on Hofstede's three other dimensions – collectivism vs. individualism, masculinity vs. femininity, and uncertainty avoidance – illustrate a more complex picture, with the elements reflected in differing patterns. ORT school websites reflect both elements of culture as defined by Marcus (2001) and elements of standardization of website design. In recent years, there has been an upsurge in the software available globally to create and design websites, all using the same basic tools and elements of design.
